Agenda topic Treasure Report | Presenter Dina Crewe
Discussion Financial Consultant was not present at the meeting. Assistant Financial Consultant, Dina Crewe,
provided a brief report about the finances of Community 3. Currently, in the Community 3 bank account there is
$2655.93. A total $3645.83 was deposited into the bank account for the Cookie Classic. So far expensed for the
Cookie Classic has been $1415.50. She expects a couple more expenses to arise for the Cookie Classic such as the
tee-shirt costs and porta-potty costs.
Agenda topic Community 3 Position Vacancies | Presenter -Kim Lincoln
Discussion: There are still a few vacancies for Community 3 Leadership. We currently need a Program Consultant,
Recruitment & Registration Consultant, Volunteer Support Organizer for Norfolk/Portsmouth and an Adult
Recognition Consultant. Cristen Emrick has volunteered to be the Volunteer Support Organizer for Isle of
Wight/Suffolk area.
Agenda topic Community 3 Learning Event 2015 | Presenter Theresa Wiggs
Discussion: Theresa volunteered to be the Lead for the Community 3 Learning Event for 2015 which will be held on
September 19, 2015. We are looking at holding the event in Norfolk for 2015. We are still looking for a church which
will allow us to hold the event. The first planning meeting will be held on February 4th at 6:30 7:30 at A Place For
Girls located at 912 Cedar Rd. Anyone who would like to participate in any way is encouraged to attend. Currently,
we have 8 leaders who have said they will attend the meeting.
Linda Linke has volunteered to hold a Program Basics Session in the morning. She would also like the Girl Scout
Program Basics advertised as a session to learn about how the Girl Scout National Portfolio (handbooks and
journeys) utilizes the 3 Keys: Discover, Connect, Take Action to enhance the girls learning experience through the 3
processes: Girl Led, Cooperative Learning and Learning by Doing.
Conclusion: Theresa will contact several churches in Norfolk to see if they would be willing to let us use the church
classrooms to hold the event. She will also send information to Mandi to send out to the Service Units regarding the
planning meeting.

Agenda topic Cookie Classic Presenter - Jillian Sweetland


Discussion: Cookie Classic will be held on January 31st. Registration is closed for participants wanting to either
walk or run in the event. However, people may still register for a virtual run where they donate to the cause and
run the event at their leisure. We are expecting to make approximately $1000 for Community 3 with this event.
Packets will be ready for participants on Thursday, January 29th from 4-8 pm at APFGs and they will be available at
the event on January 31st. Emails will be sent to participants about the packets. Anyone who would like to help put
the packets together are encouraged to contact Jillian Sweetland at jillians@gsccc.org or 410-0703. Next years
Cookie Classic will be featured in the Go! Book. We are currently looking for someone to be the lead for next years
cookie classic. Participants participating in the Cookie Classic will receive a tee-shirt and those running in the 1
mile will receive a patch and those running in the 5k will receive metals. Extra patches will be sold at the event for
$3.50.
Agenda topic Leader Social | Presenter Kim Lincoln
Discussion: The team needs to determine if Rachel Blake is still planning on being our lead for the event. All of the
details about the social still need to be determined. Currently, the leader social is scheduled for April 12, 2015. This
date may need to be pushed back. Last year, leaders enjoyed the silent auction. Tesi made most of the prizes for the
auction.
Agenda topic Spring Pre-Registration Incentive Event | Presenter Jillian Sweetland
Discussion: Jillian is working with Cinema Caf to determine if we could hold an event for girls who preregister for 2015/2016 or if they would donate 100 tickets which could be given to the service unit who has the
most girls pre-registered during the pre-registration period. Several members of the group thought the Service
Units should be driving force giving the troops an incentive to register early. Suffolk Service Unit has
determined that they will give away a propane stove to the first troop to register whole troop. Last year,
Suffolk Service Unit gave gift certificates ($50 and $25 gift certificates) to the council shop to the troops
registering the most percentage by dates.
Agenda topic Community Wide Series | Presenter Kim Lincoln
Discussion: There seems to be some confusion among leaders, service units and committee members on how events
and series within the community should be run. Sharon proposed determining a mission for Community 3 and
adopting some guidelines surrounding how events and series should flow between the service units and
Community 3. We all agreed that how the event/series is run depends on how the event or series is advertised, but
there needs to be some clear guidance and standards on how the events should flow between the service unit level
and Community 3. Sharon said that she would research with council financial to determine who the funds should
flow and other communities to see what they have found that works for their situations. She would then draft a set
of guidelines that the Community 3 leadership could adopt and then share with the service units. The idea was
also brought up that once the guidelines are finalized and shared with the services units, it should also be part of
the New Leader Learning Event so new leaders get a better understanding of the organizational flow between the
service units and Community 3. We are also looking for more leader involvement at the Community Level. The
motion was brought up to rotate the meetings between the different cities and to create a yearly calendar so leaders
know when and where to meet. The calendar can then be shared on facebook, Community 3 web site and with the
service units.

Discussion: We will table this discussion until we can get the guidelines adopted and out to the leaders.
Agenda topic Community 3 Silver Awards| Presenter Linda Linke
Discussion: We have not received any GS Silver Award proposals or final reports so far this winter. We will cancel
the January 22 meeting.
The February COM3 GAC meeting will be the 4th Thursday (as usual), 26 February.
Please remind the GS Volunteers that grade 8 Girl Scouts should endeavor to turn their GS Silver Award final
reports in as soon as possible, before the end of the summer vacation.

Next Community 3 Meeting will be held on March 11, 2015 at 6:30 pm. Location is A Place For Girls.
