INTRODUCTION

Microsoft Project 2000 is software designed for planning, managing and tracking
projects. It provides a wide range of tools for creating project schedules, defining
tasks, establishing dependencies between them, allocating resources and
monitoring work progress.

Microsoft Project 2000 allows you to create Gantt charts, resource tables, project
progress reports, and keep track of budgets
и deadlines for completing tasks. It has a user-friendly interface, which makes
the process of planning and project management more efficient.

В In this project, we will focus on studying the basic functions and capabilities of
Microsoft Project 2000, as well as developing a work plan for introducing this
software product into our organization. We will train employees, customize the
program to our needs and begin to use it to manage our projects more efficiently.

2
Tasks

All the work that needs to be done to achieve your project goals is broken down
into individual tasks. For example, painting office walls and arranging furniture
are tasks that, when combined with other tasks, lead to the completion of
renovations in a company's office.
The content of the project consists of all the tasks and goals of the project.
Reducing the scope of a project, for example, very often means abandoning some
of the project's goals and tasks that are necessary to achieve the project's goals.
Resources

A resource usually refers to an employee, but the term resource can also refer to
equipment, materials, or even space—anything that may be needed to complete a
task. The amount of resources you have can determine the scope of the project
и (or) deadlines for its implementation. If, for example, half of your team comes
down with the flu, then it is quite possible that you will have to cut the content of your
project in order to complete the project with the rest of the team on time. Alternative:
Maintain the original project scope and extend the time frame.
Appointments

Appointmentsoccurs when you assign a resource to perform a task.

Assignments directly determine the amount of time required to complete tasks
and indirectly determine the overall time to complete a project.

Effective project management is the basis for business success. Regardless of

whether we are talking about a simple and short-term project or a whole
complex of interrelated projects, Microsoft Project 2000 will be equally useful
to you. The product will help you build a clear plan for the implementation of
the project, coordinate it with all participants by e-mail and track the stages of
its implementation . You will be able to plan not only temporary, but also
financial, labor and other resources. Remember: without clear planning, you risk
the project failing.
Project 2000 is a member of the Microsoft Office family, although it is not
included with the Microsoft Office suite and is distributed separately.

3
Microsoft Project 2000 is the sixth version of the application for the Windows
operating system, which is one of the most popular project management tools
today. The Microsoft Project application is used by users of a wide variety of
categories - from ordinary office workers to professional project managers; their
number worldwide currently exceeds 5 million people. During the preparation of
Microsoft Project 2000, researchers and developers carried out a tremendous
amount of work aimed at finding and implementing tools that would satisfy the
requirements of users of all categories. As a result, the functionality of the product
was significantly expanded and improved. Microsoft Project 2000 allows office
workers to collaborate on project planning and control, and organize their work to
meet the specific requirements of the enterprise. Thus, Microsoft Project 2000 is a
universal planning tool for organizations.

Microsoft Project Central is a companion application for Microsoft Project. It is

included with Microsoft Project 2000 and is also available as a standalone
Microsoft Project 2000 client product. Each user using Microsoft Project Central
must be licensed to use this product; however, only the project manager
(supervisor) must have a Microsoft Project 2000 license to support the Microsoft
Project Central database. All copies of Microsoft Project 2000 and Microsoft
Project Central that users use must be properly licensed.

A typical installation requires a Web server on which Project Central Server is

installed, at least one client PC running Microsoft Project 2000 to administer
project data on the Web server, and a number of Microsoft Project Central clients.
, which access the Web server over a local network or using remote access tools.

Thus, Microsoft Project 2000 or Microsoft Project Central client is used as the
client part. The Project Central Server server side requires Windows 2000 Server
or Windows NT Server 4.0 (w/SP3 or later) plus NT 4.0 Option Pack as a
platform. The information storage can be SQL Server 7.0, Oracle 8.x or Microsoft
Database Engine databases.

4
When purchasing a Microsoft Project 2000 product, the user actually
purchases three licenses:
● a license for the Microsoft Project 2000 desktop application itself;
● Project Central Server server license;
● one Project Central Web Client CAL.

It is assumed that all three components will be used by only one user.
Other users can access Project Central Server if they have a Microsoft
Project 2000 license or a Project Central Web Client CAL.

