Fallwood HOA Board Meeting Minutes
April 28, 2016; 6:30PM

Financials ~ Troy went over the March 2016 financial reports. As of March 31°, five
homeowners had not paid their dues. Andrew said we are now down to only two
delinquent dues payments. Board accepted the financial reports as being in order.
Fence Project — Grant reported that Phase I! of the project has begun. About 40 posts
and 17 boards will need to be replaced on Mimms Dr. Also, the deposit was paid to First
Fence for repairing the pool common area fence in early April, so we should be on their
schedule for early May.
Board unanimously approved the purchase and installation of a Dual Level water
fountain to replace the broken fountain at the pool house. The existing fountain is not
working and seems to be shorting out, tripping the breaker and preventing the Kings Ill
emergency phone from working. Andrew ordered the new fountain.
Kings Ill Emergency Phone — Andrew said Kings Ill would be out Friday, April 29 to
check out the phone and get it working so that the pool will pass inspection and be able
to open in May.
Troy said he had had problems unlocking the pool house closet door. Grant indicated
he had been able to unlock it, but with difficulty. Troy will try oiling the lock with WO-
40, but if this doesn’t work, he will replace the lock and deadbolt.
Board unanimously approved hiring Christiane Butler to clean the pool house
bathrooms again this summer, beginning in May. The pool house bathrooms will be
cleaned every other week at a cost of $40 per cleaning.
Troy stated that several light bulbs are out in the pool house bathrooms. Board agreed
to replace the bulbs with LED bulbs to extend their life and reduce energy cost. Troy will
also replace the bulbs in the pool house lantern lights with LED bulbs the next time they
need replaced.
Troy stated the water heater fuse had not been re-installed when the pool house was
de-winterized. Andrew will check with Splash Pools about this.
Board discussed and agreed to install an additional dual flood light on the front and
back of the pool house, and put all of the floodlights on a timer switch. This will help
eliminate dark areas and light the pool parking lot. Bob will contact an electrician to get
a bid for this work.10. Board discussed the bid from RGS for installing sod in the “beauty strip” along Gordon
Combs Road and repairing the irrigation valves along Fallwood Drive. Board agreed
that the location of these valves is not clear and RGS left out the bid for new sprinkler
heads for the front entrance and pool house flowers. Troy will contact Joe at RGS and
meet with him to discuss these issues before RGS revises the bid.
11. Troy asked for the status of the Handbook review/update. Neither Bob nor Grant knew
the status. Bob had done an initial review and sent it out, but no-one else has
forwarded it. Troy will send an email to all Board members to determine whether
anyone else has worked on it. If not, he will do his markups and forward it to the next
Board member.
12. Board discussed the replacement of trees in front yards when they are blown or cut
down. The Handbook is not explicit about this. The ACC recently approved a tree
removal without requiring replacement. Board tabled this discussion until all members
are present.
13. Board discussed whether several adjacent homeowners should be allowed to paint the
exterior of their houses the same color, but no decision was made. The issue was
tabled until all members are present.
14, Board discussed the violations inspection process with Andrew. The inspector is
currently being a little overzealous. Since the Board is late responding to this month’s
violations report, AIO will hold off sending out letters this month, but will resume next
month. Board agreed that, due to timeliness issues, AIO should be allowed to go ahead
and send letters unless the Board responds to the violations report within 48 hours of
receipt. Andrew will ask the inspector to tone down the citations.
15. The Real Estate sign at the corner of Fallwood Dr. and Mimms CT is a violation of the
Covenants and should be removed.
16. Next Meeting will be at 6:30pm, Wednesday, May 18", at Bob Lintault’s house.
