Mobile and Telephone Policy

Objective: To assist employees with easy communication for official calls.

Scope: All employees in L5 and above and equivalent employees

Mobile Phone reimbursement: Mobile phone reimbursement benefit is only for


employees in L5 and In special cases where the need is felt to reimburse mobile
phone expenses other employees, it can be done with the specific one-time
written approval of the respective GM or above.

Eligibility & Coverage


1. Only official calls will be reimbursed.
2. The reimbursement will be according to the maximum limits detailed in the
table below. For reimbursement exceeding the prescribed limit a separate
approval needs to be taken from the respective GM or above for every
instance.
3. Reimbursement of mobile phone expenses will be only for post-paid
connection by any service provider. Prepaid connections will not be
reimbursed.
4. The connection has to be in the name of the employee.
5. For reimbursement, the bill should be submitted to Finance with the
personal calls marked out along with the duly filled reimbursement form
(Annexure 12) or through BPM portal.
6. A photocopy of their bill should retained by all employees.
7. Please submit your bills to Finance on time so the payments are
processed within the time limit prescribed by the service provider. This will
also help in avoiding late payment charges being levied by the service
provider. Please note that late charges, if any, are to be borne by the
employees themselves.

8. The mobile phone reimbursement will be subject to the maximum limits


detailed in the table below:

9. CUG facility: The Administration Department will co-ordinate with the


service providers for CUG facility

Residential Telephones:
For SMT members: Telephone reimbursement value has been merged as part
of CTC under Flexi Pay. Therefore, Residential Telephones installed in SMT
members’ residence will be shifted in the name of the individual. For this
Administration department will closely co-ordinate with service provider and the
Senior Executive.
For L6-L9 and equivalent level employees: Since The Company has
introduced Telephone Allowance of Rs.1000/- per month as part of monthly cash
component, there will not any reimbursement for residential telephone expenses.
Employee interested to have residential connection can have on their own
choice. Those who avails telephone allowance, residential telephone connection
charges will not be reimbursed and vice versa.
The above policy will be effective 1st October 2017.
