Background: The International Centre for Diarrheal Disease Research,
Bangladesh (icddr,b)
Based in Dhaka, Bangladesh, icddr,b is committed to solving public health problems facing low- and middle-income countries through
innovative scientific research – including laboratory-based, clinical, epidemiological and health systems research. By developing, testing
and assessing the implementation of interventions specifically designed for resource-poor settings, they aim to improve the health and
wellbeing of people living in the world’s poorest nations. For more than 50 years, they have been carrying out high-quality research and
promoting the uptake of evidence-based interventions. Their initial focus was on diarrhoeal disease, but they now study multiple infectious
diseases, other threats to public health, and methods of healthcare delivery. Their work has had a profound impact on health policy and
practice both locally and globally – and this remains their key objective for the future.

► To help support our project management methodology that includes SAP Activate, we created a testing methodology that is incorporated into our testing strategy and
approach.
► Structured around the industry standard “W” model for large-scale development efforts, our testing approach contains two broad processes — verification and
validation:
• Verification: This is a “static” test analysis designed to confirm comprehensiveness and accuracy in overall test strategy. Verification occurs through the capture,
analysis and prioritization of progressively more detailed requirements. Development and configuration activities are then performed based on the requirements
captured at the lowest level. These verification activities are a direct outcome of the workshops conducted during the scoping and design phases of the project.
• Validation: This process is then carried out by conducting the various types of testing, thus validating the requirements defined in the verification process. The

engagement. The customer can identify current data issues, but this may not fully represent the issue.

Organizational Structure: The location of systems and people will influence the level of effort.
Customer Resources: The ability for the customer to allocate resources with the required skills and knowledge
of the data can dramatically impact productivity. The customer needs to provide IT infrastructure, IT Data and
Business resources.
Business and IT Initiatives: Known acquisitions, regulatory changes and IT projects such as an upgrade to a
legacy system will impact the effort.
IT Landscape, Standards and Policies: Data and system access policies, availability of servers and storage, 3 rd
party hosting and software installation processes need to be understood.
Data Governance Policies: Existing data governance policies and standards will influence the approach and

Basis - Scope

• Analysis of user informed long running dialogue / background job and response time analysis
• Analysis of execution of BASIS housekeeping jobs and their results.

• Check print devices and highlight any issues related to spool administration.
• Analyse informed critical error in database and provide resolution with root cause analysis.

• EY will not be responsible for the resolution of any product related bugs/issues or improvements that require change in SAP
source code. EY will handle aspects related to such issues, if any, by raising Technical Assistance Requests (message) through
SAP OSS. EY should not be held responsible for resolution of the same
• Support Engagement duration – 12 months plus 48 months
• Onsite Location – ICDDR,B Project Location
• Offshore Support location: EY offices across India.
• Solution Manager will be used for issues resolution.
• Languages other than English shall be excluded from scope for any official communication, implementation and documentation,
General requirement is for ICDDR,B to provide English documents.
• ICDDR,B is requested to provide comments and information within 48 hours after requesting feedback, unless otherwise
specified.
• Additional legal entities are excluded from the scope of this support Project
• Any internal or external Audit will not be part of the scope.
• Any new module, any organization change for example but not limited to such as Company/Plant & Process design mapping
will be routed through change request mechanism only
• ABAP Support will be limited to Bug resolution to existing developments. Any new ABAP request will go through Change
Request.
• Implementation of new module/ new application is not in the scope of this document.
• EY will not be responsible for the functioning of the patches/bug fixes that have been provided by SAP, but will be responsible
for testing and reporting to SAP on failure of the patches

• Any issues taking more than 2 man days of work will be considered as L3 ticket.
• For L3 tickets pertaining to new design/development/interface and associated areas, effort estimate will be provided by EY.
Confirmation of the effort estimate by ICDDR,B will initiate the ticket resolution activities. The cost of each such L3 ticket
will be based on the total effort required for that particular ticket only and will be charged extra.
• Data entry in the production system, running the routine processes / transactions will not be in the scope.
• Providing Data Export from SAP database / Import into SAP database will be out of scope.
• Comparison of SAP data output with any data from Legacy for the purpose of cross-verification will be out of scope.
• Collection/ Cleaning/ Entry of all data will be out of scope. Master data maintenance will be the responsibility of the business
user

