Step 2: Document preparation and uploading process for joining formalities and details of

ID verification

It is mandatory to carry hard copies of below-mentioned documents with you on the day of physically
reporting to your TCS work location. (Physical reporting date to TCS offices will be confirmed to you
later)

Note: This Documents and details are only valid, if you received it directly through TCS HR or Xplore
support.

How to prepare the documents


(Please check the Annexure in NextStep for more details)

Document 1) Service Agreement (Not applicable for C1 & above Grade associates based on the offer
letter)

1. Should be prepared on original Stamp paper of total value Rs.100 or you can use two stamp
papers of Rs 50, duly filled and signed by both Surety & candidate on every page (Pages 1 to 5).
Please note: - Due to COVID19 situation, if you are unable to get the Stamp paper, download the
blank formats from Next Step Portal and fill it up properly and upload it in the iON folder along
with the following documents for HR verification.
2. The Surety Verification format is given on the 6th page of Service Agreement. Fill it up and get
the page attested by a Gazetted Officer/Notary/Employer of Surety) or use the Surety’s
Passport self-attested.
3. Surety’s PAN Card & Surety’s ITR/Form 16 (self-attested by Surety)
4. Date of agreement should be updated as “Date of Joining” (Page 1)
5. Surety should be an income tax payee (having paid tax in the current or previous Assessment
year) & (ITR/Form 16 documents should from Assessment year 2019-20 or 2020-21)
6. ITR /form 16 documents of surety should be provided as proof of paying tax (Tax paid should not
be zero or Gross total income of the Surety should be Rs 300000 for one year).

Document 2) Onboarding forms (Retiral nominations)

1) Retiral forms (PF Form2 & Form 9, Form F - Gratuity nomination)


2) Forms should be filled, signed by you in all the place wherever Subscriber or Member is
mentioned. Please do not sign in place of the employer.
3) Print the forms on the A4 sheet- one copy of Form 2 & Form F and 2 copies of Form9, submit
based on the above table for HR verification

Document 3) Offer Letter all pages (Confidentiality, IP, Data Protection agreement)

1) Print the Offer Letter on A4 sheet and Sign at the bottom of every page (1st page to last page)
and submit based on the table given above, for HR verification.

Document 4) Declaration Kit

1) Document will be shared on the iON document upload folder, a day after the Joining. Print it and
fill in the details as explained in the Declaration kit video, and upload in the Document upload
folder in iON
2) The Declaration kit has been updated to accommodate the Virtual mode of Onboarding. Use
Declaration Kit version 4.1 for creating the Declaration kit

Document 5) Non-Criminal Affidavit

1. Should be prepared on original Stamp paper of total value Rs.100 or you can use two stamp
papers of Rs 50 and must be notarized on all the pages and two witnesses to sign on Page 2, and
submit based on the table given above, for verification.
Please note: - due to COVID19 situation, you can download the blank format from Next Step
Portal instead of stamp paper and fill the details and submit based on the table given above, for
verification.
2. Candidate sign should be present on each page of non-criminal affidavit
3. Some part of the text of the Non-criminal affidavit must be printed on the first page which has
the stamp imprint (first page)
Document 6) Medical Certificate

1) Pre-joining Medical Fitness Form – This must be filled and signed by a registered medical
practitioner (Qualified MBBS Doctor).
2) Your photograph needs to be affixed and attested by the doctor on the 1st page and the doctor
must sign on page 2 as well.
3) Your signature should be there on 1st page.
4) You can download the Pre-joining Medical Fitness Format from the NextStep portal.
Please note: - due to COVID19 situation, you can download the blank formats from Next Step
Portal and filled and signed by you of fill the details.

Document 7) Undertaking Form

1. For initiating your virtual onboarding process, please copy the undertaking text given in the PDF
file, paste it on the body of email and share it with your HR from your registered email id, as an
acknowledgement of the undertaking. Kindly do not share it as an attachment. (Do not edit the
text given in the PDF file)
2. Please mention Subject line as “Undertaking-CT/DT Number-Name”

Document 8) Addendum

1. Document already provided in Welcome mail


2. Addendum is applicable only for highest qualification not completed candidates
3. It should be uploaded along with the Bonafide certificate in NextStep portal BGC link for
verification.

