 Before you can even apply for a job, you need to know all the documents that you will
need to gather and prepare.

 On the notes paper, jot down all the documents that are needed to apply for a job.

PARTS OF A COVER LETTER

 The letter comprises of three parts


 Opening statement – that introduces the message. It also identifies the position.
 Body – is the main selling point. It should meet the employer’s needs.
 Closing – that requests an interview. It should inspire action.

that you can prepare that same letter in various styles?
BUSINESS LETTER FORMAT: Block
Style

Block Format
 most common layout of a business letter 
 the entire letter is left justified 
 entire letter is single spaced except for a double space between paragraphs
BUSINESS LETTER FORMAT: Modified
Block Style

 Modified Block Format


 Sender’s address, date, closing and signature start may be at the center of the page or
flush with the right margin
 The recipient’s address begins at the left margin
 the body paragraphs start at the left margin
BUSINESS LETTER FORMAT: Semi
Block Style

 Semi-Block
 least used style
 It is much like the modified block style 
 The first line of each paragraph is indented

CREATING YOUR COVER LETTER


 JOB DESCRIPTION
 Responsibilities:
1. To serve as the Ambassador’s driver in respect of:
a. Driving the Ambassador from the Residence to the Embassy/Embassy to
the Residence on a daily basis
b. Driving the Ambassador to all functions, dinner, parties, ceremonies, etc.
c. Drive the Ambassador’s wife, the maid and other persons designated by
the Ambassador to any destination or location, upon the instruction of the
Ambassador

2. To serve as the Embassy’s driver in respect of:
a. Mailing and picking up all office correspondence
b. Pay all office bills
c. Purchasing of office supplies (stationery, cleaning materials, etc.)
d. Any other duties or errands on behalf of the Embassy

3. Assist in the day to day running of the office:
a. Front desk receiving of mail, etc.
b. Monitoring of security cameras
c. Monitoring of front door security
d. Assist with the telephone if the office is very busy

4. Other duties:
a. Ensure that Embassy vehicles are kept clean and in good condition and
serviced and maintained respectively
b. Perform any other duties assigned by the Ambassador

*It is expected that these responsibilities will be carried out efficiently and
diligently. Should any difficulties arise or should you not be able to fulfill any
of your duties, please advise the Embassy in advance.
Instructions

 If you are online, you will do type the letter in Google docs and upload it to Google classroom.
 If you do not have access to a device or internet, you will need to type the letter in Microsoft Word and print it; and
attached it to this booklet.
 You will prepare a draft of a cover letter for the available vacancy below.

LETTER REQUIREMENTS:
 The letter should be done in fully blocked style. (Follow al regulations.)
 All the margins should be 1 inch
