Microsoft Office
Introduction

The Microsoft office programs are collections of the


more popular Microsoft application software products.
They include: Microsoft Word, Microsoft Excel,
Microsoft Access, Microsoft Power point, Microsoft
Publisher, Microsoft Front page, Microsoft Photo Draw,
Microsoft Outlook and Internet Explorer. In this chapter
we study the following programs: Word, Excel, Access,
Power point and Internet Explorer

The Microsoft Word is a full featured word processing

program that allows the computer user to create


many types of personal and business
communications, including announcements, letters,
memos, business documents, academic reports and
other forms of written documents, its autocorrect can
detect and correct errors in spelling and grammar.

To Start Word:

If the Word icon is in the desktop of the computer


double click on it.

Else, on the start menu point to programs, click


Microsoft Word. Or Click the start button on the
task bar and point to new office document, click
new office document and double click the blank
document

The main elements of the Word document window


are the ruler, tool bar, title bar, menu bar and scroll
bar. Sometimes a vertical ruler appears in the left
side of the document, figure (3 – 1 – 1) illustrates
these elements.

The ruler:
At the top edge of the document window, it is used
to set tab stops, independent paragraphs, adjust
column widths and change page margins.

Menu bar and toolbar:


The menu bar: lies at the top of the screen just below
the title bar, it displays the Word menu names and
each name contains a list of commands. These
commands are used to perform tasks.
The tool bar: it contains buttons boxes and menus that
allow the user to perform tasks quickly.

Action for Word Windows:

1 – To zoom the page width:


a) Point to the zoom box on the Status bar at the bottom
of the document window, as in figure (3 – 1 – 2).
b) Click the desired page width on the status bar on the
bottom of the word document, a new window
appears, select the desired page width and click OK
as shown in figure (3 – 1 – 3).

2 – To change the font of typing:
a) Before typing:
i) Click the font size arrow on the formatting toolbar, the
font list appears.
ii) Point to the desired font size and click it.
b) After typing:
i) Select the text you want to change its font size.
i) Click the font size arrow on the formatting toolbar, the
font list appears as shown in figure (3 – 1 – 4).
ii) Point to the desired font size and click it.

3 – Bold selected text;
a) Select the text.
b) Click the bold symbol B (figure (3 – 1 – 4)) on the
tool bar.
c) Click inside the selected text to remove the highlight.
4 – To underline selected text:
a) Select the text.
b) Click the underline symbol (figure (3 – 1 – 4)) on the
tool bar.
c) Click inside the selected text to remove the highlight.

5 – To align a paragraph:
The alignment can be right, left or centre. For example, to align a
paragraph to the right do the following:
a) Click somewhere in the paragraph to be right aligned.
b) Point to the align right button on the toolbar and click it as
shown in figure (3 – 1 – 5).

6 – To enter text:
Type the text as normal, if you have an error word, you can
use the backspace button in the keyboard to erase the faulty
letters, then retype the correct letters. Word checks your
typing automatically as you type for possible spelling and
grammar error. If the word you type not in the dictionary, a
red wavy underline displays below it, also the red wavy
underline appears if the text you type contains grammar error.

7 – To correct the spelling or grammar:
a) Position the mouse pointer in the flagged word or text and
then right click. A shortcut menu displays containing all
possible correct words and action required.
b) Choose the right action as shown in figure (3 – 1 – 6).

8 – Using Undo and Redo commands:
The Word remember the modifications occur in the
document, the user can return to the status of the document
before any of the modifications by using the Undo command.
a) Point and click the arrow of the Undo icon from the
toolbar, a list of the last modifications appears.
Choose the modification you want to eliminate. as in
figure (3 – 1 – 6).
b) The Redo command: this command is the reverse of
the Undo command; it returns back the eliminated
commands figure (3 – 1 – 6).

9 – Drawing tables in the document:

To create table in
the document, click
insert from the
menu bar, a table
window appears as
shown in figure
(3 – 1 – 7) and
choose one of the
three methods:

a) By using the table icon in
the toolbar and drag to
the desired size, as shown
in figure (3 – 1 – 8).

b) By using Insert Table in this
method a window appears
to determine the table size
(number of rows and
number of columns) as in
figure (3 – 1 – 9). After
choosing the table size click
OK, then the user can resize
the table cells.

c) By using the menu bar
select draw table, in this
method the mouse

Action for Word Windows:
10 – Insert text and numbers inside the table cells:
i) Click inside the chosen cell.
ii) Write the text or numbers.
iii) Use the Tab or the arrows buttons in the keyboard to
navigate through the table cells.

11 – To insert additional row or column:


Click inside the column or the row, then, right click, a new
window appears, select Insert, another window appears, click
on this window what you want to insert: Insert Columns to left
or Insert Columns to right... etc. As in figure (3 – 1 – 10).

12 – To delete row or column:

Click inside the rows or columns you want to delete.


Choose Delete cells as in figure (3 – 1 – 10), a new
window appears, choose what you want to delete and click
OK as in figure (3 – 1 – 11).

13 – Borders and Shading:
To make border for a word or paragraph: select it, then,
from the tool bar select the icon of border a window
appears to select borders as in figure (3 – 1 – 12), then the
border shape, then click OK, these steps is shown in figure
(3 – 1 – 12).

13 – Borders and Shading:
To shading a word or paragraph: To make shading for a word
or paragraph: select it, then, from the menu bar select the
shading icon a window appears, select shading colour, select
the shading degree, then click on it, as in figure (3 – 1 – 14).
