CONVOCATION GUIDELINES FOR GRADUANDS

1. Briefing and Rehearsal

The Briefing and Rehearsal will be held at The Ballroom, MAHSA University, Bandar
Saujana Putra Campus. The schedule is as follows:

CONVOCATION SCHEDULE

Saturday Session 1: 9.00 am to 12.00 pm FOMBN (PhD Nursing, all Masters and

(Day One) Session 2: 1.30 pm to 4.30 pm FOMBN (All Diploma and Advanced
Diploma programmes, and Post Basic
Certificate in Renal Nursing)
FOBFIT (all programmes)
Sunday Session 3: 9.00 am to 12.30 pm FOP (all programmes)
05th December FOD (all programmes)
2021 FOHS (all programmes)
(Day Two) CPU (all programmes)

Graduands are required to attend the rehearsal to familiarise themselves with the flow
of the event.

2. Collection and Return of Graduation Robe

2.1. Graduands MUST register at the Graduation Robe Collection counter.


2.2. Graduands to provide proof of Convocation fee payment at the Graduation Robe
Collection Counter.
2.3. Below are the details of the dates and times, that have been scheduled for
Registration and Graduation Robe Collection.

Collection of Date | Day: 2nd December 2021 Thursday


Graduation Robe
Date | Day: 3rd December 2021 Friday

Time: 10.30 am – 5.00 pm


Venue: Level 3, The Spine, Empathy Building

Payment of Cash payment only.


Graduation Robe
Payment is to be made during the collection of Graduation
Robe.
The payment of rental charges for the Graduation Robe is to
be made to Iltizam Megah Sdn Bhd - the provider of robes.

Rates Paid by cash and subject to terms & conditions by Iltizam


Megah Sdn Bhd.
Below are the Graduation Robe rates according to
programme level:
- Certificate : RM150 + Deposit RM50
- Diploma : RM150 + Deposit RM50
- Bachelors : RM200 + Deposit RM50
- Post Graduate : RM200 + Deposit RM50
Note: Deposit will be refunded upon safe return of the
Graduation Robe.
Graduands who wish to return the Graduation Robe
later must inform and liaise with Iltizam Megah Sdn
Bhd.

Return of Date | Day: 4th December 2021 (Saturday); and


Graduation Robe 5th December 2021 (Sunday)
Time: Graduation Robe is to be returned after the
ceremony, between 12 pm and 7:30 pm.
Venue: Level 3, The Spine, Empathy Building

Calling Card & Calling cards and Meal cards will be distributed to
Meal Card graduands during the collection of Graduation Robe.

Note: The Graduation Robe and the Calling Card will only be distributed to
those who have submitted the proof of Convocation Fee payment,
MOHE Tracer Study, and the MAHSA Graduate Questionnaire.

3. Attendance

3.1. Graduands are required to confirm their attendance by completing the MAHSA
Questionnaire at https://forms.gle/k42GXFKQaHPBpG4H8 and provide proof of
payment of RM600 for Convocation Fee, on or before 25th November 2021. Please
notify us by emailing convo2021@mahsa.edu.my.
3.2. You must complete the MOHE Tracer Study survey online at
https://graduate.mohe.gov.my/SKPG1/ on or before 25th November 2021. On
completion, make sure you receive the acknowledgment as shown in the sample
below.

4. Mode of Payment of Convocation Fees (please read carefully)

4.1. Convocation Fees


The Convocation Fee is RM600 for all programmes.

4.2. Payment Mode:

a) MAHSA Website: Online Payment; click https://mahsa.edu.my/epay/online-


payment.php (a sample shown below)
i. Please visit MAHSA website and select: ‘Online Payment’
ii. Select Fee Name: ‘Convocation Fee’
iii. Select Programme Name
iv. Enter: Student Name / IC number / Contact No / Email Address /
Amount
v. Submit and Make Payment
vi. Choose Credit Card Payment (Visa / Master) OR
vii. Online Banking (CIMB / PBB / HLB / RHB / Maybank / HSBC/ etc.)
viii. Print the transaction slip for record and submission during your robe
collection.

b) Payment Date: Latest by 25th November 2021


i. Please bring along the proof of Convocation Fee payment, MOHE
Tracer Study, and MAHSA Graduate Questionnaire for collection
of the Graduation Robe, Calling Card, and Meal Card.

5. On Convocation Day
5.1. All graduands are advised to be in formal attire for the ceremony.
5.2. All graduands are advised to gather at The Spine Level 2, MAHSA University Bandar
Saujana Putra Campus at 7.00 am to avoid any inconvenience.
5.3. Graduands are required to follow all instructions from the Committee during the
ceremony.
5.4. Graduands are strictly NOT ALLOWED to leave the hall until the ceremony is over.
5.5. Graduands and guests MUST strictly observe the Standard Operating Procedures
(SOP) governing such occasions.
5.6. Only Graduands and two guests are allowed inside the Convocation Hall.
5.7. No children aged 12 and below are allowed inside the Convocation Hall.

CONVOCATION CEREMONY PROTOCOL

Clear all outstanding fees and Convocation fee

1.1 You are reminded that all outstanding fees MUST be settled

1.2 Convocation fee of RM600 must be made latest on or before 25th

3.1 Please take note of the date, venue, time and other pertinent
information about the Convocation Ceremony.

3.2 You are required to be at the venue, in formal attire and graduation
robe at the stipulated time.

3.3 The designation of rows and arrangement for graduands’ seating


will be arranged by the Committee.

3.4 You will be given a CALLING CARD during the collection of your

You are required to pass the CALLING CARD to the person
reading out the names.

3.5 When your name is called up, you are required to walk up to
Chancellor/Pro-Chancellor/ Vice-Chancellor bow as a sign of
respect and receive the scroll with both hands and say “Thank you”
before walking down to return to your seat.

3.6 Cameras and video recorders are NOT ALLOWED during the
Convocation Ceremony.
Mobile phones must be put in silent mode during the entire
ceremony.

4.1 You are required to register at the Graduation Robe Collection

4.2 Please ensure that the rented Graduation Robe is returned, failing
which the folder and transcript may be withheld.

4.3 Graduands who wish to return the Graduation Robe later, please
liaise with Iltizam Megah Sdn Bhd.

4.4 A fine for late return will be imposed by Iltizam Megah Sdn Bhd.

4.5 Graduands must submit the proof of Convocation Fee payment,


MOHE Tracer Study, and MAHSA Graduate Questionnaire to
collect the Graduation Robe, Calling Card, and Meal Card.

5.1 All Graduates must attend the rehearsal, so as to ensure that the
Convocation Ceremony proceeds smoothly.

6.1 Photographs for graduands on stage are part of the Robing


Package.

7.1 As a MAHSA Graduate, you are automatically a member of

Check
Do’s and Don’ts during the Convocation Ceremony

10.1 Graduands are reminded to ensure that all mobile devices are
TURNED OFF or put in SILENT mode.

10.2 Graduands are not allowed to answer any telephone calls


during the Convocation Ceremony.

10. 10.3 Graduands are not allowed to take any selfies during the
Convocation Ceremony.

10.4 Graduands are reminded to remain seated during the entire


ceremony and are only allowed to leave the hall once the
ceremony has ended.

10.5 Graduands are to return to their seats after they have


collected their scrolls during the conferral of the degree
and to remain seated until the ceremony has ended.

10.6 Ensure that you put on your face mask properly (i.e. cover
your nose).

11.1 Ample parking spaces are available for Graduands and
guests.
