FUNCTION : Assist the Purchasing Officer in purchasing function and provides Clerical Services
to the purchasing department.
Report to Purchasing Officer.

JOB DESCRIPTION:
• Assist the Purchasing officer in placing order of Daily Market List, Food, Beverage, Tobacco
and Engineering Supplies.
• Liaise and co-ordinate with respective departments with regards to the proper ordering and
receiving of goods in day to day operations and requirements.
• Type all Purchasing Department letters, memoranda, Purchase order Forms, reports and other
correspondence.
• Record Purchase Requests and General Purchase order and any purchasing documents and
related correspondence.
• Receives all incoming-mail, opens, sorts and forwards them to the purchasing officer for
action and distribution.
• Dispatches all out-going mail such as General Purchaes order, letters and inter documentations.

• Maintain proper and systematic filing of Purchase orders, Purchase Requests,quotations and
catalogues for easy reference and retrieval.
• Deliver sample of Food and Beverage items to Department Head for their approval.

• Maintains adequate stock of office stationery and initiates when necessary.

• Any other Servicing and negotiation assigned by FC / PO when required.

• Perform other duties assigned by PO / FC.

• Up-date Daily Purchases of Food and Beverage, Tobacco.
