IMAGE MANAGEMENT

Overview of Input and Processing

Image Management benefits the user by providing immediate access to digital copies of
essential data such as signatures, loan documentation, birth certificates or passports.
There is no need to access the physical document itself - indeed this may not be possible
with items such as passports, or if the item itself is stored somewhere for safekeeping.
Only the capture station needs access to a scanner; any standard PC can view the stored
images.

Note :

T24 Image Management will only be able to use hardware that works on your chosen PC
configuration. If the scanner will not work on your PC with the software provided by the
manufacturer, Image Management would not work either.

T24 IM applications

The standard applications used by Image Management are:

Figure 1 - Image Management Applications Table

IM.DOC.IMAGE.PARAMETER

This application contains just one record called system and is reserved for future use.

IM.IMAGE.TYPE

This application is the first part of IM that needs to be configured.  It controls the type
and location of images used in T24.

Figure 2 - Image Type screen

In the above example, the storage of Signatures is divided into sub-directories for Client,
and is further divided alphabetically. The storage device can be a local hard disk, CD-
ROM or a Network device as long as it can be accessed using a DOS drive letter (A-Z).

Whilst it is possible to locate many image files in a single directory, it makes more
business sense to segregate images by type: passport, legal documents, signatures, etc.

It is not recommended for images to be stored on local PC’s. However Network devices
and removable media (CD-ROM or removable hard disks) are perfectly acceptable.

IM.DOCUMENT.IMAGE

Once the IM.IMAGE.TYPE has been entered it is possible to capture the image within
T24. This is done via the application IM.DOCUMENT.IMAGE , the key of which is a
standard T24 transaction reference such as IM9712312345 . The transaction records
where the image will be stored, the company, the application (if any) the image is
associated with and the description fields.

It should be noted that the image captured does not have to be associated to a T24
application, record or field. In fact the reference can be anything, a number or phrase,
anything that is meaningful to the user.

Typical usage however will relate the image to an application and record, such as a
signature being tied to a T24 ACCOUNT , a loan document associated with a particular
LD loan contract and so on. The same reference can be used to group several images
together, for example a set of 10 signatures can be related to a CUSTOMER record.

The images can be retrieved and displayed in several ways:

·       By using the special ENQUIRY IMAGE.LIST which allows searches to be

performed

·       By using the image icon on the toolbar

When in an application, if the image display icon is clicked on, T24 will perform an
automatic search based on the following criteria.

·       Check for an image reference equal to the current field content

·       If only one is found, it is displayed immediately

·       If more than one is found, an Enquiry list is shown for the user to select from

·       If no image is found, checks for the record key of the application

·       If only one is found, it is displayed immediately

·       If more than one is found, an Enquiry list is shown for the user to select from

·       If no record is found, a message is displayed reporting the search details.

Capturing an Image

In the series of example screenshots below a simple signature will be captured. The
screenshots do not cover the software screens that are specific to the scanners, as there
will be many different versions; the same scanner model can even be bundled with
different software from country to country. The important detail is that the software and
scanner are Twain compliant.

In the example below, the details of a signature card that is about to be captured have
been entered. It is associated with the ACCOUNT application, and more specifically to
ACCOUNT 0000010146 . Once these details are entered the image icon is clicked on.
Note:  This is the only T24 application where the usage of this icon is not simply for
displaying an image: it is the trigger to launch the scanner software where the image will
be scanned. In the scanner software you would typically set the colours, resolution, size
and, once captured, send the image back to T24 for processing.

In the example below the signature card has been scanned.

It is possible to do some basic manipulation of the image before storing, such as

amending the image type to save as, inverting the image, saving colour images as
greyscale etc.

Once the image is in the desired format it can be saved via the File menu. Exiting from
the same menu, goes back to the T24 record where hitting <F5> (or its equivalent) to
commit the data.

Invoking an image within T24

As previously stated the user can access an image in various ways from T24: by Enquiry
or more usefully by the image reference from within an application.

The signature captured earlier is for ACCOUNT 0000010146 . Wherever this

ACCOUNT number can be entered the image can be displayed.

In the example below the TELLER application is being used to exchange currency and
the cashier needs to verify the clients signature.

The image icon (a palm tree) on the toolbar with the ToolTip displayed above is clicked
on to display the image.

As there is only one image in this instance, it is displayed immediately.

Figure 9 - Screen with Signature

The next example has been modified so that the image requested is based on the content
of a narrative field.  As this does not need to be a T24 record, for illustration purposes,
the key ‘HELLO’ has been used. If only one image is stored with the key ‘HELLO’ it
will trigger the immediate display of the image. When there is more than one related
image the ENQUIRY IMAGE.LIST is shown with the choice of images.  The user can
then select which one to display or can view them all if required

ENQUIRY - IMAGE.LIST

For day to day management of the library of images, an ENQUIRY is supplied which can
search through the T24 images using common selection criteria. The name of this
ENQUIRY is IMAGE.LIST .

Once entered the result will display as below:
