Event Project #3:
Stevie Nicks Greatest Hits Concert
November 2015
We have created a once-in-a-lifetime concert to see the incredibly talented Stevie Nicks
in downtown Chicago. According to the Richard De La Font Agency website, the cost to book
Stevie Nicks for a concert is $400,000, but we think that every penny is worth it. This event will
take place on October 28, 2016 at the Chicago Theater; the theater has a flat rate of $10,000
nightly booking fee. This does not include the cost of the sound system for $6,000, lighting for
$9,000 and stage for $2,000. This results in a total cost of $27,000. The Chicago Theatre is one
of the most prestigious theatres in the city and has set the standards for theatres nationwide.
With all of this being said, there is no reason we should place an incredible artist like Stevie
Nicks anywhere else. According to The Chicago Theatre website, theatre capacity is 3,600. This
particular event will anticipate a sell out of 3,600 tickets at a face value of $140 each resulting in
a total of $501,200 in ticket sales. Stevie Nicks demographic is an audience ranging between
35-50 years of age. This demographic is usually well established within their career and are
willing and able to spend larger amounts on concerts, especially something such as a greatest
hits concert that is only coming to the city of Chicago.
We will be using Blue Plate Catering as they are frequently used within the Chicagoland
area. Blue Plate Catering frequently works with The Chicago Theater and both are similar with
each other policies. For this event we are catering to eight different people including the
drummer, guitarist, bassist, manager, keyboardist, hair/makeup artist, publicist and of course,
Stevie Nicks. Via request, a variety of sandwiches and salad will be provided to allow for the
tight scheduling and convenience for the talent. There will be assorted tea sandwiches: smoked
salmon and herb butter on pumpernickel, oven roasted turkey, whipped brie and candied
cranberry on wheat, cheddar cheese and mango chutney on brioche, and grilled vegetable and
red pepper cheese on petit pan oval. The small platter serves ten to twelve people and is
$75.00. Chopped Italian salad will be provided and will cost $12.95 per member. It was also
requested that we include Smart Water and Ginger Ale. We will supply 37 bottles of Smart
Water for $52.02 and two two liters of Ginger Ale for $6.00. Overall, $236.62 will be set-aside in
the budget for Blue Plate Catering.
For talent transportation we will be using Echo Limousine. According to their website,
from OHare to the hotel will cost $120 per hour. We will assign three Lincoln town cars for pick
up at OHare to the hotel and from the hotel to OHare for a total of $720 dollars. Echo
Limousine has great reviews and comes to us highly recommended. Three Lincoln town cars
will also be assigned to pick up the talent from the hotel and take them to The Chicago Theater.
In case the talent needs to make any stops, it will cost ten dollars for every stop and an
additional $20 for every ten minutes they are late. For each of the trips on the interstate there
will be an additional automatic 20% gratuity as well as hourly service of 20% gratuity according
to the Echo Limousine website. All taxes and fees will be included. Overall, there will be $1,800
spent on ground transportation.

For sleeping accommodations we have booked a five rooms at The Westin Chicago
River North because of its reputation and it's convenient location. Stevie Nicks will have her own
Deluxe King Suite, which will cost $119 for the one night stay. The other four room will all be
standard with double bed and cost $151 per night. This information was provided to us via the
front desk agent, Danielle Church. Overall, $723 will be spent at The Westin River North
Chicago.
The sponsorship is going to include the three basic levels: Landslide (gold), (Dreams)
silver, and (Rumors) bronze. Our Landslide gold level sponsorships about the concert will
include mentioning in all radio spots, ten backstage passes and ten general admission tickets,
marquee mention, logo on all printed material, business logo/nqm3 on staff t-shirts, inclusion in
all press releases, full page advertisement in program book, logo on all CTA cards, mention in
all social media mentions, five reserved parking spots on concert day, logo on all news paper
advertisement, and reference in post event thank yous. Our Dreams silver level package will
include (30):30 second mentions in radio spots, five general admission tickets, two reserved
parking spots, logo on all printed material, logo on all CTA cards, page mention on event
program book, reference in post thank you events, and inclusion in all press releases. Our
Rumors bronze level sponsorship will include your logo in one full-week newspaper ad, logo on
544 CTA cards, five general admission tickets, and inclusion in all press releases. Lastly we will
choose ten sponsors which will include Walgreens, State Farm Insurance, Verizon Wireless,
Giordanos Pizzeria, Coca-Cola, Yoplait Yogurt, The Red Eye, BMW, New Balance, and
Metropolis Coffee Company Chicago.
