Executive Summary

T Café is one of the cafés and Milktea shop that is located in Liciada, Bustos Bulacan that
offers a high-quality service and good quality product. They are very competitive when it comes
to promoting their product and, they are very strategic in terms of planning. T Café will offer a
full range of teas as they have their own modified and unique menu that gives them advantage to
their other competitors.

Since T Café started their operation during the pandemic on June 29, 2020 the sales
expected to be low because of the impact of the pandemic. And currently in this situation the
number of competitors is continuously rising as they also entering the market. But with
knowledge of the owner is helping the tea café to maintain their position in the market

Their goal is to satisfy the customer by giving them what they ask or what they ordered,
they always ensure the satisfaction of the customer by setting a high standard in serving their
drinks. T Café make sure that what the customer see is what the customers will get. The manager
or the owner is checking the drinks before being serve to the customers.

As the town is now under in MGCQ the number of people that can now go outside is
increasing and that means their sales will also increase as the people are excited to try a new
different destination like their café. And because of that they are experiencing problem in their
way of taking order because it doesn’t offer some features that they want.

They experience problem when it comes with the system that they used, because they are
only using a software application as a form of system to determine the point of sale which gives
them the limited access for managing their inventory and monitoring the sales. They want their
own system because they will expand the branch of their business in the future
.

Reasons
 Expanding their branch will need them to have their own system as they want to monitor
the sales and to manage the inventory.
 Sales are not completely monitor because of limited features that the system they used.
 Stocks are not properly recorded and identified.

Business Option
 Do nothing and stick with their usual business practice
 Adopt the proposed system and take the risk of spending 196,000 PHP in a point-of-sale
system that offers a more competitive advantage to the company.

Expected Benefits
The following benefits are feasible if their system for inventory and sales are modified.

 Monitor the inventory and sales

 Can personalize or add a new product
 Improves business efficiency by simply processing more sales in one time.
 Generate sales reports.
Expected Downside
Below is the list of expected downsides of
 Need updates for better and more functionalities.
 Need to be regularly maintained.
 The technology is comparatively new and still expensive. Automation technology may
require specialist maintenance and repair, which may increase the cost.

Timescale
The initial analysis indicates that the implementation of the framework would take 2-3
months to complete.
Cost

Table 1. The One Time Cost Worksheet Breakdown. It reveals that for the Overall One
Time Cost Worksheet, there is a total of PHP 196,000, which will serve as the initial expenditure
for this project and the recurring cost of PHP 20,400, which will be additional expenses for the
project to be implemented.
Benefit

Table 2. Breakdown of Tangible Benefit Worksheet: shows a 5,200 annual supplies cost
reduction and 84,000 Labor cost reduction due to the same number of employees.

Table 3. Additional Cost Reduction Dependent on Employees' salaries reveals that there is a
PHP 37,760 cost reduction in the employee's salary relative to the current labor cost allocation
for overtime pay for employees employed in extended duty due to the amount of work in the
café.
Table 4. Net Economic Benefit represents a total of 121,960 Net Economic Benefits annually if
T Cafe implements the project.

Break Even Analysis Table and Chart

This table shows the Break-Even Analysis T Cafe Point of Sale System
This

table is Example Payback Period Analysis Chart based on Break-Even Analysis Table result of T
Cafe Point of Sale System. These two tables show that the actual break-even point occurs on
Year 3, 8 months, and 19 days. Thus, if the project will be implemented on April 10, 2021, it will
give an estimated payback period on December 29, 2024.

Major Risk

The project team that will manage the initial data collection process may lack expertise in
defining system project specifications. It could lead to the wrong software deliverables for the
device. The benefits projected from the project are likely to be reduced. And the effect of this
pandemic may affect the data gathering procedures because it will cause of lack of resources that
can be use.

Recommendation
Having an ROI of 63% for an initial investment of PHP 196,000.00 and a payback period
of 3 Years, 8 months, and 19 days and after careful evaluation and consideration of this proposed
point of sale system, We, conclude that this project is feasible to be implemented at T Café.

Prototype
Log In screen. Requires an admin and user account to use the system. Both accounts have
different purpose.

This figure is for the user sign up form.

This figure shows the Admin account confirmation.

This figure is for the user of the system it will open the cashier mode. The user can also review
your sales here.

This figure will show if the user clicks the sales, also it can be printed.

Main screen menu for admin. The admin can access all the features of the system. In this figure
the admin may choose whether do sales or inventory.
Let’s say that the admin choose sales. It will show this menu.

If the admin click sales, it will open the cashier mode. The admin can also review your sales
here.
The admin can also monitor the sales.

If the admin choose the Menu Settings in the sales menu the system will be directed to this
window.
When the admin chooses Inventory in the Main Screen Menu this window will show up, it shows
the inventory for ingredients.

This figure shows the inventory for equipment.

When you press the delete button the system will alert you if you are sure to delete item.

When you press the reset button the system will alert you if you are sure to reset.

When you add an item this pop message alert will show.
If you updated an item this pop-up message alert will show.

When Proceed To Payment button was clicked, a pop up message will appear asking for the cash
amount of the costumer gave.
When Cancel Transaction was clicked, pop up message alert will show asking if you are sure to
cancel the transaction.

When the transaction is completed the receipt will pop up.

Launch

*Designing of System

*Designing
The actual development of software and even the coding starts during this process. *testing
*Testing
Testing is performed after the coding is finished to ensure that there are no mistakes until the program is
processed.
*Launch
The system is ready for launch after the program has been extensively checked in the previous process. This
ensures that all of the system's end users are ready to use the system in the real world
