a. Memo Response: Hello Mary, since Ms. Anthony is not yet proficient to the
requirement for the job. I recommend that she finishes her course and
qualified before I officially promote her to senior secretary. At the same
time, I will keep an eye out of the vacant senior secretary position for her.
Do understand.
b. Additional Action Needed: Check on Ms. Anthony’s qualifications for a
promotion to senior secretary. If she is indeed qualified, then send in
recommendation to promote her position.

Kelly Actor

a. Memo Response: Hello Kelly, first of all, I would like to thank your loyalty
to our company. I hear your concerns. At the moment, I will look into your
situation and qualifications upon further decisions. I will also contact your
supervisor regarding the situation. I have no doubt that you are an excellent
employee. Please give me a couple of workdays to look into it, and I will get
back to you as soon as possible.
b. Additional Action Needed: Ask for Kelly’s supervisors’ opinion. Check on
Kelly’s work records. Double check if there is a vacancy executive secretary
position. If all qualifications are filled and that there is an opening for
executive secretary. Send in a recommendation for Kelly’s pay increase.

Jane Swenk, Supervisor

a. Memo Response: Hello Jane, I think a bigger question is why M.O. is still
at the same position after doing the same job as her daughter after 28 years.
Unfortunately, the policy only gives out possible 6 merit increases. I would
recommend that you look into an opening for senior secretary’s positions for
that M.O. may be qualified for promotion and therefore increases her salary.
If she remains at the same position, there is nothing I can do for her
regarding her salary raises. Thank you.
b. Additional Action Needed: Check on the potential opening for senior
secretary positions. And check on M.O.’s qualifications for the job. Ask Jane
to send out a letter of recommendation for M.O.’s positions.

a. Memo Response: Hello Bob, you are requested to contact the Human
Resource department so that they can issue a stop payment and prepares a
new check for you. Thank you.
b. Additional Action Needed: Check with the Human Resource department to
see if Bob has actually cashed in his check. Also, let them know that he may
be requesting a new check.

Betty Dyer, Supervisor

a. Memo Response: Hello Betty, I will take your recommendation into


consideration. Note that there are 6 potential merit increases Tammy can get
within her five years of employment. Since she has only been with the
company for less than a year, she still has more chances to get pay increase
later on should she choose to continue working in the company. Within the
five years, I would recommend you keep an eye out for openings on senior
assistant positions for her promotion.
b. Additional Action Needed: Look into Tammy’s situation and calculate
potential merit increase for her. Set a reminder to look for senior secretary
vacancy.
Chris Markley, Supervisor

a. Memo Response: Hello Chris, please note that request for pay advances
require a notice in advance to prepare the check. Since you gave me no time
to prepare, I can only issue the check for you when you get back from
business. Thank you.
b. Additional Action Needed: Make note that Chris Markley will be out of
town and that his paycheck for this period will be issued altogether on the
next payday when he gets back.

Mc Namara, Department Manager

a. Memo Response: Hello Mc Namara, unfortunately, attending a civil rights


rally is not a legitimate reason for missing work. Ms. White should have
asked for permission to be dismissed early before she left. If Ms. White is a
full-time employee, then she would still be paid for those hours since she
worked the rest of the day. However, if she is a part-time employee, I
recommend that you to not include those two hours into her paycheck.

b. Additional Action Needed: Look up Mary White’s work status to check if
she works full-time or part-time. Also, mark on her record that she may have
tendencies to leave work early.

Sue L. Ross, Supervisor

a. Memo Response: Hello Sue, please help Julie understands that if she keeps
up her good satisfactory work in her position, she will have the chance to be
promoted to executive assistant. If there is, then I will start the process of
looking into her qualifications to be an executive assistant. Meanwhile, if
there is already an executive secretary, then I cannot do much for her. Thank
you.
b. Additional Action Needed: Find out why the executive assistant is
frequently on vacation or sick leave, may be he/she is not fit for the job
anymore. If that is the case, then I would recommend Julie to take over the
position based on Sue’s recommendation. Also may be it is a potential for
both of them to be an executive secretaries together. Look into Julie’s job
evaluation.
Doris Pope, Department Head

a. Memo Response: Hello Doris, note that you did not give me enough time to
prepare for her pay increase. I cannot finish the process by today. The best I
can do for you is to put in the request now and complete the process as soon
as possible after evaluating the requirements. I will get the paperwork to you
as soon as possible once it done. Thank you.
b. Additional Action Needed: Start the paperwork for Ms. Brown’s pay
increase. Get back to Doris on the situations once it’s completed.