Project Team Structure

Project Sponsor:

The Project Sponsor owns and drives this implementation. The project Owner defines the vision for the implementation and drives the realization of the
vision. The role of the project Owner is as below:

• Be the champion of this project. As such, actively promote the benefits of the project within icddr,b and resolve internal conflicts between
this Project and other activities.
 • Define the overall vision of SAP implementation to the rest of the organization.

 • Ensure full support and commitment from process owners in implementation.


• Serve as a point of issue escalation when issue resolution or project change management requires decision by corporate senior management.
 • Approve any required project amendments.
• Resolve project issues within icddr,b.

Project Team Structure

Steering Committee:
The Steering Committee is the highest body responsible for the successful completion of the implementation. The committee comprises senior management
from icddr,b and EY. The committee will meet regularly to review the status of the project and authorize necessary action for the critical activities in the
project. The Steering Committee shall meet at least once every month and help in resolving all open issues in that month. The respective project managers will
report the plan and progress achieved during the month, followed by a plan for the ensuing month, with resource requirements clearly identified for icddr,b
and EY.

The
  key roles of the steering committee are as below:
 Set policy guidelines and provide overall strategic direction to the project team when required.
  Authorize and drive key change management initiatives.
  Empower the project team and provide all necessary resources for the project.
  Confirm and control project scope and Monitor project progress against the plan.
 Handle exceptions and major issues tabled for the steering committee meetings
 
The icddr,b members of the Steering committee have to be nominated by the Project Sponsor. The members would be drawn from heads of
departments of the various functions under the scope.
 
From EY, the Engagement Partner, the Engagement Manager and the Project Manager would be the members of the committee.

 Plan & monitor the project and ensure adherence to time schedules, deliverables, delivery quality and budgets.

Business Process Owners (BPOs):

The Process owner works directly with the icddr,b PMO and the process team members to communicate the success factors associated with the processes. The
Process owner is responsible for approval of the SAP solution for an assigned business area(s). The Process owner is usually a member of the Company’s senior
management. The Process owner should be accessible for the Business Process Team Lead and works to facilitate timely resolution of open issues either by
making the decision himself or by consulting with his peers. The Functional Heads of different departments shall be the process owners for icddr,b.

► Delivering the SAP solution that supports the business requirements identified in the Business Blueprint document.
► Configure the identified business process using the SAP customizing tools available
► Execute the detailed design and configuration of the company’s business processes with the system.
► Liaise between the project and users and should be a champion of the solution within the business.
► The execution team shall consist of icddr,b Core Team and Technical Team & EY Functional & Technical Team

Core Team:
The CORE TEAM MEMBER is responsible for the execution of the detail design and configuration of the Company’s business processes with the system. This includes working with
the team leader in the analysis and decomposition of the business processes, documenting the business process requirements, and designing and configuring the system to support the
organization’s To-Be process vision. The core team member should also aid in the design of reports, forms, interfaces, and conversions.
 
The CORE TEAM MEMBER should actively participate in workshops and presentations guided by an EY Consultant to validate business processes and solutions with the end-user community.
To this end the CORE TEAM MEMBER is an essential liaison between the project and the users and should be a champion of the solution within the business.
 
Provide all necessary business inputs necessary for designing the organization structure in SAP.
 
Prepare List of Business Processes covering all business process areas as per business requirements and agreed scope.
 
Provide sufficient business data to consultants to help recommend and design optimum business processes and reporting requirements.
 
Take necessary actions to resolve functional and integration issues.
 
Collate and standardize Reports, Layouts, Enhancements and Interfaces Support standardization initiatives – business processes and reporting formats.
