WORK CARRIED OUT DURING THE INTERNSHIP PERIOD

It’s my pleasure to serve as a intern in BSSDPL for two months, under the
supervision of Mr. Abhijit Dutta (Manager, HSSE & Engg).During the
internship period in BSSDPL, task assigned to me are as follows:-

1. ISO standardization
2. Development of HSSE system and Manual
3. Development of a supporting manual

9
PROJECT -1:- ISO STANDARDIZATION

Main aim of this report is to define the ISO standards and process map for
BSSDPL for getting ISO certificate. For getting ISO certificate there are two
methods:-
1. With the help of Certification body
2. With the help of consultancy.

Before proceeding with the consultancy /certification body, we have to

complete our documentation records. If we capable enough to maintain our
documentation properly, then we apply directly via certification body.
Consultancy helps us to prepare proper documentation as well as
implementation as per ISO guidelines.

While preparing the report, meetings and communication arranged with

consultancies so that I got a better view to understand the basic needs for ISO
certification. Meeting with the staff, visits to the operational sites helps me to
better understand the operations of the organisation.

ISO standards that are cost relevant to BSSDPL are ISO-9001:2008, ISO-
14001 & OSHAS 18000. Detailed description about these standards is given
in the report. Process map as well as scope of work is clearly defined in the
report.

It’s not possible to describe the detailed report here, so only important points
related to ISO standards are described here.
Basic outline of the report is as follows:-

 Introduction
 Services and policies

10
 Why ISO for BSSDPL
 ISO- standards
 ISO certification process
 Organisation process map
 Standard selections
 Certification body/consultancy
 Selection and quotes
 Scope of work
 FAQ
 References

As per internship norms it’s not possible to describe the each part of the
report. Basic details about the ISO as per report are as follows:-

What is ISO:-

ISO (International Organization for Standardization) is the world's largest

developer and publisher of International Standards. ISO is a network of the
national standards institutes of 162 countries; one member per country, with a
Central Secretariat in Geneva, Switzerland, that coordinates the system.ISO is
a non-governmental organization that forms a bridge between the public and
private sectors. On the one hand, many of its member institutes are part of the
governmental structure of their countries, or are mandated by their
government. On the other hand, other members have their roots uniquely in
the private sector, having been set up by national partnerships of industry
associations.

Why standards matter

 Standards make an enormous and positive contribution to most aspects of

our lives.

11
 Standards ensure desirable characteristics of products and services such
as quality, environmental friendliness, safety, reliability, efficiency and
interchange ability - and at an economical cost.
 When products and services meet our expectations, we tend to take this
for granted and be unaware of the role of standards. However, when
standards are absent, we soon notice. We soon care when products turn
out to be of poor quality, do not fit, are incompatible with equipment that we
already have, are unreliable or dangerous.
 When products, systems, machinery and devices work well and safely, it is
often because they meet standards. And the organization responsible for
many thousands of the standards which benefit the world is ISO.

There are lots of ISO standards, but based on the industry applications and
services main ISO standards are as follows:-
 OHSAS 18001:2007 (Occupational health and safety analysis system)
 ISO 14001:2004 (Environmental Management Services)
 ISO 9001:2008 (Quality Management Services),
 ISO 22000:2005 (Food safety management system),
 ISO 27001:2005(Information Security Management System),
 ISO 13485 (Medical Devices),
 HACCP (Hazard analysis and critical control point) ,
 SA 8000:2001(Social accountability standard),
 WRAP (Worldwide Responsible accredited Production),
 BSCI (Business Social Compliance Initiative),
 TS 16949 (QMS for Auto Mobile Industry), etc.

Organisation process map

Organisation process map contains information about how to start and

what the scope of consultancy/body and organisation during the project

12
.here i defined the basic process map how to start Basic steps for process
map is as follows:-

 Project Initiation
 Gap Analyses
 Qms Design And Documentation
 Qms Training
 Qms Deployment And Implementation
 Audit Preparation And Internal Audit
 External Audits
 Controls And Continual Improvement

ISO certification standard selection

ISO standard selection is based on the company’s operations. As per services

BSSDPL is looking for the ISO--9001:2008.

 ISO certification body, consultancy selection

 Registration to ISO 9001 by an accredited certification body shows
committed to quality, customers, and a willingness to work towards
improving efficiency. It demonstrates the existence of an effective quality
management system that satisfies the rigours of an independent, external
audit.

