ABSTRACT

In the journey towards a Diploma in Information Technology, an Industrial attachment is an


essential chapter. This phase acts like a bridge, connecting what we learn in theory with the real-
world practice. It’s like a training ground that readies students for the job market. This report
provides an overview of my immersive industrial attachment experience in the field of
Information Technology at University of Nairobi from June 5th to September 2023. Throughout
the attachment, I actively engaged in hands-on IT operations, contributing to diverse tasks such
as Network planning and configuration, troubleshooting systems, database management, user
support and maintenance. The primary objectives were to enhance technical skills, gain insights
into real-world IT applications, and bridge theoretical knowledge with practical implementation.
Collaborating with seasoned IT professionals facilitated effective teamwork and communication,
while networking opportunities exposed me to contemporary industry trends and practices. The
encountered challenges further honed my problem-solving skills and heightened my awareness
of cybersecurity considerations. This report underscores the seamless integration of classroom
concepts with real-world IT scenarios, highlighting the dynamic role of IT in modern
organizational contexts.

CHAPTER ONE

1.0 INTRODUCTION

In the rapidly evolving landscape of the modern world, Information Technology (IT) stands
as a cornerstone of innovation, enabling organizations to streamline processes, enhance
communication, and achieve unprecedented levels of efficiency. As a student pursuing a
diploma in Information Technology, my journey into the realm of practical IT applications
has been both enlightening and transformative. This report documents my experiences and
insights gained during my industrial attachment at University of Nairobi, which is a course
that every student should undertake before graduating, where I had the privilege to immerse
myself in real-world IT operations, contribute to meaningful projects, and hone my technical
and problem-solving skills.

The field of Information Technology encompasses a diverse range of disciplines, from


software development and database management to network administration and
cybersecurity. Throughout my academic journey, I have been exposed to these concepts in
controlled environments. However, my attachment at University of Nairobi provided me
with a unique opportunity to witness firsthand how these theories translate into tangible
solutions that drive business success. By actively participating in IT projects, collaborating
with professionals, and navigating real-world challenges, I was able to bridge the gap
between classroom learning and practical application.

In this report, I will delve into the details of my attachment experience, from a
comprehensive overview of University of Nairobi IT infrastructure to the technical tasks I
undertook. I will reflect on the invaluable lessons learned, the skills acquired, advice for
future interns and the hurdles overcome during my time at the company. Additionally, I will
discuss the impact of my contributions on University of Nairobi IT initiatives and operations,
and the growth I achieved as an aspiring IT professional.

The subsequent sections will delve into the details of my attachment experience, beginning
with an overview of Organization profile, its mission, rules and regulations of the
organization, followed by an exploration of the tasks and responsibilities undertaken,
challenges encountered and lessons learned. Through this narrative, I aim to provide a
holistic perspective on the role of Information Technology within a modern organization and
the transformative potential it hold.

1.1 OBJECTIVES OF THE ATTACHMENT

a. Hands-On Learning: Through your industrial attachment, you'll actively engage in


real-world IT tasks and projects, allowing you to practically apply what you've
learned in your studies. This immersive experience deepens your understanding of IT

concepts and how they work in practical scenarios. You'll gain practical knowledge
that goes beyond theoretical understanding.
b. Enhancement of Technical skill: The attachment provides a platform for you to
develop technical skills that are crucial in the IT field. You’ll work on
troubleshooting systems, user support, maintenance, software development, network
configuration which all will make you have valuable skillset.
c. Networking and Collaboration: Collaborating with IT professionals and working in
cross-functional teams exposes you to effective teamwork and communication
practices. This interactions allow you to learn from experienced individuals, share
knowledge and contribute to collaborative efforts
d. Problem solving abilities: Basically in an IT-environment, you’ll encounter various
challenges day in day out, from failing systems, debugging codes addressing
technical problems to non-technical people. These experiences enhance you problem-
solving skills as you learn to solve complex issues, analyze them critically and come
up with great solutions.
e. Professional growth: The attachment provides an environment for you to develop
professionalism, adaptability, and strong work ethics. Handling real-world challenges
and responsibilities cultivates a positive attitude, punctuality, and the ability to deliver
high-quality work consistently.
f. More Opportunities: Industrial attachment helps one to build a professional network

CHAPTER TWO

2.0 COMPANY PROFILE

The University of Nairobi holds the distinction of being Kenya's oldest and most esteemed public
university. With a storied history that reflects the nation's academic evolution, the university
gained university status in 1970 and has since become a cornerstone of higher education and
research in Kenya and the East African region. Renowned for its unwavering commitment to
academic excellence, the university offers a diverse range of undergraduate, graduate, and
postgraduate programs spanning various fields, including Arts, Sciences, Agriculture,
Engineering, Medicine, Law, and Business. Its sprawling campus serves as a vibrant hub of
research and innovation, hosting numerous research centers and institutes that tackle pressing
societal challenges and contribute to the advancement of knowledge. Beyond academia, the
university is deeply engaged with local communities, emphasizing outreach and service as core
components of its mission.

