SUBJECT : OPENING OF CLASSES FOR THE 1ST SEMESTER, SY 2020-2021

Please be guided by the following for the first semester, school year 2020-2021
classes.

• The delivery modes of teaching and learning which will be implemented this first
semester of school year 2020-2021 are online mode and correspondence mode.

• Class masterlist includes the contact numbers, emails, as well as the category of the
students, whether they belong to online or correspondence mode.

Class masterlists can be accessed in the SIS Faculty Module. The faculty, however, must
monitor, for one month from the start of classes, these class masterlists in the SIS
Faculty Module for any update in the enrollment.

Grading System

The grading system for both online and offline teaching shall be modified. While faculty
members can still have 70% for class standing and 30% for midterm/final exam, they can
limit class standing to portfolio/e-portfolio, projects, case analysis, summative test (long
or unit test).

Attendance, recitation, and oral reports shall no longer be part of the class standing for
both online mode and correspondence mode.

Teachers can just encourage their students under online mode to join video conferencing
sessions because it is an advantage to maximize learning but must not require them.

• While classes may agree on the platform to use, PUP recommends the use of Zoom for
synchronous method and the Microsoft (MS) Teams 365 A1 Plus for asynchronous.

• The University will make available to faculty members subscribed Zoom accounts to host
videoconferencing class meetings. Allocated Zoom accounts will be sent to the faculty
member’s PUP webmail account.

OVPAA will release a separate set of guidelines on the use of the PUP-subscribed zoom
accounts.

Note: Regular faculty members will be issued subscribed Zoom accounts at the ratio of
one account to two faculty members; part-time faculty members, however, may make
arrangements with the ICTO on the schedule of their use of Zoom account .

• A committee has been formed to provide training to faculty members on the use of the
MS Teams and the Zoom Video Conferencing Application. The schedule of the said
training will be announced by the respective department/academic heads.

• Faculty members who will use MS Teams as LMS platform for online class shall be the
one to request from ICTO, via email, PUP webmail for his/her students.

• Faculty members may conduct a minimum of six (6) video conferencing lecture sessions
with their students per section per course in a semester. This minimum of six (6)
sessions is applicable both for a 3-hour class and 1.5-hour class.

• Video conferencing sessions shall be conducted during the official class schedule as
reflected in the teaching assignment.

• To maximize the use of the limited hours of video conferencing engagement, the faculty
member should send the lecture materials (via email or any agreed platform) to students
at least a week before the actual discussion of the lesson.

• Faculty members are advised to record the class discussion during the video
conferencing session and have the record file uploaded in a secured storage device (like
Google Drive or MS OneDrive) accessible only to their respective students. This way,
the students who missed the class session will still be able to watch the lessons
discussed by their teacher.

• For purposes of online class attendance monitoring, faculty members shall submit to
their respective mother department/academic heads, via email, screenshots of their
video conferencing sessions, or attendance generated directly from the platform used
like the Zoom. The screenshot must show the image and full name of the faculty and
his/her students.

• The department/academic heads shall submit to the Human Resources Management
Department (HRMD) every 15 days of the month the consolidated
screenshots/attendance of their respective faculty members.

• Faculty members must be aware of and comply with the Public Advisory on the Conduct
of Online Classes Using Video Conferencing Services issued by the Department of
Justice, Office of Cybercrime, on September 22, 2020. A copy of the said Advisory is
hereto attached.

• For correspondence delivery mode, PUP will send via its official courier (in the case of
Main Campus) and via the respective barangays (in the case of branches and satellite
campuses) the printed instructional materials developed by the faculty members.

• A one-page set of instructions will be placed in the pouch of instructional materials that
will be delivered to the students under the correspondence mode. It indicates, among
others, when and how the students shall submit requirements, and where to send their
queries/concerns about the received instructional materials.

• A copy of the Flowchart of Student Requirements Submission Process is hereto attached


for reference.

• Faculty members shall be evaluated using a modified evaluation instrument appropriate


for the current online class set up and simply for purposes of establishing baseline data
or assessment.
