About Index-IBL

Who we are:
Index-IBL was founded in 2004 in the wood exports business, trading
wood products from Brazil to the US and other countries.

A few years later Index-IBL began its journey in what would soon become
its core business and passion: Sourcing. Index-IBL has become the
Sourcing office to some of the largest home improvement retailers in the
world.

With a knack on home improvement and wood products, Index-IBL has a


robust model of sourcing intelligence that can be replicated to any
business area.

We find the right products, the right suppliers and the right terms to suit
our clients needs and requirements. All that topped with QA and Supply
Chain support to help ensure a flawless execution, and in alignment with
our clients’ highest standards of conduct, ethics and social and
environmental responsibility.

• As a Sourcing Office, our services consists of searching, approaching,


developing, qualifing and supporting suppliers.

• We pursue direct shipments to both in-store and online programs.

• Vendors get paid directly from importer.

• Our income comes directly from our clients, as a percentage of total


volume shipped.

• We do not charge commissions or fees from exporters.

Sourcing office services:
• Key interface with client’s buying team.
• Prospect suppliers and products.
✓ Internal and external databases, business rounds, shows, sourcing trips, factory visits.

COMMERCIAL • Develop suppliers and projects.


✓ Vet suppliers, negotiate best prices and terms, work on offers that fits the client needs,
match up specs, work on packaging and labels, submit samples.

• Assure compliance with clients legal terms and conditions (Non-Disclosure Agreements and
Purchase Agreements)

• Set up new supplier / new program.

• Monitor shipping programs.

• Plan and conduct sourcing trips with the client in South America.

• Map out economic sectors and bring valuable insights of regional strengths, dynamics, and
market updates.

Sourcing office services:
• Assess suppliers and factories for quality processes, social and environmental responsibility
and security.
• Confirm that the supplier has the required product and factory certifications.
• Validate product specifications to match client’s requirements.
QA
• Collect and keep record of product specification sheets and technical drawings.
• Sign Golden Samples.
• Request Product and Transit test when needed.
• Keep record, validate and approve any changes to specifications.
• Prepare supplier for client’s audits and PO inspections. The audits and inspections are self-
conducted or run by 3rd parties.*
• Train supplier to perform self-conducted audits and PO inspections, validate the reports
and aprove shipments.

Sourcing office services:
• Implement the processes of receiving POs, requesting bookings and submitting
documents using the client’s designated systems and third parties.
• Train, assist and supervise the supplier to ensure a good management of the POs
and a smooth flow of the ordering and shipping process.
SUPPLY CHAIN • Assist client to get an optimal containerization plan from supplier.
• Keep track of the POs and shipments and monitor if they are on time.
• Immediately communicate all parties about delays or shortages.
• Keep a report of on-time rates.
• Monitor ports, roads and transports for any events that could affect the POs.
• Monitor forecasts and factory capacity.
• Periodically check with factory on their supply of raw material and packaging to
mitigate risks of shortages.
