Agenda
Post contesting for: Cultural Board-Events Manager
 Proposals:
1.Conducting an all cultural club orientation prior to the
individual club orientations.
2.Helping in releasing the Manthan rulebook as early as
possible.
3.I plan to organize an Institute Halloween Night on the
Halloween day-31st October 2019, in association with
Alcheringa 2020.
4.I also plan to conduct an online photography contest for
freshers on 19th August 2019(World photography day) with
the help of Montage club.

 Possible solutions through proposal:

1.After the Freshers-Seniors interaction ban, Freshers
generally seems confused of joining and pursuing with the
cultural clubs, so an all club orientation will give them an
overview and insight into every club which will further
encourage the freshers to join the respective clubs they are
interested in.
2.Releasing the rulebook of Manthan as soon as possible will
help the hostels to start their preparation earlier which will in
turn increase the level of competitiveness.
3.Organising an Institute Halloween day is just another
recreational activity which the campus junta can celebrate
and enjoy.
4 During the initial days, such an event can have sufficient
freshers’ involvement and at the same time they can
appreciate the aesthetic beauty of the campus.

 Plan of action for the proposals:

1.For the all club orientation and several other events in
general:
 First of all a proper date, time and available venue
will be fixed through a meeting with all club
secretaries.
 Then with the help of General Secretary, Cultural
Board a proposal will be drafted and sent to the
Admin. for the approval of the event through the
Cult board Chairman and the Dean .
 The proposal will contain scheduling and funds
(which includes advance) required for the event.
Once approved the advance money will be allocated
to the clubs as per their requirements.
  Now preparation of venue will start, along with the
outsourcing of equipments etc… and then conduction
of the event will be done as per planned during
meeting.
 Once the event is over reimbursement process will
start for which another proposal will be sent to the
Chairman, Dean and the financial committee of the
senate.
2. For the early releasing of Manthan rulebook,
The General secretary, Events Manager and all the Club
secretaries will call upon an early meeting through which a
deadline will be set before which it will be made sure that
the rulebook is prepared. So basically the rulebook making
process will be started earlier.
3.On the Halloween night,
 The campus junta can dress up in whatever odd
costume they admire and walk into the streets of the
campus.
 After which they will be invited for bonfire which will be
done near the swimming pool area.
 The area will be well decorated with lights, pumpkins
etc… with the help of team Alcheringa 2020.
 The Alcheringa Branding team can help in the outreach
of the event to the campus junta for crowd gathering.
4. For the online photography contest,
 Since the World photography day is on 19th August
(Monday), so the freshers will be given two days (Sat
 and Sun) to explore the campus and click iconic pictures
related to the theme decided by Montage.
 The participants will submit their photos on a portal
which will be made with the help of SWC.
 The winners will be announced the following day on
World photography day.
