CHAPTER 1

INTRODUCTION

Library is a collection of sources of information (books, periodicals, newspapers,

etc.) and is made to be accessible for the students, especially in Schools. Transacting in

the library sometimes makes it hard for a librarian and students because of some

problems that arises in the process like long queue and hard finding of record book and

library card if it is not organize and it is too many. Traditional/manual library system is a

process between the librarian and student, where the librarian gives a library card to the

students and they will fill-up them using pen and after that, they will sign to a log/record

book of the library to secure their resources like books. With the advancement of

technology, using computer in any form brings efficiency and accuracy, particularly in

the library system , thus eliminating the problem in the process. Aiding a transaction in

the library with technology will turn out into a computerized system instead of a

traditional one. Computerized library system is the computerization in the existing

manual library system by inputting all the needed data in the system using a

programming language and it is the purpose of this Capstone project: To propose,

develop, and implement a computerized library system.

Purpose and description

The computerized library system was proposed to Asian Institute of Computer

Studies – Montalban Library in order to help the librarian in managing the library in an

efficient, accurate and paperless way to make the library more student-friendly.

Computerized library system has the following capabilities:

1. To maintain and update the database of students and resources like books in an

organized way.

2. To speed up the process of generating overdue reports or notifications.

3. To record borrowing, returning, log in, and log out of the students.

Objectives of the study

The following are the objectives of the study

General Objective

The objective of this study is to develop a computerized library system that will

store the students number with information and books number with information, and

prescriptions of the librarian.

Specific Objectives

A. To propose a system for the improvement of the current traditional system.

B. To design a system that will fit to the need of the library.

C. To implement the system after it is developed and tested.

Scope and limitation

This capstone project was about the computerized library system of Asian

Institute of Computer Studies – Montalban. The proposal, testing and implementation of

the system is only applicable on the aforementioned school since the researchers are from

that school. The system will not produce any print-outs of information and it is offline

and can only be accessed to a computer where it is putted. The system database is not

capable of sharing its data to another system (on the other computer where it is putted).

The system will be developed using C++ programming language.

Definition of terms

Computerized library system -A system that contains data about students and books.

Computerized -To be controlled or processed by a computer.

Library -A collection of sources of information like books.

System -A collection of elements or components that are organized for a common

purpose.

Data -Unorganized facts that needs to be processed.

Information -Processed and organized data.

Database -A collection of information that is organized so that it can be easily accessed,

managed and updated.

This conceptual framework is about the process on how the computerized library system

will be develop throughout the whole process period.

On the input box, it has the elements that is needed for the development of the system.

On the process box, it about on how the elements in input box is going to be processed.

Lastly, On the output box, it deals on the final objectives of this study which is to

implement the system.

REVIEW OF RELATED LITERATURE AND STUDIES

catalogue has become a way to pull together disparate resources, including

commercial resources and web links. Management systems also allow circulation,

including check in/check out and enable libraries to purchase materials and track

where they are. According to Chad (2009), consulting is at a major point of

change in the wider information economy within which library systems form part

of a larger whole. He was writing in a briefing paper about the study in library

management systems.

 According to Britannica Online (2010), the word library derives from Latin liber,

which means the book. The origin of libraries dates back around 3rd century B.C

in Babylonia, where keep written records which has been part of their history. The

first libraries as a collection of books were evidenced in Greek temples and those

B.C modern libraries usually contain periodicals, microfilms, tapes, video,

compact discs, and other materials in addition to books.

 Dewey (1992), ass cited by Pasilan (2000) defines in integrated library system as

the one that bring together numerous library tasks into one system. It allows the

library to have a direct control on its automation with a great efficiency. It also

allows the user to use the library data for the acquisition, cataloging, and

circulation of library collections.

 Hoffer, Prescott, and McFadden (2002) defines a database as an organized

collection of related data. They also defined data as known facts that are recorded

and stored on a computer system are structured to be easily stored, manipulated,

queried and retrieved by data users.

data processing machines to perform routine library activities. It implies a high

degree of mechanization of various routine and repetitive tasks &operations and

 According to Eden (2011), views that most libraries are forced to work with

fewerstaff because of the having a more improved and modernized system for

their library.According also to the study, the library administration need to

emphasize to their staff that the organization has a vested interest in providing

Buhangin, Davao City. The Filipiniana and General References were housed

together with the College of Arts and Sciences (CAS) collection in Room 2 of the

Philippine Coconut Authority. In the Second Semester AY 1996-1997,the CAS

 By exploitation of the computers in access and management of information,

universities can now administer the library’s operational efficiencies and

organizational effectiveness. The more informative system in libraries can

efficiently aid the processing of knowledge by supplying the useful information.

The computerized library system in universities is expected to lessen the burden

on both librarian and students in searching for thea ppropriate books and

information. Therefore, the new library system centers in the advantages in terms

of accessing, retrieving, and sharing information most especially in a

technologically oriented University environment (Shibanda, 2002).

 Library is a fast growing organism. The ancient methods of maintaining it are no

longer dynamic and efficient. For expeditious retrieval and dissemination of

information and better service for the clientele, application of modern techniques

has become absolutely indispensable. A properly computerized library will help

its users with quick and prompt services.

 Library automation refers to mechanization of library housekeeping operations

predominantly by computerization. Library management system is a typical

management Information system (MIS), its Development include the

establishment and maintenance of back-end database and front-end application

development aspects. For the former require the establishment of data consistency

and integrity of the strong data security and good libraries. As for the latter

requires the application fully functional, easy to use, and rich client interface. The

Library System is also created to ensure that the library items store properly in

other to maintain their security.

