How to: WCOnline

Making an Online Videoconference or eTutoring


Appointment
New User Registration

1. Click on the “Schedule an


Appointment” button on the
KU Writing Center website.
2. You will be prompted to
enter your KU online ID and
password.
3. You will be taken to a
“Create a New Account”
screen.
• You will only need to do
this once as a first-time
user.
Creating a New Account
• Make sure to use a valid email
address. Important information will be
sent to that address regarding your
appointment(s). Exampleemail@ku.edu

• Fill out all of the required


information, denoted by red
asterisks.
• Choose when you would like the
Writing Center to email you
regarding appointments or
announcements.
• You can receive text message
reminders, but this is not required.
• Review your information to ensure
it's correct. .
• Click Register
Online Videoconferences vs.
eTutoring
We offer two types of online appointments.
• Videoconference appointments are real-time
videoconferencing conversations between you and a
writing consultant. These are synchronous, meaning you
must log in to meet with the consultant.
• eTutoring appointments are when you receive
written feedback.You upload your draft when making
an appointment and receive an email with feedback.
These are asynchronous, meaning you do not need to
be available at the time of your appointment.
We’ll go through what you need to do to make
and attend these appointments.
Making an Online Appointment

• To make a videoconference or eTutoring appointment, go to


the drop-down menu of schedules at the top of the screen.
• Select eTutoring & Videoconferences.
• Make sure to read
the instructions at
the top of the page as this
provides crucial information
about what you'll need to do
for your appointment.

Double left click on a
white box at the time
that works best for you.

Remember: if you
schedule a
videoconference, you
will need to be available
at the time of the

When you select a time, a new
window will pop up.

Please be sure to select the right


appointment type so we can
complete your appointment.
Videoconference & eTutoring
appointments are on the same schedule,
but are different appointment types
Again, videoconference and eTutoring
appointments appear on the same schedule.
We know we’re being repetitive, but, it’s
crucial that you choose the correct
appointment type so we can get the proper
information from you to complete your
appointment.
If you select the wrong appointment type (ie
you select videoconference but don’t show
up), your appointment will be counted as a no
show.
From the two options in the Meet Online?
section, make sure you’ve chosen the
appropriate one:
• Yes – Schedule Videoconference
Appointment
• Yes – Schedule eTutoring

Making a Videoconference
Appointment
• In a videoconference, the writer
and consultant meet over video.
• Select "Yes—Schedule
Videoconference Appointment" in
the Meet Online? section.
• Fill in the required information, as
noted by red asterisks.
• Check over the information, then
click Save Appointment.
• You must have access to a computer
and microphone at the time you
choose for a videoconference. If you
do not attend the
videoconference, we will not
review your paper.
Attaching a File
Attending your
Videoconference Appointment
• Five to ten minutes before the start
of your appointment time, sign back
into WCOnline.
• Find your appointment time.
(Remember: it will be yellow.)
• Double right click on your
appointment time.
• In the new window, click the green
text that says Start or Join
Online Videoconference.
• Note: we recommend Mozilla
Firefox or Google Chrome
bowsers for videoconferencing
appointments.
Making an eTutoring
Appointment
• In an eTutoring
appointment, the writer
receives email feedback on
submitted material.
• In the Meet Online? section,
select "Yes—Schedule
eTutoring Appointment."
• Fill out the required
information, noted by red
asterisks.
Make sure to select
• Check over your information.

Attaching a File
• For eTutoring appointments, you must attach a file.
• There are two ways to attach a file. The first is to attach it at the bottom
of the appointment form.

• Click on "Choose File" and upload your file, then click "Save Changes"
• Your appointment will then look like this, with a "File Attachment".You
can click "Edit Appointment" to upload additional documents

• If you do not attach a file immediately after


scheduling your appointment, you can still
upload a document. Your Name

• First, return to the eTutoring Appointments


schedule and click on your appointment,
which will be highlighted in yellow.
• In the "View Existing Appointment" page, scroll
to the bottom where it says
"Edit Appointment", then click on it.

• Click on the "Choose File" option and upload


your document. Then click "Save Changes".

• If you have any difficulty, please email


writing@ku.edu with your appointment
date/time for assistance.
eTutoring Appointment Feedback
• Check your email shortly after your chosen time
concludes.
• An email containing a link and instructions will arrive.
• You will need to sign into WCOnline to access the file
containing feedback.
• Once signed into WCOnline, go to the specified
appointment time.
• A window will be opened after you open the
appointment.
• Scroll to the bottom of that window and download the
attached file/feedback.