If you use SQL Server 7.0 as your data store, clients accessing databases
through Project Central must have a SQL Server 7.0 Client Access License (CAL).

В The new version of Microsoft Project 2000 has significantly expanded the
functions of planning, monitoring and analyzing project execution, and added
functions to ensure group work at the levels: manager - managers, manager -
manager, manager - performers.

The system will help you solve problems that arise at all stages
project life cycle.
Planning
● a developed system for describing the properties of tasks and their
relationships allows us to build a model that is as close as possible to reality;
● flexible means of resource planning and overload balancing help to optimally
distribute tasks between performers;
● Using existing methods, you can not only calculate the cost of the
project, but also analyze possible ways to reduce it;
● Using the total volume of all resources and a consolidated analysis of a
group of projects will make it possible to optimize the project plan
throughout the organization.

5
Execution control
● automated means of preparing reports, a developed system for collecting
information from project participants allow you to always have reliable
information about the status of the project;
● it is possible to “remember” the current state of the project for further
analysis (up to 10 snapshots).

Analysis
● powerful built-in tools for analyzing the current state of the project and
trends in its development make it possible to determine the moment
when prompt intervention in the progress of the project is necessary;
● Extensive data import/export capabilities (MS Excel, MS Access, ODBC)
allow you to use external programs for additional analysis.

Change management
● you can predict the consequences of corrective action on the current project
and the organization’s projects, as well as evaluate its effectiveness;
● Having made a decision, you can quickly convey it to the performers
and monitor its implementation.

Completion
● the system will not only allow you to prepare final documents, analyze the
effectiveness of project implementation, but also save the project in the
archive. In the future, you will be able to use the project or its fragments.

Using MS Visual Basic 5.0 for Applications as a macro language and an

open data format allows you to create custom functions and integrate
Microsoft Project with other software used in the organization.

Distinctive features of Microsoft Project are the implementation of the

concept of multi-project planning and ample opportunities for organizing group
work.

6
The project manager can use the existing email infrastructure to communicate
with members of his work group in order to assign tasks and agree on deadlines
for their completion (you can specify both standard fields - task name, start date,
end date, labor intensity - and custom ones); notifications about changes in the
project; obtaining information from performers about the progress of tasks (how
many hours worked on this task, estimated completion time, etc.).

When an artist's email service is integrated with Microsoft Outlook, tasks

sent by the project manager are included in the artist's calendar.

Using a corporate Web site (or Personal Web site from Microsoft Project), you
can effectively organize group work. In this case, the same functions are
implemented as when using e-mail.

It is possible to save information about the entire project as a publication on a

Web site for access by all project participants.
Information about the progress of the project received from the performers is
automatically integrated into the project schedule, which greatly facilitates the
manager’s work.

You can implement the function of sequential approval of the current

project by sending its plan by email to one recipient or a group of them and
specifying the order in which it will be completed.

The ability to insert external projects as separate tasks, in turn, opens up

significant opportunities for structuring projects; distribution of responsibility
for the components of complex projects among different managers; Conducting
consolidated planning and analysis across groups of independent projects or
projects using shared resources.

The main features of the new Microsoft product are grouped into three
sections in accordance with the design goals that the developers set for
themselves when creating Microsoft Project 2000:

7
● Improving team performance by involving team members and other
stakeholders in project management.
● Improving user productivity with Microsoft Project data.
● Widespread project management activities within the organization.
● Improving team performance by involving team members and other
stakeholders in project management.

Organizational productivity increases significantly when using Microsoft Project

Central because virtually any employee can now be involved in project planning and
control. Even those team members who do not have Microsoft Project 2000 installed
on their computers can view and make changes to project information through a
special interface for Microsoft Internet Explorer (version 4.x) or a browser module
for Microsoft Project Central (this module is based on Win32 API and is supplied as
part of the software product for customers not using MS IE 4.x).

