TOPIC

Standard Operating Procedure (SOP)

OBJECTIVE
S
• Define what is an SOP (Standard Operating Procedure)
• Identify the benefits of SOP (Standard Operating Procedure)
• Recognize the importance of Standard Operating Procedure

LEARNING CONTENT

Standard Operating Procedure (SOP)

Standard Operating Procedure (SOP)
As defined by (Akyar, 2012) Standard Operating Procedures are “sets of instructions
having the force of a directive, covering those features of operations which lend themselves
to a definite or standardized procedure without loss of effectiveness.”
In other words, a Standard Operating Procedures (SOP) is a specific process to the
operation of an organization that describes every activities to be performed in order to
complete the task that is in accordance with the law and the industry regulations. SOP are
usually written instructions documents that guides employees to ensure performing a task
smoothly thus producing quality output. It also eliminates miscommunication and
vagueness in the workplace. According to (Land, 2016) “development and use of SOPs are
an integral part of a successful quality system. It provides information to perform a job
properly and consistently to achieve pre-determined specification and a quality end-result.”
Well-written SOPs explained visually through a flowchart or annotated illustrations, if
needed, make it easier for employees to do their jobs (Bianca, 2019).The purpose of SOP is

4
to assign the procedures for the preparation, approval, distribution, amendment and storage
of Standard Operating Procedures (Cardiff University, 2009).
Benefits of Standard Operating Procedure (SOP)
1. Consistency – being consistent with the processes and procedures that an employee
carries out can ensure that it will produce a quality output.
2. Efficiency – one of the reason that you need a detailed SOP in your organization is
that efficiency causes high profitability. SOPs can eliminate unnecessary process
that may slow down an organization.
3. Minimizing Errors – as define SOPs are detailed written procedure when performing
a task. As long as an employee follows the set of standard instructions, there will be
less errors.
4. Communication – it improves communication, with the right SOPs can help resolve
conflicts and can promote positive change to the employee. They can improve how
things are usually done at work.
5. Safe Work Environment – it is the most important facet of an organization. It is
necessary to ensure that there is a safe working environment for every employee. An
article written by (Watkins, 2020) stated that an unsafe environment can do more
than just result in injured employees. Equipment or merchandise could be damaged,
or in some cases, customers and clients could get hurt.
Use Cases of Standard Operating Procedures
Standard Operating Procedures (SOPs) are frequently implemented in many different
industries such as manufacturing, pharmaceutical and construction. These techniques are
intended for:
a. Quality
b. Industry compliance
c. High risk business activities
d. New training program
e. New Processes initiatives
Here is an example of Standard Operating Procedure for Preventive Maintenance for
Window Type Air-Conditioning Type Unit
I. Purpose and The purpose of this SOP is to provide a step by step guidelines for Preventive Maintenance
Scope for Window Type Air-conditioning Unit

II. Duties and Aircon Technicians – responsible to see to it that they follow the guidelines in an orderly
Responsibilities manner.

5
Managers – responsible to monitor, oversee and ensure that the strict compliance on the
guidelines are strictly followed by the technicians.

III. Procedure 1. Preparation:

1.1 Precaution
1.1.1 Disconnect the air-conditioning unit from the outlet/circuit breakers.
1.1.2 While checking on the air-conditioning unit, put a tag “Under Maintenance”
on it.
1.1.3 There should no tools and equipment should be left. Always put the tools in
an appropriate locations.

1.2 Preparation (Tools and Unit Preparation)

1.2.1 Turn off the air-conditioning unit from the circuit breakers.
1.2.2 Secure and clean the area to avoid any accidents that may cause injury.
1.2.3 Prepare tools and equipment such as set of screwdrivers, different type of
wrenches, brush, vacuum machine and high pressure pump.
1.2.4 Prepare air-con coil cleaner and other materials necessary for cleaning.

1.3 Cleaning Procedure (For Window type Aircon)

1.3.1 Prepare the high pressure pump
1.3.2 Disassemble the AC unit. Open the fan filter and the evaporator
1.3.3 Remove the filter to clean it thoroughly.
1.3.3 Use brush and vacuum to clean the filter.
1.3.4 Spray water onto the evaporator on opposite direction using the pressure pump.
1.3.5 Check clogging or leaks.
1.3.6 Rinse thoroughly with water until the water becomes clear.
1.3.7 Install the fan filter and the evaporator cover.
1.3.8 Wait for 24 hours before turning the power on.
1.3.9 Then observe if the air flow is normal. (Do note that if the air flow is not normal
follow the Adjustment repair and Fan checking procedure.

1.4 Adjustment Repair and Fan Checking Procedure

1.4.1 Turn of the unit
1.4.2 Disassemble the unit including the front fan grille and the blower cover if
possible.
1.4.3 Check the blower and clean if necessary.
1.4.4 Check compressor appearance. Clean then re-tighten the screws if necessary.
1.4.5 Check the ampere reading (reading should not exceed on specified rating
written on the manual).
1.4.6 Install the fan grille cover.
1.4.7 Turn on the power then test run the AC unit. Observe this for 15 minutes.

REMEMBER
Standard operating procedures (SOPs) are step by step work processes or guidelines
that every employees needs to follow. When an organization has a SOPs to follow, they
produce a quality and consistent products. Likewise an AC technician needs to use proper
tools when assembling/disassembling a condenser. It is also important to use PPEs when
repairing an AC.
