Jump Start Line Manager Checklist

On the following pages you will find a checklist of things to do, a summary of the Line Manager journey and
some tips on how to engage your New Joiner more fully.

Line Manager Tasks Prior to New Joiner’s Arrival

Task
 Access and review Line Manager Induction pack 
 Request infrastructure set up. 
o Check infrastructure (PC etc) is operational before Day 1
o This should include:
o PW ID creation
o Lotus Notes account
o Security pass/ID card
o Computer
o Workstation set-up (desk, chair, telephone, etc.)
o Office supplies (business cards, stationary, diary, etc.)
o Bank account / credit card (if applicable)
 Contact New Joiner between signing contract and starting at least once to retain 
interest and provide Day 1 information
 Arrange pre-arrival networking event for the New Joiner (i.e. lunch with the team, 
drinks, etc). If New Joiner cannot attend before joining, arrange event for Week 1
 Communicate the arrival of the New Joiner to the group/team. Arrange team meeting 
for Week 1, and ask team members to be prepared to introduce themselves and
explain their roles in the team
 Arrange time slots with other managers and relevant stakeholders for 1:1 meetings 
during New Joiner’s first few days and weeks
 Inform relevant senior management when the New Joiner will arrive, if banded staff 
 Schedule time in your calendar to ensure you are able to meet the New Joiner on Day 
1. Make time available in your diary to spend some time with them on Day 1, and for
further discussions/meetings during Week 1
 Allocate time in your diary to discuss the induction process and the role itself during 
Week 1
 Collate list of useful team / department related items to give New Joiner on Day 1 
 Organise handover and list of internal contacts as per handover policy. Ensure any 
staff member who will be handing over work to the New Joiner is prepared to train and
has supporting documentation to offer the New Joiner. Also give this person LMCL
handover policy and documentation for review before handover takes place

 Prepare plan to go through with New Joiner for Day 1 and Week 1 
 Have a clearly defined job description (to be discussed with the New Joiner in Week 1) 
 Make sure there is a support mechanism in place to assist the New Joiner’s 
integration when you are not around, for example colleague, secretary etc.
 Find out what mandatory role-specific requirements the New Joiner will need to 
complete for their role.

 Make sure New Joiner is signed up for job specific training programmes. 

IT Specific

Task
 Provide information to New Joiner on how Technology and Operations adds value to a 
business
 Provide information on past and present trends in ‘Technology and Operations’ 
industries

Day 1
Task
 Meet and greet New Joiner on Day 1. Discuss: 
o Administration matters that remain outstanding (ensure you have received all
signed contracts, forms or other mandatory documents)
o Outline the induction process. Make sure you, or another team member, goes
through the induction pack with New Joiner
o Outline what the New Joiner should expect during Day 1, Week 1 and beyond,
cover group and business areas
o Tell them about yourself, your role, team structure and wider group structure –
provide documentation if necessary
o Discuss the role itself (job description), outline role responsibilities and
accountabilities, explain how the function in which they work fits into the overall
structure
o Explain and clarify any matters relating to the employment terms and conditions

 Ensure new employee completes any mandatory legal and compliance requirements
 Introduce the new employee to the immediate team 
 Introduce the new employee to the wider group of people on the same floor, etc. 
 Provide the office/building tour, identifying relevant facilities (rest rooms, first aid, 

emergency exists, cafeteria, gym, etc.)
 Obtain ID and access card with New Joiner 
 Sign delegated authority paperwork with New Joiner 

Week 1
Task
 Organise public announcement of New Joiner 
 Give New Joiner overview of systems relevant to their role 
 Week 1 conversations should include: 
o Outline key priorities/deliverables, provide team objectives if applicable
o Provide all the necessary information and/or tools for the New Joiner to start their
first task/assignment
o Provide high-level overview of LMCL’s background, structure, strategic intent,
culture, brand and values.
 Introduce New Joiner to key colleagues to develop understanding of business, what 
their team does and where their role fits into the overall structure
 Make sure New Joiner receives and understands their handover 
 Undertake Health & Safety induction with New Joiner (during first three days). 
 Outline mandatory role-specific training requirements with New Joiner where 
applicable
 Prepare for 1:1 meeting with New Joiner at end of Week 1. You will be reviewing their 
initial perceptions during their first week and agreeing with them their first month
objectives
 Have one 1:1 meeting with New Joiner to review Week 1 progress and set Month 1 
objectives
 Line manager, HR RM and buddy to seek initial feedback from new employee – 
collate first impressions

HR Specific

Task
 Hold weekly 1:1 meetings with New Joiner until end of first 6 months. 

Month 1
Task
 Book a time with the New Joiner towards the end of their first month to review 
progress against their first month’s objectives and agree their objectives for the next
six months
 Make a diary note for a 1:1 preparatory meeting a few days before the end of Month 1
to plan your feedback and ideas for further objectives for the six-month period
 Provide a more comprehensive overview of the business/function structure in 

reference to business/function strategy.
 Conduct Engagement review. 
 Provide new employee with more work – may want to focus on quick wins. 
 Provide more detailed information on items such as key business drivers, operating 
plans, current business performance, key markets, milestones, product/service
portfolio, market position, etc.
 Introduce New Joiner to local management team and business heads (as appropriate) 
 Organize drinks, lunch or dinner for New Joiner with the immediate team 
 Hold at least one 1:1 meeting with New Joiner to review performance against first 
month objectives and agree objectives for next six months

HR Specific

Task
 Hold weekly 1:1 meetings with New Joiner until end of first 6 months. 

Month 3
Line Manager Specific
 Prepare for 1:1 meeting with New Joiner. What feedback you will give and request? 
 Review feedback regarding New Joiner from internal stakeholders 
 Check that the New Joiner has completed all mandatory e-learning modules. 

HR Specific

Task
 Follow up on New Joiners understanding of HR policies, guidelines and regulations. 
 Hold weekly 1:1 meeting with New Joiner until end of first 6 months.
 Obtain and review stakeholder feedback regarding the New Joiner.

Months 6-12
HR Specific
 Prepare for 1:1 meeting with New Joiner. What feedback are you going to give them 
regarding their six month objectives? What feedback are you going to ask for?
 Hold at least one 1:1 meeting with New Joiner to discuss their performance and 
development. Provide and receive feedback
 Meet with the New Joiner to review their initial first 6 months’ objectives. Agree 
objectives for the remainder of the year

Task
