Start with, Buffer: appreciation: Thank you for your letter. other positive opening: You are right to
expect good service.

Explanation and Alternatives: needed details, answers to questions, tactful imbedded bad news,
counterproposal, ideas for getting needed help or for future changes; sales promotion for other
products available.

End with, Positive, Friendly Closure: appreciation, invitation to future action, good wishes, forward look.

Include as needed: application blanks, stamped envelopes.

 Dear Mr. & Mrs. Alexander,

I hope this letter find you well, 

I would like to grab your attention to that, all of our work is guaranteed and normally we
would replace any plants that do not survive. However, the plants that are needing to be
replaced are due to the failure to maintain the property once the sale was completed. This
would be the responsibility of the former owners or the escrow agency.

Our work is also guaranteed to the person who we were contracted with and this is a non-
transferrable guarantee. Upon review of the property, despite all of the landscape, I do
believe that it can be restored with dedication to heavy watering and caring for the plants
and grass to rejuvenate and give new life to them. I would advise contacting the escrow
agency to discuss options to try to work a claim through them.
