SUMMARY GUIDE
The 5 Choices to Extraordinary Productivity®

Rule Your Technology,

Don’t Let It Rule You®
Big Ideas
• For extraordinary results, we need to use technology to keep attention and energy focused on the important
activities in Q2.

• When we use a reliable system to sort all incoming information, we create order from possible chaos.

• 3 Master Moves help us increase the effectiveness of all technologies to deal with incoming information.

To rule your technology:

1. Design a system to manage the Core 4.

2. Make the 3 Master Moves.

3. Use productivity accelerators.

1. Design a System to Manage the Core 4

• Sort incoming information into four categories:

-- Appointments: Things you need to do at a specific time.

-- Tasks: Things you need to do that are not yet scheduled.

-- Contacts: Information about people you interact with.

-- Notes/Documents: Information you need to keep track of that is not part of the other three categories.

• Create a system to manage information so you know exactly where and how to access it, anytime, anywhere.
Use the Rule of One: one Master Task List, one calendar, one contacts list, and one system for notes
or documents.

• If an incoming item is important and needs action (an appointment or task), act on it by making it an appointment
on your calendar or a task on your Master Task List.

• If an incoming item is important and needs filing (a contact or document), file it into the appropriate location.

Some technologies can accelerate your efforts toward your Q2 Goals. Others can be distractions that keep you from
paying attention to the things that really matter.

Look at your current portfolio of apps on your smartphone or tablet and ask yourself:

• Are these apps Q2, Q3, or Q4?

• What apps should I keep? What apps should I delete?

• What apps should I add to help me achieve my Q2 Goals?
