Definition of Formal Letter and Informal Letter
• Formal Letter
A formal letter is any letter written in the professional language, with a prescribed format for a
formal purpose, i.e. it can be a recommendation letter, enquiry letter, complaint letter, cover letter
and so on. All business letters are formal, but vice versa is not possible. Such letters are used for a
variety of reasons like a formal invitation, proposal, reference, making a complaint or inquiry,
applying for a job.

• Informal Letter
An informal letter is a letter written to someone; we know fairly well. The letter can be used for
some reasons like conveying message, news, giving advice, congratulate recipient, request
information, asking questions, etc. It is a personal letter, written to whom you are familiar with,
like friends, siblings, parents or any other closed one. There is no specific format prescribed for
writing this letter.

Generic Structure
Formal Letter
◦ Opening : include your mailing address, the full date, and the recipient’s name, company, and address.
Don’t add your address if you’re using letterhead that alredy contains it.
◦ Salutation : Address the recipient’s using “Dear”, along with their title and last name. If you don’t know the
recipient’s gender, use their full name. Finally be sure to add a colon to the end of the salutation.
◦ Body : In the first paragraph, introduce yourself and the main point of your letter. Following paragraphs
should go into the details of your main point, while your final paragraph should restate the letter’s purpose
and provide a call to action,.
◦ Closing : recommended formal closings include “Sincelery” or “Yours truly”. For a more personal closing,
consider using “Cordially” of “Best regards”. Regardless of what you choose, add a comma to the end of it.
◦ Signature : Skip fou lines after the closing and type your name. Skip another line and type your job title
andcompany name. If you’re submitting a hard copy, sign your name in the empty space using blue or black
ink.

Informal Letter

◦ Place and Date : It tells about the specific time the letter in written;
◦ Recipient Address : It contains the complete postal address of teh receiver of the message;
◦ Greeting : An intejaction that is used to open the conversation of the letter;
◦ Contents : Several paragraph claborates the aim of the letter;
◦ Writer’s Hope : It states what the writer wishes for that the receiver of he message would
do;
◦ Closing : A signature from the writer and the proper closing statement.