The effectiveness of project management in Microsoft Project is achieved through:

● ease of use: Microsoft Project puts useful teaching tools at your disposal,
such as
Office Assistant(Office Assistant) and Gantt Chart Wizard
(GanttChartWizard). Microsoft Project has simple data entry tools, such as
drop-down lists, Automatic
correction(AutoCorrect), Spell Checker, and Search and Replace;
● automation of scheduling and budget control :
based on data about tasks, restrictions, resources, assignments
и etc. that you enter, Microsoft Project automatically calculates the schedule
details and all planned expenses. Microsoft Project can also automatically
increase the time it takes to complete a task or break a task into smaller
subtasks to resolve resource reallocation problems;
● availability of implementation controls: You can track up-to-date project
progress information and compare current data with data stored in the
project baseline.

8
● availability of tools for generating reports : Microsoft Project
contains a large number of views and reports for viewing and presenting
information about the project;
● opportunities to organize group work on a project :
The project manager can discuss work with employees using email or the
Web (Microsoft Project Central).
● availability of data import/export tools: Data exchange is possible both
due to the ability of Microsoft Project to work with various file formats, and
through the use of mechanisms such as OLE. In addition, Microsoft Project
is tightly integrated with the Microsoft Office family of software products;
● advanced capabilities for setting up the environment: You can create
your own solutions based on Microsoft Project and other applications,
using the macro mechanism of Microsoft Visual Basic for Applications.

Project Management Research

Project management is a discipline that examines the nature and nature of projects
and suggests ways to manage them. Project management tries to organize and
systematize procedures in a project, minimizing the risks you face.
Project management and project managers are interested in a number of key
areas:
Planning

Budgeting

Resource management

Execution control

To manage these aspects of projects, a number of tools exist.

Some of them are conceptual, e.g. critical pathother,
have a specific format, such as a Gantt chart. The following sections introduce
some key concepts and tools for project management.
Critical path and break

9
The critical path marks the tasks in a project that must be completed exactly on
time to meet the time frame of the entire project. The following example
illustrates this concept.
Let's assume that you are planning to go on vacation. You have five days to plan
all your affairs. Here are some of the required tasks and their time structure:

Task Duration
Paperwork 4 day
The transfer of cases 1 day
Receiving vacation pay One hour
Buying tickets 30 minutes

The longest task is paperwork, four whole days. The shortest task is purchasing
tickets, only half an hour. Taking into account that there are a lot of tickets, and you
still won’t be given vacation pay before Friday, you can delay completing the
documentation until the penultimate day. Postponing this task will not actually create
any delay in your care.
в vacation, so you can do this task all four days, or, if you are brilliant or there is
not much work, you can do it in the last hour of the fourth day. Therefore, the task
of completing documentation is not on the critical line. However, you cannot
delay the task of transferring cases, this is due to the fact that without formalizing
the transfer of cases you will not be given vacation pay or sign a vacation order.
Therefore, the handover task is on the critical path. (Of course, this example is
very simple; often, a number of tasks that cannot afford delays form the full
critical path.)
Next, we define and explain these concepts:
Break- the amount of time for which you can delay the completion of a task before
the tasks reach the critical line. Another name for delay is a floating task. In the
previous example, there may be a delay in completing the documentation. This
task may be delayed for several hours, or even days, and yet you will leave for
vacation on time. However, if you were unable to transfer matters to your
successor on Thursday, the manager would not sign the order for your leave,

10
The accounting department will not order money from the bank, and if you
nevertheless arrange the transfer of affairs on Friday, you will still be left
without money.
Critical pathcan change the execution of the entire project as a whole. Knowing
your critical paths at any point in the project is a necessary condition for
successful project execution. The critical path is a means of prioritizing tasks that
have no possibility of changing their deadlines and affect the entire project as a
whole. The project is shown - first with all the tasks and in the second figure we
showed only those tasks that have the critical path attribute.

Resource-dependent tasks Fixed duration tasks

The duration of some tasks does not depend on the number of resources involved
(people or equipment). A flight from Moscow to Vladivostok will take approximately
six hours, regardless of how many pilots or flight attendants are on the plane. You
cannot speed up a chemical reaction if it needs to take 4 hours, even if you add more
reagents or lab technicians. As Stirlitz said, “Even if you gather nine pregnant
women, they still won’t give birth in one month.”
These tasks have fixed duration, AndSometimes
They
are called - fixed tasks, and their duration
predetermined by the nature of the task.
С on the other hand, increasing the number of available resources reduces the
duration of some tasks. If one digger digs a ditch in two hours, then two diggers will
dig that ditch in one hour. The project still requires two hours to complete, but two
resources can do it simultaneously. Tasks whose duration depends on the addition or
reduction of resources are called resource-dependent tasks.
Note
В In real projects, the calculations are rarely so accurate. Because people have
different skill levels and perform work at different speeds, two people will not always
cut a task's time exactly in half. Additionally, the more people you add to a task, the
greater the amount of communication, communication, and learning. Although
Microsoft Project 2000 treats additional resource assignments as

elev
en
simple mathematical calculation, you can still use certain corrections.
Diagrams used in project management