Document 9) Other Affidavits

1. All affidavits should be prepared in original Stamp paper and total value of the stamp paper
should be Rs.100 and must be notarized in all the pages.
2. The following should be prepared, if applicable
• Gap affidavit- If you have a total gap of more than 6 month after your 10th till highest
qualification you must prepare an affidavit which mentions your total gap period and
the reason for the gap.
• Name change affidavit- If there is any difference in your ID proof name compared to
birth certificate or 10th certificate, please prepare an affidavit which mentions your
correct name.
• Address affidavit- If there is no proof for current living location you have to prepare the
affidavit with mentioned the current address
• Birth affidavit- If you do not have your birth certificate you should prepare the birth
affidavit with mentioned correct name.
Document 10) Course completion/Bonafide letter

Proof of Course Completion: The preferred document to be uploaded is the Degree Certificate or the
Provisional Degree Certificate. If you do not have this, you can prepare a Course Completion certificate
keeping in mind the below points:

1) The document must be signed or Digitally signed /verified by Principal/Director/Controller of


Examinations
3. Should state the status of your course (including Viva, Labs, Supplementary/Pending backlogs)
and all examinations till the final semester have been attempted.
4. The name and roll number of the candidate
5. Percentage or CGPA till whichever semester the results have been declared
6. Expected approximate date of publication of results.

Bonafide letter: The preferred document to be uploaded is the Degree Certificate or the Provisional
Degree Certificate. If you do not have this document because your exams are not completed yet, you
can prepare a Bonafide letter keeping in mind the below points:
The document must be signed or Digitally signed /verified by Principal/Director/Controller of
Examinations

1. Should status the name and roll number of the candidate


2. That all examinations till the final semester have been attempted
3. Percentage or CGPA till whichever semester the results have been declared
4. All backlog details to be mentioned (If any)
5. Expected approximate date of pending semester exams

General Eligibility

1. If Applicable, Last company’s relieving/experience letters is mandatorily to be submitted, in


Next step portal for BGC verification.
2. Candidate should have 60% overall or 6 CGPA overall (Except BCA, BA,BSc /CA Candidates: They
should be have 50 Overall or 5 CGPA overall )
3. Please let us know in advance if there is any gap of more than 24 months between 10th to
completion of highest qualification

ION Folder Document process note

1. An iON Community page and a Document Upload Course page will be created for your
Joining in the TCS careers/Xplore link. Url: https://www.tcs.com/careers/Xplore
2. The iON Community & Document upload course page will be made available to you, 3 to 4
days after you get your joining letter.
3. Given below are the documents that you must upload in the "iON document Upload
assignments page" for HR verification:
• Service Agreement (5 Pages of Service Agreement, Page 6- Surety Verification or
Surety’s Self attested Passport, Surety’s Self attested PAN card and Surety’s Self
attested Income Tax Returns Acknowledgement or Surety’s Self attested Form 16.
• Copy of Offer letter (with your signature on every page of the Offer letter)
• Onboarding forms (Retiral nominations)- Form 2, Form F & Form 9
• Declaration Kit: The link to the Declaration kit will be enabled on Day 3 after your
joining along with the Video instructions. Download the format and fill in the details
and upload it in the iON document upload page.
4. All uploaded documents should be approved atleast 5 days prior to the date of joining
5. iON folder uploading documents and links are mentioned in above table.
6. Access to the iON folder will be revoked from day 5 after Date of Joining

ID check Details

1. Your Identity Verification check will be done via MS Teams, prior to your Date of Joining. The
details and the guidance for this web conference will be shared to you later.
2. For this you are requested to compulsorily have a Computer along with good Audio and
WebCam and high-speed internet facilities.
