Fallwood Board Meeting Minutes

May 13, 2015


Attendance:
Board members - Amy, Troy, Grant & Yvonne

Meeting called to order at 7:05 PM
Financials Financials reviewed. Financials to be posted to website by
Amy. Troy motioned to accept the financials. All approved.
Neighborhood inspection report - not done yet for the month of May
per Andrew. It is scheduled for tomorrow and we should receive the
report via email to review. The inspector will now have a magnet on
her vehicle indicating that she is with All-in-One.
Street light at pool - Need to schedule time with Bobby Rodger with
Cobb EMC to address light issue at the pool. Amy and Troy will also
meet with Nick from Splash (a certified electrician) to look at adding
lights at the pool to make the parking lot feel safer at night.
Pool house leak It has been fixed, insulated and re-painted. A big
thanks to Michael Valdez for doing all the work on this so we could get
the pool opened on time!
Damaged pool fan Amy sent text to Oscar. He has yet to respond to
her. Last communication with him was on March 31 when he said hed
need a week to get the fans installed.
Pool water fountain - It is still leaking. Amy will take a picture and send
it to Advanced Refrigeration. If it is leaking on the coil side it is not
repairable and will need to be replaced. Only two companies in GA can
fix the fountain. Amy will follow-up. It is not hurting anything, the leak
is small and the fountain operates fine but will need to be replaced
soon.
Community fence painting quotes and final decision The Board
reviewed a total 5 quotes from painters; Painting Plus, Superior Pro,
Painting Etc., Boy & a Bucket and Hectors Painting. Amy motions to
use Painting, Etc., all agree. Andrew to make sure they revise the
contract to bring their own water tanks. Andrew will also make sure
that the payment agreement is on the contract as well: 1.) 30% upfront
deposit, 2.) Prep, pressure wash, scrape, sand, then Board verifies the
prep work and pays 50%

3.) 20% held for final inspection of completed project. The Board will
mark the boards in the Phase 1 area that they feel need to be
replaced.
Signal Hill We never heard back from Cindy (Signal Hills HOA
president) regarding the area at their front entrance that she had
concerns with. Amy had returned an email to her requesting a meeting
and has had no response.
Flowers Tracy Zanone will not be planting the flowers at the front
entrance or pool this year. Andrew to get a quote from RGS to plant
flowers for the season.
New Homes For Sale/No Soliciting sign The Board received an email
from two neighbors regarding the placement of the new sign. There
were a few others who agreed via the Fallwood Facebook site. They
also requested that we remove other No Soliciting sign. The Board
reviewed all of the FB comments as well as the emails. A motion was
made to keep new sign where it is, two vote yes, one vote no and one
abstained from voting. All agree to remove the wooden No Soliciting
sign.
Pool parking lot Amy was concerned that the seal work we had done
a year ago was not looking great. Andrew will check the invoice from
Wild Cat to see if we have a warranty and also if this is normal.
Pool repair receipts - Amy to give AIO all receipts acquired from the
pool repairs (pipes, insulation, etc.), the new storage shelf, key tags,
flood lights, toilet paper, and air fresheners.
Pool restroom cleaning - Troy will ask Christiani Butler if she would be
willing to clean the restrooms again this year. She usually does this biweekly at $40 a cleaning throughout the entire pool season. Motion to
approve, all agree.
AIOs violation letter process The Board asks that letters no longer go
out to the neighbors until the Board approves the violations.
Pool weeds Andrew said he will contact RGS and ask them to spray
inside pool grounds. There is a key holder just for RGS so that they
have access inside the gate.
Splash renewal fee update, $270. Discussed and resolved. All looks
fine per pool contract.
Leadership transition Troy, Grant and Yvonne to discuss positions at a
later date. Amy will be resigning due to her selling her home. She will

be attending the next meeting to hand over all accumulated


information, keys, etc.
Pool house keys Replacement keys are $25 for the pool key and $3
for the bathroom key. It is the new homeowners responsibility to get a
copy from the seller/seller agent. If a homeowner needs a new set,
they need to contact AIO to request one. All checks to be written to
Fallwood HOA.
Neighborhood handbook revision - mailbox; the post is the
homeowners responsibility. Also add Classy Mailboxes contact info as
where one could obtain replacement numbers. We also need to give
guidelines for painting the mailboxes. We are looking in to possibly
allowing black automotive spray paint or a matte black paint for
mailbox upkeep. This will be further discussed at the next meeting.
Shingle guidelines - Per Troy, we should look into having guidelines for
roof shingles. Many roofs will need replacement in a few years and
wed like to maintain uniformity when the time comes. We will look in
to architectural shingles and possibly offer two color choices. Once the
decision is made, it will be added to the neighborhood handbook and
the neighbors will be updated.
Wooden fence near the pool the fence between the Mitchells home
and the pool will be repairedas will the powder coated aluminum
fence section near 828 Mimms Dr. and the detention pond. They should
be out in the next couple of weeks to make the repairs. AIO sent out
the deposit for the work. RGS to quote landscaping the area between
the fence and the Mitchells home. This will include replacing trees and
shrubs. We will be reviewing this quote in the fall.
Fallwood Facebook page Amy to set up an anonymous Fallwood
Board account so the Board members can post to the Fallwood
Facebook page as a general Board member. All members will have
access to this account page.
Next meeting - June 17th at 7 PM.