The Gantt chart, network diagram, and WBS (work breakdown structures) are
project management tools that have evolved over the years. Essentially, these are
charts that you can use to control and monitor various aspects of your project. You
can see a Gantt chart, which is a network diagram. A typical WBS diagram is
shown, however Microsoft Project 2000 does not include a WBS diagram in any
of its standard views.
Before the use of computers, managers typically drew these diagrams by hand.
Every significant project had a huge network diagram, WBS, or Gantt chart. By the
end of the project, these diagrams were littered with numerous corrections and
additions.
К Luckily, Microsoft project management software
Project 2000 makes it easier to create, customize, and modernize these diagrams.
A Gantt chart is a depiction of a calendar schedule of tasks in a project.
Milestones are depicted in the form of a diamond. Learn more about other
elements of the Gantt chart. But at this moment, it is extremely important that
the Gantt chart allows you to visualize and control the duration of tasks in the
project.
A network diagram schematically depicts the tasks of a project without detailing
their duration. Instead, a network diagram shows the flow of tasks in a project and
the relationships of the tasks to each other.
Each task is located in a rectangle called a node, and lines that indicate task flows.
Note

В In Project 98 and previous versions of Project, the network diagram was

called a PERT diagram. The US Navy Special Operations Division invented this
method to track the flow of tasks in the Polaris submarine development project in
the late 1950s.
Dependencies

12
Finally, the last project management concept you need to understand is
dependencies. The duration of a project is not simply the sum of the durations of
all tasks, since not all tasks are performed simultaneously or sequentially. For
example, in a house construction project, you must pour the foundation of the
building before you begin to build the walls. Before laying the floors, you must
glaze the windows. In other words, project managers expect and establish
relationships among tasks in a project. These relationships are called
dependencies. Only when you have created tasks, assigned their duration, and
installed dependencies can you estimate the duration of the entire project as a
whole.

Project Management with Software

Many people create and manage projects using task lists, records
в calendar, draw diagrams. They are forced to hold constant meetings with project
participants in order to be aware of the changes taking place, and the project
participants understand the essence of the ongoing processes. Humans have
developed these simple organizational tools because no one can remember or know
everything.
To manage any project, you need some set of procedures. Microsoft Project 2000
software automates many of these procedures. With Microsoft Project 2000 you
can:
By pre-planning the various elements of your project, you can more accurately
estimate the time and resources needed to complete the project.
Execution control. By monitoring implementation from various points of view,
you can accurately assess the prospects for the project.
Identifying conflicts. By identifying resource conflicts early on, you can use
the scripting technique known as "what-if" to resolve existing resource conflicts
in the project.
Alteration. You can make changes to task duration and costs, and the entire
project will be automatically adjusted and estimated.

13
Producing professional reports. You can create reports on the status of your
project, help your team members prioritize tasks, and help management make
informed decisions.
С With improved collaboration within a workgroup via the corporate
network or via email, Microsoft Project 2000 also makes communication and
collaboration among your team members much easier and more productive.
Many people view using project management software as an unfortunate
inevitability, at best. Perhaps they are right. You must gather some information
about your project for any software product in order to estimate the tasks, enter
them into spreadsheets, and estimate the budget for your project. On the other
hand, once you enter your basic information into Microsoft Project 2000, further
project management and maintenance becomes easier and much more productive
than handwritten notes, which sometimes become outdated as soon as they are
created. Additionally, the precision and professionalism of managing Microsoft
Project 2000 is the main difference between a poorly managed project and a
successful one. And, after you enter the basic data, Microsoft Project 2000 will
perform all the calculations automatically.
So, what do you need to do to successfully manage your project using
Microsoft Project 2000? To create a project in Microsoft Project 2000, you must
enter the following information about your tasks:
Task name

