APPLICATION

Now that you understand the basics of planning let us try applying the things
you learn here. Below is an OGSM Template, usually used in planning exercise, fill-
out the form using the learning you made in this Module.

OGSM stands for objective, goals, strategies, and measures, and creating an
OGSM framework will help you put your organization’s vision or strategy into action.
You can use it to map out your organizational, team or personal goals, and to turn
ideas into concrete activities.

For this exercise, you visualize yourself as the President of the Public Administration
Student’s Club; you will come up with a plan to address the low turn-out of
membership application to your club. Your objective must answer the problem on low
membership.

Activity

You wake up one Monday morning bothered with all the school activities and
deadlines due for the week. After saying your morning prayer, you carry on with your
usual Monday morning routine; go into shower, have your breakfast, and brush your
teeth. You are now ready to face your day, your week. To do so, you tried
remembering all the things you need to accomplish this week, but you are having
hard time doing so, afraid of missing out on anything; you tried opening your PA 108
Module and boom!!! There you have it!!! YOUR WEEKLY PLAN!!!

For this activity, you need to plot out your schedules and deadlines for the
week (all your subject). Focus only on your school activities and possible activities
that might interfere of get in conflict with your school schedules and deadlines.

Analysis

Congratulations for finishing the activity. Right now, you are ready to face your week
with a schedule of activities. But before that let us process and analyze first your
experience in planning your schedule:

a) How will you describe your planning activity?

Answer: My planning activity is indeed organized and the schedules are in good
plan through my instructor’s schedule.

b) Do you think you can stick to your planned schedules this week?

Answer: I think I can’t because as a student, I am depending to my instructor’s


schedule according to their announcements.

c) Did it help you track your schedule and manage your time?

Answer: Honestly, it helps me to track my schedule but by managing my time, is


not.

d) What are the benefit and the down-side of the planning activity you made if
there are any?

Answer: The benefits are I can’t easily forget what’s my schedule is and I can be
satisfied because my schedule is organized while the down-side is, sometimes, I
can’t join online class through Wi-Fi interruption and I received messages and
announcements when the Wi-Fi connection is back.

e) Are you going to do that again next week?

Answer: Maybe if it won’t be out of my mind.

I- IDENTIFICATION. Identify the following items. (2 points each)


Forecasting 1. Gives management the basis for expecting the desired outcome
arising from management decisions.

Planning 2. It involves deciding in advance what to do, how to do it, when to do it


and who is to do it.

Time frame 3. May be set as short time plans (plans within less than one year)
intermediate plans (period between 1-5 years) and long-term plans (plans exceeding
five years).

Specificity 4. Usually are explicit and with clearly defined objectives for example,
"we want to attain 10% sales volume within the first quarter of 2009".

Breadth 5. Generally apply to the entire enterprise, establish the enterprises overall
objectives and seek to place the organization in terms of its environment.

Operational Plans 6. Deals with specifics as opposed to strategic plans which are
broader.

Environmental scanning 7. An in-depth analysis or screening of volumes of


information to detect emerging trends and create scenarios.

Benchmarking 8. A search for the best practices among competing or


noncompeting firms, leading to their superiority in such industries.

Purpose 9. The reasons for the organization's existence.

Philosophy 10. The fundamental beliefs as to how the organization's purpose is to


be achieved.

II- ESSAY. Answer and discuss the following questions. Your answer will be graded
based on its content (40%) grammar (30%) and organization of thoughts (20%).

1.) What is the importance of planning to an organization? (10points).

Answer: Planning entails looking for chances to generate a profit or provide a


service that would not otherwise exist. It aids in the identification of possible dangers,
and actions may be made to mitigate their impact. It requires managers to create
objectives and assist employees to understand how their work contributes to the
organization's overall goals.

