Accommodation for PhD students & academic and scientific staff/visitors Academic year 2011-2012 - Terms and Conditions
When you apply for a living unit in the University Halls of Residence, you agree to these terms: 1. 1.1 Applying criteria For PhD students: do not apply for housing if you havent yet received a Letter of Admission from Ghent University. The Housing Department will not be able to meet requests from PhD candidates without Letter of Admission. (Except for PhD students within the Erasmus Mundus Action II program: a Letter of Invitation - confirmation of scholarship - will suffice.) For staff/visitors: do not apply for housing if the Personnel Department of Ghent University hasnt yet received a proposal for contract or research. The Housing Department will not be able to meet requests from staff/visitors without proposal for contract or research. Please check with your department/promotor. (Except for staff/visitors within the Erasmus Mundus Action II program: a Letter of Invitation - confirmation of scholarship - will suffice.) Also, to be able to approve the request for accommodation, it is important to apply for a visitors card first. For staff/visitors of the University Hospital: do not apply if you havent yet been admitted to the University Hospital. Rental period The minimum rental period is 1 month, the maximum rental period is 6 months. It is only possible to rent st th st th from the 1 or the 16 day of the month (except February: from the 1 or from the 15 ), th th until the 15 or until the last day of the month (except February: until the 14 or until the last day of the month). Check-in is not possible during weekends, except for weekends in February, July, August and th September. In September 2011, check-in is only possible from the 19 . Rental fee studio Studio: 457 EUR/month; deposit for room 125 EUR; deposit for key & badge 35 EUR. Rental payment The rent is due from the start of the reserved period. The costs for the consumption of water, electricity and heating, provision of bed linen, cleaning of the common spaces, repair service, use of telephone and internet are included in the monthly rent. The use of cooking ware (pots and pans, cutlery/crockery) is also included. The monthly invoice will be sent to the living unit. The tenant can make the amount payable to the Housing Department at any post office or any bank (when opening an account) in Ghent. Payments can also be made by credit card at the Reception of the Housing Department. Both deposits must be paid together with the first months rent, within 10 days after signing th your rental contract. Rent must be paid monthly, before the 5 of each month. Both deposits will be reimbursed if all contractual obligations have been fulfilled and the living unit is left in conformity with the inventory of fixtures drawn up when the tenant took possession of the living unit. The reimbursement of both deposits will be made after termination of the tenancy agreement, unless the tenant has obtained an extension of the Agreement. Location of the living unit: all living units are situated on the same site. Use of the living unit The tenant is not allowed to put the living unit at the disposal of third parties or to sublet it. All units are single. It is strictly forbidden to occupy the unit with more than one person. The tenant must maintain the unit, including its furnishings, in a good and hygienic condition. Animals are not permitted except for guiding dogs of tenants with a functional restriction. Modifications and cancellations In case of cancellation of reservation or in case you wish to change the period for which you made a reservation, please inform us at least one month before the start of the reserved period. Requests for changing the starting date, will not be accepted after this time and the rent will be due as from the original reserved date.