Task Duration

Dependencies between tasks

To control task costs, you must add resource information, including:

List of human and material resources and their costs during working hours and
overtime
Assign resources to specific tasks

14
To control the duration of the project, you must regularly enter the following
information:
Execution of a task

Changes in task duration or dependency

Changes to resources - that is, resources that are added or removed from the
project
Changes in work time or resource cost

How Microsoft Project 2000 can help you

Although you must collect a large amount of information to create a project,

Microsoft Project 2000 allows you to automate a number of routine tasks.
Project templates. If you often perform similar types of projects, you can create
a project template with typical tasks, and later you can modify the template for a
unique project.
Note

You can use the translation of templates used by Microsoft Project 2000.
Automate repetitive tasks. If you have tasks that repeat at regular intervals
during a project, such as a weekly report, you can create a separate recurring task
and Microsoft Project 2000 will duplicate it for you.
Teamwork. You can use collaboration capabilities that allow your team members
to introduce changes and monitor the completion of individual project tasks. Also,
team members feel more responsible and involved in the project.

В Part V of this book, “Working in Groups,” provides detailed
information about working in groups.
Macros. You can take full advantage of the VBA language to build macros that
automate a number of tasks.

Project life cycle

All projects consist of several stages. Understanding the characteristics of each

stage can help you use Microsoft Project 2000 to create your own projects.
Defining the purpose and capabilities of the project

Before you even begin planning a project, you must define the goal, which is not
always as obvious as it seems at first glance. Different project participants may
define the project's purpose differently. Many projects fail because team members
are actually working on different goals. For example, is the goal to perform
performance studies, or to actually improve performance? Result - should you
negotiate with a contractor for your project, or complete the construction of the
building yourself? As you review your goal with other team members, make sure
that your project is not just one step in a series of projects leading to another goal.
To define your goal, you can use various communication tools, such as meetings,
emails, and meetings. It is very important to exchange views at various levels
(management, operating personnel) and discuss goals and get answers to all
questions raised. Take the time to make sure that all team members understand and
support the goal of your project before formulating the project goal.
Note
Be careful not to set too far and broad goals, these goals may change more than
once in our dynamic world, before

16
than you will achieve the goal of your project. Smaller projects are more
manageable and more flexible.
Once you have defined the goal, you must determine the project's capabilities.
Sometimes, identifying project opportunities requires significant effort. By project
capabilities, we mean asserting more specific parameters or constraints for its
completion.
Project constraints are usually in the areas of time, quality, and budget.
Here is an approximate goal and statement of capabilities:
Project A:

Goal: Obtaining a loan for a warehouse.

Possibilities. By July 1, find a warehouse of approximately 1,000 square

meters, with a rental cost of no more than 30,000 rubles per month, located in
close proximity to the company’s office.
Project B:

Goal: Release of a new product.

Possibilities. Conduct test marketing of the product, develop packaging, start

an advertising campaign. The product release should be completed at the end of
the third quarter of 2001 and should cost no more than 250,000 rubles.
Note that the second capability statement identifies the major stages of the
project (test marketing, packaging development, and advertising campaign); This
statement of project goals and capabilities provides a starting point for planning
tasks in the project. In fact, you might eventually decide to break this project down
into smaller projects - test marketing, packaging design, advertising campaign. By
defining the project's capabilities, you can revise both the goal and the capabilities
to make the project more manageable.
Advice

Formulate your goal and opportunity definition as briefly and specifically as

possible. If you cannot explain your purpose or capabilities in one or two
sentences, then your project may be

17
overly ambitious and complex. Consider converting your project into a series
of smaller projects.
Formulating clear and simple goals and specific and precise capabilities ensures
that you have captured key data about resources, time, and budget - and that you
and your team clearly understand the purpose and means to achieve your project's
end result. You must complete all of these steps before starting Microsoft Project
2000.
Planning
Once you understand the purpose and scope of the project, you can begin to
work on identifying the tasks that need to be completed to achieve the goal.
Initially, you must identify the main stages.
Then you must create a logical sequence of tasks in each stage. Resource planning
is an important aspect of project management. Resources may include equipment,
materials, personnel, and work groups. Consider different aspects of your
resources, such as overtime, vacation time, and involvement in other projects.
Time, money, and resources are very closely related: You can save time with more
resources, but increasing the use of resources increases the cost of the project. You
must understand the order of priorities for the use of time, quality, and money in
your project.
Note

