Student Hourly Employment
Financial Aid – Student Employment Form

• All undergraduate jobs should be set up as hourly jobs and


processed through Financial Aid on the Student Employment
Form. Total hours for all jobs are limited to 20 per week during the
academic year.

• Graduate students may work an hourly job with approval from their
Graduate Advisor (total combined hours limited to no more than
20).

• Student one-time payments – are for one time hourly jobs limited
to one specific event, i.e., graduation.

• Internship – internal job with W&M/VIMS – is an hourly job.

the institution (current W&M employees may go through Financial Aid other
students through Financial Aid)

• Scholarship – does not have a work component – Financial Aid/Accounts Payable

• Externship – not internal job with W&M/VIMS (example - volunteer post-graduate


fellowship – volunteer experience in the community – examples Law School post
graduate & Community Engagement post graduate – Accounts Payable

PSA

• “Professional” Service Agreement – employees may be


paid on a “fee basis” for a single job as long as the work
performed meets one of the FLSA exemption tests
(administrative, professional or computer professional).
The fee payment is generally paid for a unique job, rather
than for a series of jobs repeated a number of times and
for which identical payments repeatedly are made. The
fee must meet the minimum salary level - $455 per week
basis.
• PSA Form Revision – to capture estimated number of
hours – Affordable Care Act & Fair Labor Standards Ace
compliance.

Form will be inactivated and no longer
accepted for payments after all other
forms have been updated.
