Accounts Officers Job Duties:

Proper maintainance of vouchers and bills.


Proper maintenainance of expenditures or incomes in a ledger.
Shall maintain a file on Travel Expenses.
Shall keep the records on collections/raising funds. The names of the
benefactors should be listed properly for future references.
Shall keep an imprest money of Rs. 5000/- only for emergency need.
No advances shall be given to any member without prior approvals from
the President.
Reconciles financial discrepancies by collecting and analyzing account
information.
Maintains financial security by following internal controls.
Prepares payments by verifying documentation, and requesting
disbursements.
Maintains member confidence and protects operations by keeping
financial information confidential.
Accomplishes the result by performing the duty.
Contributes to team effort by accomplishing related results as needed.

COMMUNICATION OFFICER JOBS AND DUTIES

Communications officers are responsible for Unions communication with different


target audiences, including members, journalists, investors, suppliers and the
community.

By communicating effectively with their target audience, they help to build a


positive reputation for the Union.

They will decide on the matters to be disseminate from time to time.

PRESIDENT

(i) The President shall be subject to the control and supervision of Governing Body and have the
power to make general directions and management of the affairs relating to the Union. The
President of the Union shall also enjoy the following powers and duties:
(ii) He shall be the President of the Governing Body at General Body meetings and shall summon
and preside over all the Governing Body and General Body meetings of the Union.
(iii) At the time of voting on any matter/subject (except election) if the total votes of the groups of
members happen to be equal in number, the President has the power to cast an extra vote to decide
the matter/subject, save and except the Reserved Matters.
(iv) In the course of any proceedings or meetings of the Governing Body or the General Body, the
decision of the President shall be considered as final, except for the matters that are decided by
ballot or voting.
(v) He shall have the power to allow inclusion of any subject/matter in the agenda for the discussion
in the course of Governing Body / General Body meeting.
(vi) In case it is necessary to decide any point/matter/issue urgently and there is no time to call the
Governing Body meeting, the President shall have the powers to decide the point/issue/matter but
he/she shall bring the matter to the notice of the Governing Body as early as it is possible, for
having the same ratified.
(vii) To appoint/terminate such staff as may be required for effective and efficient management of
the affairs of the Union.
(viii) In the event of any executive Member(s) seat falling vacant the powers and functions of that
Executive Member would vest in the President of the Union.
(ix) He shall get the accounts of the Union audited by the qualified auditor appointed by the
Governing Body of the Union.
(x) Ensure compliance of all statutory formalities and Rules and regulations.

VICE PRESIDENT
The Vice President of the Union shall enjoy all the powers of the President in his absence.

SECRETARY/Joint Secretaries
The Secretary shall be responsible to the Governing Body for all day-to-day activities relating to the
proper management, maintenance and upkeep of the Union and:
(i) Will convene meetings of the Governing Body and General Body whenever necessary or called
upon to do so.
(ii) Will prepare the Register of Members as well as the proceedings register to record the minutes
of the proceedings of the Governing Body meetings and the General Body meetings and/or urgent
meetings of the General Body and have them duly signed by the Members who attend the meetings.
(iii) Look after the administration and other affairs and attend to all correspondence.
(iv) Summon and attend the meetings of the General Body and the Governing Body.
(v) Give effect to the directions and decisions taken at such meetings.
(vi) Collect all dues to the Union and ensure through the Accounts Officer, where appointed, that
proper accounts are maintained of all financial transactions relating to the Union.
(vii) Manage, and control the staff, and take disciplinary action where necessary.
(viii) Institute, prosecute and defend suits and other proceedings in which the Union may be
(ix) Prepare the annual report, and financial statement of accounts under the guidance of the
Governing Body.
(x) Generally perform all such duties as are incidental to the office of Secretary.
(xi)The Secretary shall maintain an imprest cash amount of Rs. 5000/ - (Rupees Five Thousand
only) for incidental expenses.

EVENT OFFICERS JOB ROLE

Shall be responsible for organizing any event where a gathering is to take place.
All the arangements shall be taken care of by the event officers.
The advance money may be obtained from the Accounts Officers with prior approval from
the President.

PUBLIC RELATION OFFICERS


Shall entertain any guests by providing proper informations about the Union.
Shall take care of the Reception Ceremonies.
Forms or other informations shall be provided by them from the office.
Shall act like a Helpdesk.
Receiving guests.

SPORTS OFFICERS
organise sports accorrding to the seasons whenever necessarry.
Formation of teams and other game officials should be selected by the Sports Officers.
Any Prizes required shall be provided by the Accounts Officer with prior approval from the
President and Secretary.
All the arrangements related to Sports shall be taken care of by the Sports Officers.

ART AND CULTURE OFFICERS


- organise troops
help whoever wants to know more about culture.
Organise progrmas on Art and culture.

EDUCATION OFFICERS
- keep record of all students.
- drop out students/regular students
organise seminars for the students to help them know the value of studying.
Shall take care of the coaching classes for X standards and other competitive exams.
Shall provide informations related to education admissions, institutions, scholarships,
study materials, entrance exams, etc

MEDIA OFFICERS
- responsible for magazines/printing/editing jobs/social media.
- photos of the events
- advertisement.
SPOKESPERSONS
- on behalf of GSU one must speak where President/Secretary is not required to be present
personally.