There are total 162 members all over the world, certified by the ISO.
Certification boards that certify the bodies for ISO certification are:-

 Accreditation Commission For Conformity Assessment Bodies (ACCAB)

 Accreditation International Association for Certifying Bodies (AIAC)
 Accreditation Service for Certifying Bodies - Europe (ASCB)
 ANSI-ASQ National Accreditation Board (ANAB)
 Committee Francais d'Accréditation (COFRAC)

13
 Deutscher Akk reditierungsrat (DAR)
 International Register of Certificated Auditors (IRCA)
 Irish National Accreditation Board (INAB)
 Japan Accreditation Board for Conformity Assessment (JAB)
 Japanese Industrial Standards Committee (JISC)
 Joint Accreditation System of Australia and New Zealand (JAS-ANZ)
 Quality Council of India (QCI)
 The Dutch Accreditation Council RvA
 United Kingdom Accreditation Services (UKAS)

Certification body is certified by these boards, and consultancy took help from
certification body for ISO certification body. Consultancy doesn’t have rights to
directly certify the organisation. Charges and time frame is also mentioned in
the report based on the data provided by consultancies and certification
bodies.

Scope of work for all

This section describes the role and responsibility of each member in the
organisation towards the ISO certification. Scope of work for
consultancy/certification body as well as for organisation is defined clearly in
this section. One can easily able to understand the entire process related to
ISO.

Some points have not been mentioned here due to privacy of BSSDPL.

14
PROJECT – 2: FORMATION OF HSSE SYSTEM & MANUAL

Main aim of this project is to develop a HSSE sound system with the help of
the HSSE manual, which clearly represents the BSSDPL view towards the
health, safety, security and environment.

While developing the HSSE manual, I got incredible suggestions and support
from Mr. Abhijit Dutta (Manager, Engg. & HSSE), I also thankful to BSSDPL
location staff for their kind support during the project. Reference and formats
are added as per the ACQAM, International HSSE polices, JIG guidelines
related to HSSE for into-plane services. Some additional formats are also
added in the manual like waste management, emergency no. etc, to ensure
the proper monitoring and systematic approach.

I followed these steps while developing the HSSE manual:-

 Understanding the process

 Visits to the locations
 Study of International guidelines and polices related to HSSE.
 Discussion with the mentor/staff members.
 Formation of the manual

It’s not possible to describe the detailed report here, so only important points
related to HSSE are described here.

15
Basic outline of the manual is as follows:-

 Introduction
 Organisation commitment

Success of business operation at any location depends on employees. As

out works are the topmost priorities of the BSSDPL. For health proper

carry a first aid kit in the operational site. For personal safety it’s mandatory to
wear personal protective equipments.

Environment protection
BSSDPL is committed to the protection of environment whatever the work
being undertaken. Translated into practical measures, this commitment
means that BSSDPL shall not permit its employees or those of its

17
subcontractor, if any, to cause any harmful change to the environment
whether in appearance or in substance.

Management of change
Temporary and permanent types of changes are sometimes required in the
existing and operating system for various reasons. The reasons could be to
bring in higher efficiency in the system, improve operability/ safety and
reliability in facilities and system as a whole. Additionally, the need could be
prevention or reduction of downtime, prevention of possible mishaps,
reduction of risks, changing erratic / failing parts of equipment or system to

18
to an emergency. The company shall also prepare interface documents linking
the HSE emergency procedures to its client vessels and where appropriate, to
the client to ensure that responsibilities are known.

Incident Investigation, analysis

Incident investigation is not for fault finding or punishment. There are many
contributors for incident happening most of which are attributable to
judgmental errors during the work process. In fact incident investigation is a
fact finding process.

The investigator is to prepare him before carrying out investigation. It is

common with every human being to quickly find out the causes and come to a
conclusion. However, fact finding needs to be arrived at after examination of
various possibilities and a logical conclusion is made for the most probable
cause of the incident.

19
PROJECT -3: STANDING INSTRUCTIONS MANUAL

Main aim of this project is to prepare standing instructions manual (Engg.

manual) contains all those formats which are in use at locations but not
included in the ACQAM and HSSE manual. with the help of SIM it’s easy to
inform all the staffs about all above rules, regulations, acts, guidelines,
manuals, etc. including obligations the staffs needs to discharge for the
performance at the plant. Mainly my work is to search out the total locations
formats and bind them up in the form of a manual.

