VIACK is a private company which was incorporated in 1999 with a head quarter in Scottsdale.
This company involved in a business of designing software for different purposes especially for
online meetings. Its big product is VIA3 software. This software enables professionals to
discuss any information with their employees and collaborators at anywhere in the world with
high quality video and audio under high security. This software includes:

 VIA3 Messenger
 VIA3 Meeting Manager
 VIA3 Intelligent Recording
 VIA3 Share Desktop
 VIA3 Presentation

QUESTION # 01:

Identify different channels of communication used by VIACK. Which


according to you is best channel and why?

COMMUNICATION CHANNELS:

Communication channel means a medium through which a message


send or receive or we can communicate with other people. The choice of medium hold great
importance in communication process and it must be wise to avoid harmony in communication.
It can be defined as:

“A pathway through which a message receive or send

To the particular person”

COMMUNICATION CHANNELS USED BY VIACK:

As VIACK company engaged in online business form, it mainly used


two medium to communicate within the organization.
The 1st channels is:

 Online Collaborative Tool

The 2nd channel is:

 Face to Face Communication

1) ONLINE COLLABORATION TOOL:

Online collaboration tool is a communication channel used by VIACK


Company to communicate with colleagues and employees. It is an electronic
communication channel in which the company staff can see 14 people at a time and
communicate with them. Employees used this communication tool with a webcam and
headset.

2) FACE TO FACE COMMUNICATION:

Face to Face communication is one of the richest communication channel


that is widely used in all organizations. This channel create good interaction between
management and employees and also reduce the chances of ambiguity. Therefore, VIACK
Company also used this channel for communication with employees. VIACK company top
management frequently visit to employees to see in different locations and to feel employees
that, they are important and valued for company.

For example: the company CEO visit engineering facility when there arise any problem getting
new products out.

WHICH IS BEST CHANNEL? AND WHY?

From the above mentioned channels used by VIACK Company, according


to my interpretation, face to face communication channel is the most effective

communication channel because in this channel we physically see the speaker, hos facial
expression, tone and the way he intend the message to others. Through these we can
easily interpret the message in the same mean as speaker want.

Advantages:

 This channel create friendly environment between management and employees.


 This channel reduces the chances of ambiguity.
 This channel build confidence of employees to talk freely with management.

QUESTION # 02:

Which are the communication barriers you see in the above case? How to
overcome them?

COMMUNICATION BARRIERS:

A barriers means something that distort smooth flow of anything.


Likewise, communication barriers means some specific items that hinders the flow of
communication.

It can be defined as:

“Barriers are obstacles that distort effective exchange of

Information, ideas and thoughts.”

COMMUNICATION BARRIERS IN VIACK COMPANY:

Following are the Barriers in VIACK Company:

 As we know that VIACK Company use their online collaboration tool for
discussion, meetings and conferences and under this tool only 14 people can
connect at a time. This thing hinders the flow of communication and cause to

psychological barriers. It is due to the reason that the management can talk only
14 employees at a time and the other employees thinks that why management call
them earlier, are they more important for company and what kind of discussion
they made, these things create distrust and cause to communication barrier.
 Distance and noise also cause to communication barriers. As VIACK Company
employees are engaged through online system, there is distance between them.
They are unable to understand the attitude of each other due to distance and this
thing lead to communication barrier. As company use online collaboration tool
for meetings, sometime the employees may be unable to interpret message
because of sudden noise during meeting and this thing cause to communication
barrier.
 Another barrier of communication in VIACK Company is the organizational
barriers, as all employees may not have the effective internet service and
therefore there working progress become low, this thing create an obstacle in the
way of communication.
 VIACK company also introduce anonymous suggestion system for employees to
give their suggestions to management but this system could not work because
employees now the habitual of asking hard question to CEO. According to my
point, this thing may be the barrier of communication because communication
always be in courteous way.

REMEDIES TO OVERCOME THESE BARRIERS:

Following are some suggestions or remedies to overcome these mentioned barriers.

1) First of all VIACK company management must develop a system in which all
employees can connect at a time and participate in discussion or attend the
meetings.
2) The company management must encourage face to face meetings and discussion
so that employees of various department can understand each other.
3) The company also develop strategies for those employees who face connectivity
problems or to record meetings and send to those employees so that, they can
understand it easily.

4) Management develop some system to tell the employees to keep their
communication always in courteous way.