2.1 PHYSICAL ADDRESS

The University of Nairobi, Kenya Science Campus is located at Ngong Road opposite
Junction Mall, Address - PO Box 30197-00100, Nairobi, Kenya

2.2 COMPANY HISTORY

The University of Nairobi, Kenya Science Campus is the former Kenya Science Teachers
College (KSTC). It was established in 1965 through partnership between the Government of the
Republic of Kenya and the Swedish Government. The Campus is situated in Nairobi, along
Ngong’ Road, approximately 8 Km from the City center. The KSTC initially trained S1 teachers
to teach Sciences and Technical Education (Mathematics, Physics, Chemistry,
Biology and Industrial Education) in secondary schools. From 1980, it started training Diploma
in Science Education teachers in the same science subjects. In 2002, the College introduced
Computer Science as a main teaching subject alongside the Sciences. A basic ICT course was
also introduced as a support subject for all students admitted in the college to enable them be
computer literate upon graduation.
The KSTC was elevated to become a Campus of the University of Nairobi following
recommendations by the Public Universities Inspection Board, which were accepted by the
Government of Kenya for subsequent implementation. It was officially handed over to the
University on October 9th 2007 and renamed Kenya Science Campus.
The Kenya Science Campus falls under the School of Education, College of Education and
External Studies (CEES). The recommendation to upgrade the former KSTC to a University
Campus was informed by the observation that the Campus would expand teacher training in

science education but at graduate level as the Diploma curriculum was phased out.
Consequently, the first intake of Bachelor of Education Science students was admitted in
October 2007. This cohort graduated in September 2011, while the last Diploma graduation was
realized in November 2009.
The Bachelor of Education Science students are allowed to specialize in their preferred subject
areas. Combinations can be drawn from Chemistry, Physics, Biology, Mathematics, Physical
Education and Sport, Agriculture and Geography. The teaching staff for these subjects are
therefore drawn from four of the six colleges of the University namely, College of Education and
External Studies, College of Biological and Physical Sciences (CBPS), College of Agriculture
and Veterinary Sciences (CAVS), and the College of Humanities and Social Sciences (CHSS).

2.7 RULES AND REGULATIONS

a. An intern works under supervision of the supervisor.


b. One should dress Official from Monday – Thursday, then Friday one can dress casually.

c. During work one should be fair to each and every person when delivering services
without discriminating anyone.
d. University of Nairobi, emphasizes on Confidentiality and data security, an employee
should safeguard sensitive information and follow the data protection regulations.
e. Intellectual property, the university highly values academic freedom and give rights to
research innovations and ownership

CHAPTER THREE

3.0 WORK EXPERIENCE

This chapter reflects my time during my industrial attachment at University of Nairobi, Kenya
Science Campus. It outlines the practical insights gained, challenges faced and accomplishments
achieved during my industrial attachment.

Below are the tasks that I used to perform during the industrial attachment period:

1. Helpdesk Support
- Responded to user inquiries and technical issues promptly via phone, email or in
person
- Diagnosed and resolved hardware, software and network problems, ensuring
minimal downfall for users
- Guided users through troubleshooting steps and provided clear instructions for
issue resolution.
2. System Maintenance
- Conducted system checks to identify and address potential vulnerabilities,
ensuring data security and system integrity
- Dusted computers from dust, performed routing maintenance tasks, including
system updates, patches and security enhancements
3. Software Installation and Configuration
- Installed, configured and updated software applications across various
departments, meeting specific user needs. Software installed included Web
browsers, antivirus programs (ESET security), Microsoft office, SPSS, Integrated
development environments
4. Remote Support
- Utilized remote desktop tools such as Team Viewer to provide support to offsite
employees, resolving technical problems efficiently

- Assisted remote users with connectivity issues and ensured seamless access to
company resources
5. Hardware Management
- Managed hardware inventory, including computers, printers and peripherals,
tracking maintenance schedulers and replacements
- Collaborated with My supervisors and my colleague to troubleshoot and resolve
hardware-related issues
6. User Training
- Conducted some small training sessions for anyone who had a challenge
accessing a service in the University, educating them on system usage, best
practices and Cyber security
7. Documentation and Reporting
- Maintained detailed records of students or staff requests , issues and resolutions
- Created Detailed records of hardware to be disposed, including the name of the
hardware, model, serial number, type of equipment
8. Networking
- I did troubleshoot network problems such as a user can’t access the internet
services.
- Troubleshoot why internet was down on some offices in the organization
- Used an OTDR machine, installed ups on switches
9. Formatting Computers and Operating System Installation
- Mostly when working on the Computer lab we had to format all computers since
the lab was not operational for some time and installed a fresh copy of Windows
Operating System.
- After installing Windows Operating system, I would install the drivers for that
specific model of Computer.
10. Worked as a Domain Administrator
- Added computers the domain in the computer lab

- By adding students to the uonbi.ac.ke Domain and setting a password, configure
permissions for certain users on the domain such as who can install or access a
certain resource on the network.
- Reset students and Staff active directory domain accounts
- Search users on the domain using Active Directory Users and Computers

3.1 RELATIONSHIP WITH STAFF

During the course of my industrial attachment at University of Nairobi, Kenya Science Campus,
I had the privilege of establishing meaningful and productive relationships with the dedicated
staff members of various departments within the organization. These interactions provided me
with invaluable insights and practical knowledge that significantly enriched my learning
experience. Regular meetings, collaborative projects, and daily tasks allowed me to engage
closely with the staff, fostering an environment of open communication and shared learning.
Through effective collaboration, I not only contributed ideas but also actively participated in
problem-solving discussions, showcasing my ability to work seamlessly as part of a team.

The staff members I interacted with played a pivotal role in shaping my professional growth.
Their willingness to share their expertise, provide guidance, and offer mentorship was
instrumental in enhancing my understanding of industry practices, work dynamics, and technical
skills. In particular, their patient explanations and constructive feedback empowered me to
overcome challenges and obstacles, further solidifying my problem-solving abilities. These
interactions extended beyond technical aspects, influencing my personal adaptability and
resilience as I navigated new environments and responsibilities.

Am deeply grateful for the staff members who dedicated their time and effort to mentor me
during my attachment. Their insights, encouragement, and support have undoubtedly contributed
to my readiness to face future career challenges. The relationships forged with the staff members
not only enriched my learning journey but also underscored the importance of effective
teamwork, communication, and continuous learning in a professional setting. As I conclude my

industrial attachment, I carry forward the lessons learned from these interactions, eager to apply
them to my future endeavors in the industry

3.2 CHALLENGES AND THEIR SOLUTIONS

During the course of my industrial attachment field at the University of Nairobi, Kenya Science
Campus. I encountered various challenges that tested my problem-solving skills and adaptability.
One of the significant challenges was addressing the diverse skill levels of users. Some
individuals had a strong technical background, while others were less proficient in technology.
This led to difficulties in providing uniform and effective support. To address this, I adopted a
personalized approach. For less tech-savvy users, I created user-friendly documentation and step-
by-step guides, enabling them to navigate through tasks with ease. For those with higher
technical expertise, I engaged in more detailed discussions, catering to their specific needs.

The high volume of support requests was another challenge that demanded efficient
management. With a continuous stream of inquiries, there was a risk of delayed responses and
user frustration. To mitigate this, I implemented a ticketing system. By categorizing issues based
on their urgency and impact, I was able to prioritize critical problems and provide timely
resolutions. Regularly updating users on the status of their requests helped manage expectations
and fostered transparency in the support process.

Complex technical issues posed a formidable challenge, often requiring extensive research and
collaboration with my supervisor Mr. Wahome and colleagues. In such instances, I leveraged the
expertise of colleagues and IT specialists. This approach enabled me to tap into a collective pool
of knowledge, facilitating faster and more effective problem-solving. To ensure the continuity of
this collaborative effort, I contributed to a comprehensive knowledge base. This resource
comprised troubleshooting guides, documented solutions, and best practices, aiding in the rapid
resolution of future issues.

Software compatibility and updates also presented challenges, particularly in maintaining


seamless operations during system upgrades. Ensuring that software versions were compatible
with existing systems and updating without disrupting user workflows demanded meticulous
planning. To address this, I adopted a phased approach to updates, rigorously testing software in

controlled environments before deployment. By communicating upcoming updates to users and
providing training on new features, I aimed to alleviate any disruptions and facilitate a smooth
transition.

Hardware failures proved to be a critical challenge, often resulting in unexpected downtime and
user inconvenience. Addressing this required a proactive approach, involving routine
maintenance and prompt issue resolution. To mitigate the impact of hardware failures, I
maintained a well-organized hardware inventory and established a preventive maintenance
schedule. In cases of critical hardware failures, I collaborated with reliable vendors for swift
replacements and repairs, minimizing disruptions to user activities.

Communication and managing user expectations emerged as a consistent challenge. Timely and
transparent communication was crucial in preventing frustration and ensuring user satisfaction.
Clear communication of progress, potential delays, and issue resolutions helped users stay
informed and engaged in the support process. Encouraging users to report issues promptly and
providing opportunities for feedback facilitated an open dialogue and enabled continuous
improvement in the user support experience.

Furthermore, the limitations of remote support presented unique obstacles, especially when
diagnosing and resolving issues without direct access to hardware. Overcoming this challenge
required the utilization of remote desktop tools such as Team Viewer and providing detailed
instructions to users for basic troubleshooting. For more complex issues, collaboration with
colleagues and my supervisor.

Lastly, technology keeps changing which required me in staying up-to-date with industry trends
and updates. Adapting to emerging technologies required a commitment to continuous learning. I
actively engaged in network troubling shooting sessions, training sessions, and online courses to
stay informed about the latest advancements.

In conclusion, my industrial attachment at the University of Nairobi, Kenya Science campus


presented a multitude of challenges that enriched my experience and honed my skills. Each
challenge provided an opportunity for growth, encouraging me to develop creative solutions and