The planning process provides senior management with the knowledge they
require to make informed decisions. Productivity is maximized, and resources are
not squandered on initiatives with a low likelihood of success. Organizations
investigate major deviations from prediction and take corrective action when
revenues are lower than expected or costs are greater than expected. Planning
enables companies to have a realistic understanding of their present strengths and
shortcomings in comparison to their key rivals. Organizations must be able to quickly
alter their strategy in response to changing circumstances.

When senior management seeks feedback from department or division managers


in goal setting, potential conflict can be mitigated. If you don't have a strategy, your
firm may not survive. Planning is essential since it will help you choose which tasks
must be carried out in your business operation. Planning also helps you to anticipate
how much money you'll require and how to spend it wisely.

2.) What will be the role of the Manager in the Planning Process? (10points).

Answer: A manager's primary responsibility is to develop a strategy to achieve the


company's goals and objectives. This includes assigning personnel resources and
distributing duties, as well as establishing realistic completion timeframes and
standards. The planning process is not as neat and structured as the model
indicates; certain phases may be repeated several times. Unforeseen circumstances
demand contingency planning. A plan can help you avoid mistakes and recognize
hidden opportunities.

However, planning is a multi-step process that managers undertake as a core


function. Some would argue that planning is the most important function, as it
provides direction and guidance. The number of steps will vary based upon the
nature of the company's mission and vision. Managers will spend much of their time
planning for all sorts of things that may or will occur in the organization. Planning is
an ongoing step that can be highly specialized based on an organization's goals. It is
up to the manager to recognize what goals need to be planned within their area.

A manager is a multi-faceted individual. A manager is more than simply a


team leader; they are also planners, organizers, cheerleaders, coaches, problem
solvers, and decision makers. These are only a few of a manager's duties. However,
managers’ calendars are frequently overflowing. Managers typically have little
additional time on their calendars, whether due to employee meetings, unexpected
issues, or strategy talks.

Furthermore, managers may evaluate significant challenges confronting the


organization rather than waiting for them to blow up in their faces. Planning enables
a manager to identify corporate goals and create a strategy for attaining them.
Failure to plan limits your ability to see into the future and perhaps forecast an
unforeseen occurrence before it becomes a problem.

3.) Should you allow ordinary workers/ employees /members of the organization
to join the planning process? Why yes or why not? (10points).
Answer: Although planning is a managerial function, but definitely I would allow
those ordinary members of organization, it should not be carried out by a single
person behind a closed door. A manager, on the other hand, is in charge of ensuring
that planning is a collaborative and inclusive process. Make your employees feel like
they are a part of the planning process, and they will be more willing to commit to the
plan and share responsibility for its execution. They may even come up with unique
suggestions that you would not have considered otherwise.

However, we all make assumptions about businesses and markets, but these
assumptions aren't necessarily right. Making assumptions in your approach is a
major mistake that destroys all of the advantages of meticulous planning. It is
important to conduct market research, organize focus groups, speak with one's own
employees, and contact market professionals in order to make decisions based on
data rather than assumptions. It is essential to effectively communicate the desired
objectives as well as the strategic approach to employees. Encourage open
communication by allowing everyone to offer feedback and recommendations for
improving the strategy.

It is crucial to remember that some planning benefits, such as creativity, are


contingent on how eager individuals are to share their ideas and if they feel
appreciated and respected for doing so. Only in a culture that values efficiency and
growth can there be a true emphasis on improving efficiency and growth. Work to
create a culture like this in your organization. Employees will be more willing to
commit to ambitious goals and demanding plans if you help them learn and develop
their abilities, as well as recognize and reward personal accomplishments.

Moreover, the elimination of outdated techniques, the adjustment of plans,


innovation, recruiting, and firing is all part of effective planning. All of this indicates a
lot of change, which can be difficult to deal with. However, in order to fully reap the
benefits of planning, a manager must be willing to move beyond cosmetic
adjustments and risk the team's dissatisfaction. In this regard, management planning
is a job that needs a great deal of bravery and dedication.