 Library management system is a project which aims in developing a computerized

system to maintain all the daily works of library. This project has many features

which are generally not available in normal library management systems like

facility of user login and a facility of admin login through which the admin can

monitor the whole system. It also has facility of an online notice board where

teachers and student can put up information about workshops or seminars being

held in our colleges or nearby colleges and librarian after proper verification from

the concerned institution. Organizing the seminar can add it to the notice board. It

has also a facility where student after logging in their accounts can see list of

books issued and its issue date and return date and also the students can request

the librarian to add new books by filling the book request form. The librarian after

logging into his account i.e. admin account can generate various reports such as

student report, issue report, teacher report and book report. Overall this project of

ours is being developed to help the students as well as staff of library to maintain

the library in the best way possible and also reduce the human efforts.

 Computers are almost in all places. It has changed how people work and the

routine of companies and procedure in other establishments. It is resourceful and

performs wide variety of task. Computer increases productivity for both

individuals and organizations because they are fast, accurate, able to process huge

amounts of information and eliminate boring works. It is an integral part of

today’s society; it characterizes the future for many people. People have found the

importance of computers in agencies and institutions whether private or public.

This is especially true in universities and colleges. They are using computers in

various processes. Before the evolution of computers, all the details in a library

used to be maintained manually. This is not advisable because maintenance and

retrieval of information becomes tedious. Modern computers have the capability

of handling numbers of tasks with intelligent control over the whole process. An

automated library system automates a library by storing all the details involved in

maintaining a library. The mission of the Automated Library System we proposed

is to create integrated services for members and administration of Pallas-

Papagueyan Elementary School Library. This System is to provide facilities for

users to enter information into the system directly, instead of passing the

information usually on paper. The system will be designed to provide and manage

the library including the borrowing ,returning and searching of books.

 The development of the quality of a system depends on how helpful it is and how

would reinvent such institutions libraries in solving students problems. It must be

able to identify the areas of concern within the system and its environment. It can

makes the data standardized, remote access to files, greater capability for doing

things to and with the computer-based files, and increased vulnerability to

technological failure, more secure and automated document and records handling.

The system provides inventory of books for easier access and effortless searching

generating the records provides the borrower to know if that certain book is

available. System that can know which titles it already has. The system will also

reinvents the traditional way of borrowing books, which is the used of library

forms. Since we are on automation it is hence a fact that it would not be record

intensive. The system provides an access to the student’s data with the use of his

information. The librarian would just type the ID number of the student

borrowing form for encoding of the books that he will borrow to know if the book

Is available. Automated library System for Santo Pallas-Papagueyan is very

useful because it is a cost effective and space saving alternative to common

document shelving technologies .Adoption of the proposed system would be a

great help in development for the said school, because every institution needs

accurate, complete and timely information. To make decisions and survive in

 The login form will be seen in first form, that can register the account of student

and teacher on it. The admin is the one who will use computer and when the

student/teacher wants to borrow book they will login first , choose the book they

want to borrow automatically and will see when is the due date of the book they

borrow. The system will reduce the time and effort of the users in terms of

adding, editing, searching, deleting and recording of records. The system can also

help in reducing the expenses of the library such as papers, folders, pens and other

materials needed in their current system. The system that enables the librarian to

share the records of the student such as the borrowing books, returning books,

search books, and prescriptions of the librarian. The student’s personal

information2data may be stored upon the request of authorized librarian/admin.

 A system is a network of interdependent components that work together to try to

accomplish the aim of the system. A system must have aim. Without the aim,

there is no system. In this so-called computer age, almost all people from various

ages know how to use computer. Some uses it for educational purpose,

communication online games and most especially in Business and Transactions.

With the use of computer and knowledge of a programmer they can build a

computer-based system. And one of these is Library System of a School. Library

systems are in demand nowadays. It can make the librarian’s work more

manageable and accurate compared to a manual system. It is important to a school

to have an effective and efficient library system not only to accommodate large

number of books, but also to make the updating and borrowing, returning and

organizing of book records. By the use of this system, it can also improve the

accessibility of records, and make the librarian’s tasks more manageable. After

the researchers studied some schools’ Library processes and surveyed some

students and school employees, the researchers found that there are most schools

still use Manual library system. A prevalent finding is that these schools

encounter problems in the filing and retrieval. One of these schools is Sta. Monica

De Minalin Montessori School. Recent advance in library technologies and

processor have transformed the contemporary libraries to a modern information

center. Library trends are clearly toward the idea of making information available

and quickly reaching the public. Thus, the researchers proposed for the

computerization of the library of Sta. Monica De Minalin Montessori School.

Synthesis

The review of related literature and studies above shows a proof that a

Requirement Documentation

Development and Testing

This shows the capabalities of the system prior to development and testing.

Efficiency – The CLS gets rid of wasting materials, energy, efforts, money, and time

because it is producing a desired result instantly.

Accuracy – The CLS can operate correctness in all details that is inputted and processed

in the system.

Functionality – The UI is simple and user-friendly.

Reliability – The CLS is operated and controlled by the librarian for the integrity in the

system.

Portability – The CLS operates in any version of windows (Windows 7 and above).

Maintainability - The system can be easily maintained by the librarian. It is maintained

by the system developer/s in case of the heavy problem.

Description of the Prototype

The Computerized library System (CLS) has been there already before this study was

conducted therefore this study will be based on (some/various) other Computerized

Library System that is available offline. This capstone project aims to create a unique

CLS that researchers do by eliminating other function that the system really doesn't even

so that it will become suitable for the school use. The CLS that will be created in this

capstone project has fewer function that any other CLS has. The source code available

online will be the reference of the prototype of the system because it has a similar

programming language used (C++).
