Quick Guide to Volunteer Impact Volunteers

Welcome to My Impact (sometimes also referred to as Volunteer Impact)! This document is to help you
navigate through My Impact while volunteering with Toronto History Museums. This is a guide for both
the Website and the My Impact app available at the Play Store/Apple Store for free!

We will go through each relevant section of MyImpact for Toronto History Museum volunteering. If you
need any help on MyImpact, you are welcome to contact the volunteer leads.

6 Tabs on My Impact:

Home Tab:
The home tab is your landing page for your volunteer experience.
 It gives you a run-down on your hours, for the week, year and lifetime.
 On the top right, it will show you your next upcoming shift
 You can view news and updates at Toronto History Museums. This is where we post upcoming
opportunities, any important updates (like closures due to snow!), and the next date we are
signing hours forms.
 On the bottom right is a quick link to the files, including Volunteer Handbooks

Opportunities Tab:
The Opportunities tab is where you will be able to view and sign-up for shifts. You can view
Opportunities in two formats:
 Opportunities- Calendar will show you a calendar with shifts that are scheduled for a specific
date and time AND still have open spaces available
 Opportunities- List will list out all shifts, organized by museum. This will include shifts that are
not tied to a specific date (like the diary transcriptions that you can do on your own time), as
well as shifts that are full. If shifts are full, you can still add yourself to the back-up list (and we
will contact you if a space becomes available).

Signing up for shifts


● Click on the opportunity you would like to sign up for.
● Read the information about the shift if available. (Always fully read the information!)

● Click the button at the bottom right corner of the box/screen.


● If a shift is full, you can add yourself to the back-up list using the same process
Some shifts automatically assign you to the shift while others (like camp shifts) require a staff member
to approve your shift. You will see one of these options pop-up at the top-right corner of the page.

MyImpact will only show your shifts that you are qualified for. In addition to shifts at your home site,
there will also be "open shifts" from other museums that you will be able to volunteer for as well. If you
can see a shift under the Opportunities tab, you are allowed to sign up for it without any additional
training!

Schedule Tab:
Under the Schedule tab, you can see all your upcoming shifts that you signed up for. You may view your
shifts for the entire month by clicking “View Calendar” at the bottom of the page.

You can always review shift information by selecting the "I" in a square box next to the shift name.

Cancelling a Shift
If you are no longer able to make a shift that you had signed up for, you can remove yourself from it up
to 48 hours in advance on this tab. If you do not see a remove button, please follow your museum's
instructions for cancelling a shift (either by e-mail or by phone)

Log into a Virtual Meeting


● Under the “Schedule” tab, find the meeting you want to join.
● Click the information button on the right of the Activity Name
● Follow the Instruction for the meeting date.

Hours Tab:
This tab will keep track of all your completed hours, and also allows you to manually log hours when
needed.

Hours
Once you have signed out of a shift, staff will manually approve your hours. This should be done by the
end of day, but please allow staff up to 48 hours to approve hours.

Logging Your Hours


If you complete independent volunteering (like AODA training, Diary Transcriptions or Newsletter
Contributions), you will need to log your own hours for us to approve. You can do this at the top of the
page under "Log Hours"
● Choose the activity you wish to log hours for in the drop-down menu
● Fill in the date and hours that you volunteered
● Some activities may require additional info (like # of pages and diary for Transcriptions)
● Click “Save”
You can see under your “Recent Entries” that these hours are pending. Please allow 48 hours for a staff
to confirm your hours.

Reports Tab:
Reports show you your own personal data regarding your hours.

Contact Tab:
You can contact us through the Contact tab. Please note that all inquiries through this tab will go directly
to thmyouth@toronto.ca

My Profile Options

There are also extra pages listed in a dropdown menu under "My Profile" (on the upper right hand side)

Contact Information:
Please make sure that your contact information is correct and up to date.
We also recommend that volunteers upload a photo to their profile so that we can visually identify
youth (which can especially helpful when providing references in the future!)

Additional Info:
This section includes your museum selection, t-shirt size, school information, name pronunciation,
pronouns, allergies, and emergency contact information. Please ensure this information is kept up to
date.
Uploading Volunteer Application
You have access to the Volunteer Application form on your home page (bottom right) under “Files” You
can also access it on the “Additional Info” page.
● Scroll down to “Parental Consent Required”
● Click on the Volunteer Application Form.docx to download the form
● You may fill it on the computer or print and fill it out - Parent/Guardian signature is required
● Save your document
● Click on the “Choose file” button and upload your signed application

Qualifications:
This sections shows you your qualifications and completed trainings.

Training:
These trainings can be completed online, and include quizzes to test your knowledge. You should log
hours for your training.
 AODA (Accessibility for Ontarians with Disability Act) training is required for all staff and
volunteers who interact with the public in Ontario. This training can be completed in about half
an hour.
 Diary Transcription Training provides further information and instructions for youth who would
like to volunteer independently transcribing rural diaries
 Virtual Orientation provides information on using MyImpact and attending virtual shifts via
WebEx.

Organization:
You can view all the organizations you volunteer with through MyImpact. It also shows the
organization’s address, phone number and website. If you volunteer with more than one organization
that uses My Impact, you can switch between organizations on this page.

Resigning
When you graduate high school or are otherwise ready to stop volunteering, you can resign from
Toronto History Museums at the bottom of this page.
Interests:
You can update/edit your interests on this page. Your interests can help us identify who would be
interested for certain events and projects.

Availability:
You can update your availability on this page.

Timeclock QR Code:
If you choose to use a digital timeclock QR code to sign in and out of your shifts, this is where you will
find it. (If you would prefer a physical card, just let your museum staff know!)

Files:
You can access the files available to you on this page. This includes:
● Forms that need to be submitted
● Information on specific programs
● Resources for Mental Health help
● Resume Tip Sheet
● Volunteer Handbooks for each site