I am very obliged to Mr. Abhijit Dutta (Manager, Engg. & HSSE) for his
invaluable suggestions and supports. Also thanks to BSSDPL locations staff
members, without their support and suggestions.

For better understanding of process, All procedures, instructions and activities

shall be documented I followed these steps while developing the HSSE
manual:-

 Visits to locations
 Collection of formats
 Categorization of the formats
 Matching with the ACQAM & HSSE manual
 Discussion with Mentor/ location staff.

It’s not possible to describe the detailed report here, so only important points
related to HSSE are described here.

20
Basic outline of the manual is as follows:-

 Introduction
 Need for standing instructions manual
 Reporting and documentation
 Engineering section
 Vehicle
 Master equipments
 others
 Operations section
 Stock
 Shift
 Others
 Administration & accounts section
 Amendment
 Safety and management

Introduction
With the help of SIM it’s easy to inform all the staffs about all above rules,
regulations, acts, guidelines, manuals, etc. including obligations the staffs
needs to discharge for the performance at the plant. Mainly my work is to
search out the total locations formats and bind them up in the form of a
manual. Basic information about the company, including headquarters details,
locations details and history of the company.

21
Need for standing instructions manual

All procedures, instructions and activities shall be documented. These

documents constitute an extremely valuable tool in the assessment of the
organization’s compliance with requirement as well as the degree of
improvement achieved in the organization’s overall performance. In case of
accidents, the document constitutes an essential source of information
and evidence for investigation purposes.
A system exists to inform all the staffs about all above rules, regulations, acts,
guidelines, manuals, etc. including obligations the staffs needs to discharge
for the performance at the plant. HSSE manual contains safety, health,
security and environment related formats, and AQCAM defines the structure
and procedure of the organisation.

Apart of AQCAM and HSSE manual, there are some more formats which are
not included in HSSE and AQCAM. These formats are of
daily/weekly/monthly/quarterly/annually basis. For the monitoring and better
understanding of the process this manual is formulated. Main purpose of this
manual is to collect these loose formats and arrange them in a systematic
manner for better understanding of process.

Reporting and documentation

Reporting and documentation of the all formats is divided in to 3 main groups,
engineering section, operations section and administration & accounts
section. Now this section is again divided into category wise. Like, engineering
section contains all formats related to vehicles, master equipments and same
as operations section contains all section related to stock and shift.
Categorisation of the section is as follows:-

 Engineering section

22
 Vehicle
 Master equipments
 others
 Operations section
 Stock
 Shift
 Others
 Administration & accounts section

Amendment
Temporary and permanent types of changes are sometimes required in the
existing and operating system for various reasons. The reasons could be to
bring in higher efficiency in the system, improve operability/ safety and
reliability in facilities and system as a whole. Additionally, the need could be
prevention or reduction of downtime, prevention of possible mishaps,
reduction of risks, changing erratic / failing parts of equipment or system to
meet lifecycle operation as far as possible, to improve lifecycle of equipment,
etc.

 Procedure for changes is well recorded and management approval

obtained for temporary and permanent type of changes.

 In post change situation, observations of operation and equipment are well

recorded in respect of health, safety, security, environmental, technical and
other impacts.

 Changes in the statutory rules, regulations, acts, conditions imposed are

clearly tracked and recorded. All existing manuals, rules, procedures are
updated with such changes.

23
 A system exists to bring all such changes and the impact in HSE, security,
technicality in operation and production, etc. are informed to all staff for
guidance and implementation.

24
CONCLUSIONS AND RECOMMENDATIONS

The internship with BSSDPL proved really fruitful for me. I learnt different and
new concepts related to the Aviation field and into plane services.

The internship has met all the objectives and its success has surpassed my
expectations. It has opened my eyes to working life, enlightened me socially,
and matured me as an adult. It has strengthened my knowledge base. Finally,
it has given me a clear sense of direction in my future studies and career as
an engineer.

RECOMMENDATIONS

Host company:

My training experience at BSSDPL has been so satisfying .I am perfectly

happy with the style of supervision of Mr. Abhijit Dutta (Mentor). Other
members of staff, too, have been very friendly and supportive. Facilities are in
great condition and the work environment is very organized, professional and
conducive to learning.

College Internship Unit:

I am also pleased with the internship unit. They have actively responded to all
questions and requests. However there is always a scope for improvement
and therefore I recommend that the internship unit should adapt to more and
better rules and regulations.