There is an old joke: Time, money, or quality - choose two. Adding resources
(which usually increase costs) to complete a project can reduce time, but can also
reduce quality management. Increasing time can improve quality, but usually
causes resource conflicts and increased costs. Microsoft Project 2000 will help you
manage these three important criteria throughout the course of your project.
Figure 1-6 shows the initial schedule in Microsoft Project 2000
Reconciliation
When starting a project, you should spend significant time distributing your
project to key project employees for approval and clarification of details. You can
use communication

18
Microsoft Project 2000 capabilities to create multiple versions of your project.
Be prepared to revise your plan after each key person provides you with
feedback. You can create and save multiple files to perform what-if analysis.
Analyzing your project from multiple perspectives is a real way to take advantage
of the full power of Microsoft Project 2000.
Determining time and resource allocation conflicts is another aspect of
planning. Microsoft Project 2000 helps you pinpoint these conflicts. For example:
Team member or resource involved in multiple projects simultaneously A task
begins before its predecessor
Unusually high use of expensive equipment in one stage may lead to
difficulties in financing the entire project
Link

This book contains many methods for resolving conflicts. Chapter 9 and 10,
в specifically focuses on using features of Microsoft Project 2000 to solve
resource scheduling problems.
When your project is complete, you can save a snapshot of that state called a
baseline, so you can monitor how the project is actually progressing.
Link

Chapter 11 explains how to set, or, if necessary, remove a baseline.

Execution control

You should determine your methods for monitoring the progress of the project
before it begins:
Do you want to monitor the project once a week or once a month?

19
Do project participants only monitor their own work or are they required to
report progress to you?
What level of reporting detail will you use?

З development of methods for monitoring the implementation of your project,

personalized volumes of participation in the project for key personnel will help
your team establish effective project control mechanisms from the very
beginning.
Advice

You can save baselines at various points throughout your project as it progresses.
This approach helps you see where the major changes have occurred and shows
what you have done to solve those problems.
Figure 1-7 shows a project with a saved baseline and project progress
monitoring
Analyze your experience

Learning Microsoft Project 2000 for project management is much more difficult
than learning a word processor. Project management requires an understanding of
management concepts in general, which are much broader and more complex than
software tools and capabilities. Experience and wisdom to use these opportunities
only comes with time. After completing this course, you will not immediately
become an experienced project manager. You have to work long and hard on your
projects before you really know the most effective ways to collect and input
information about your project. You can develop your effective project
management techniques. Don't worry, study the theory and practice of project
management. And if you analyze the processes occurring in your projects, then
you can avoid many mistakes.
Microsoft Project 2000 allows you to save your first projects and clearly see
where your estimates were wrong, where you made changes too slowly, or didn't
scale down the global project into more manageable projects. Microsoft Project
2000 saves all information about your project in one file. When planning new
projects, you can use them to estimate resources, task duration, and identify
conflicts.

20
There is no doubt that you will be a successful and effective project manager.
You can easily prove to your manager the need for certain actions, you can avoid
problems and ensure that the right decision is made. Plus, you'll have the tools to
help you and your colleagues more effectively solve the problems you face.

21
CONCLUSION

В In conclusion, the project to implement Microsoft Project 2000 software for

planning and managing projects represents a significant step in improving our
project processes. This software provides us with a powerful tool to more
effectively plan, control and track projects, allowing us to improve the quality of
work, reduce risks and increase productivity.
В During this project, we analyzed our needs, trained our employees to use the
program, customized it to our requirements, and began using it in our daily
activities. We've found that Microsoft Project 2000 helps us effectively allocate
resources, optimize project schedules, manage tasks, and keep track of
deadlines.
В As a result of implementing Microsoft Project 2000, we expect improved
team coordination, increased process transparency, reduced time for
planning and project management, and increased overall efficiency of our
organization.
Thanks to this project, we are creating the basis for the further development of
our company, strengthening our position in the market and increasing our
competitiveness. Microsoft Project 2000 is not just a tool, it is a key element of
our success.