We will be setting up our event timeline schedule very precisely in order to make sure
everything is set up officially and with enough time before the event. On January 15, 2016 the
event will be conceived. By January 31, 2016, Stevie Nicks must have signed the contract for
the performance and by March 1, 2016, The Chicago Theatre must have signed the contract
because this ensures that the main aspects of the event are ready to go in order to plan
everything else. By April 1, 2016, The Westin Chicago River North hotel must have the rooms
prepared for the night of the concert. Also, by this same date the airline tickets from LAX to
Chicago OHare must be purchased, which will come out to a total of $3,706 round trip. On may
1, 2016, the caterer must be set on all of the sandwich and salad orders, the ground
transportation must be confirmed by Echo Limousine, and the Landslide sponsorship must be
also confirmed. On September 1, 2016, the CTA train cards will go up, the Chicago Tribune and
Chicago Sun Times will post advertisements, and 93XRT will begin to play their advertisements
as well. On October 15, 2016 the media advisories must be sent out. On October 28, 2016 the
concert will take place. After the event is complete, there will be post-concert wrap-up meetings
with production team, caterer, venue and artist. Lastly, on December 1, 2016 we will send out
thank you notes to the sponsors, hotel, caterer, Chicago Theater, and Stevie Nicks.
The production schedule starts on Thursday, October 27, 2016, the members of TNB
Productions will do site inspection of The Chicago Theater at 12 pm. At 2pm we will confirm
hotel rooms, ground transportation, catering, and flights. On October 28, 2016, the day of the
concert will be our busiest day. At 4pm, transportation picks up the artist and crew at the West,
and 6pm the media arrives and transportation picks up artist and crew from the hotel to arrive at
the theatre at 6:20pm. At 6:30pm the Meet and Greet with Stevie Nicks and band will begin and
then will close at 7pm. Also, at 7pm the sound check will take place and conclude by 7:30pm.

Starting 7:30pm the doors will open to the public and then 8:30pm the concert will begin. The
concert will come to a close at 10pm and the audience and media should start leaving. At
10:30pm the transportation picks up artist and crew from venue and will drop them off at the
hotel at 10:50pm. At 11pm the doors will close. On Sunday, October 19, 2016 at 10am the
transportation will arrive to pick up the talent and drop them off at OHare airport at 11am. This
concludes our production plan and overall timeline of the event.
Our insurance plan will cost us a total of $1800. With this being said, we find most useful
to use this money for insurance products such as automatic liability, cancellation,
comprehensive general liability, health, non-appearance, and performer no show. We will be
choosing these types of insurance because, when hosting a concert, you can anticipate some
problem can occur with the artist or band so, we will specifically add additional cancellation, non
appearance, and performer no show to our policy. As for the other types of insurance, it is
always important to insure the audience members in case of an health or safety emergency.
Stagehands $75 per hour for five hours which will come out to a total of $2,625. Our marketing
is something that we really want to spend a lot of our budget on to ensure a full house in our
target demographic.
We will be purchasing (20):15 spots on 93XRT for a total of $3,750 because they fit our
demographic of listeners being around 35-50 years old and this station caters to that
demographic and frequently feature Stevie Nicks and Fleetwood Mac. We will purchase two
cards in the two center cars on each the Brown Line and Red Line trains for total of $6,664
because these trains hold the greatest amounts of commuters in our demographic of ages 3550 years old. We are also going to purchase one full-page advertisement in the Chicago Sun
Times for $10,500. We believe this will draw attention from its readers and increase buzz
leading up to the event. Lastly, we are going to purchase (1): 3.22 x 3.5 ad in The Chicago
Tribune for one week Sunday - Saturday online and print for a total $4,734.11 because the age
group for 35-50 enjoy the Chicago Tribune and generally read it on their early commute or on
Sunday morning. Overall, we will spend $25,648 on marketing in general because we really
want to create awareness in Chicago, so we really need to use a lot of marketing in direct to the
commuting workers. Our overall expenses will be $455,273.11 and we will make a profit of
$53,661.27.
