I.

INTRODUCTION

Traditionally, the Electrical Engineering Department of Bicol University

College of Engineering conducts a series of seminar concerning the field of

electrical engineering. This is to provide the electrical engineering students further

and wider knowledge about the profession and the real situation that they are going

to immerse themselves after they graduate. The seminars were usually held at the

electrical engineering building or in the campus gymnasium. However, as the

pandemic kicks in, there were many activities that were suspended and were not

allowed to be performed to contain the spread of the COVID-19 virus. Despite this

hindrance, the department was still able to provide a series of seminar through the

online meeting platform—Zoom.

These webinars are the requirement in the subject Seminar/Colloqiua. The

professor has tasked the students to from a group and those groups were assigned

to facilitate different webinars. Some groups were also assigned to facilitate the

research expo.

This group was assigned to organize and facilitate the “Power Systems

Protection and Control” webinar. Moreover, this report will discuss the before-

during-and-after events of the webinar.

II. PRELIMINARIES
The presented group members were given different tasks as preparation for

the webinar. Below are the committees and workloads that the group members

have collectively agreed to.

A. Letter of Invitation to the Speaker

Frencee Shine Batalla, as the group leader, was the one who searched for

the speaker. After exchanging necessary conversations with the speaker, the

suggested topic and time was agreed. The letter for the speaker was prepared by

Winifredo Alcantara. The letter was sent to the BU-IIEE and the BU-IIEE was the

one who sent the letter of invitation to the speaker. Below is the copy of the letter.
B. Registration Form

The registration form was created to keep a copy of the names of the

attendees. Several information were asked from the form—name, course , block,

student number, and email of the participant. The registration form link was created

C. Posters, Zoom Background, FB Live Frame, Headers

The announcement poster was created to promote the webinar. A zoom

background was prepared to be used as the virtual background during the webinar.

The facebook live frame was also created to make the facebook live more

appealing and catchier to the viewers. A header for the registration and evaluation
form was also prepared. These graphic files were designed and created by Carl

Michael Baylon.
D. Video Teaser

Russel Buban was tasked to prepare the video teaser. It was used to help

boost the said webinar. The video teaser was sent to the BU-IIEE page and was

posted one day before the webinar. Below is the link and screen capture of the

E. Program Activities

The program was created to have a smooth and convenient flow during the

webinar. This was curated and prepared by Christine Joy Nuarin. Below is a copy

of the program.
F. Certificates and Token

To express gratitude to the attendees and speaker, the certificate of

participation for the participants, and certificate of appreciation and token for the

speaker was prepared. The certificates were prepared by Noemi Abanil and

Zephaniah Kyle Mediario.

The token was a digital art of Engr. Ryan Magalang. The name of the

speaker and the date of the webinar were incorporated in the token. The assigned

member for the token, Jeremy Vibal, was the one who searched for a digital artist

to create the token.

The certificates and token were sent to the attendees and speaker by the

group leader after the webinar.


G. Evaluation form

To be be able to know the quality of the webinar and the things that require

improvement, the evaluation form was created by Stephany Liesel Ogao. The list

of those students who have filled out the form was the basis in distributing the

E. Actions taken before the Webinar

On August 1, the group leader of the concerned group for the whole

committee, Aira Loraine Hizo, conducted a brief meeting with the group leaders of

the groups who have not hosted a webinar yet. Several concerns were addressed.

The schedules of webinars of each group were also finalized. After that, the group

leader, Frencee Shine Batalla has relayed the schedule of the webinar to the

speaker and to the group members. The speaker confirmed and suggested his

most convenient time. It was agreed that the webinar will be on April 16, Saturday,

6m to 8 pm (Philippine time). Presented below is the conversation of the group

leader and the speaker.


Days before the webinar, the necessary files and actions were prepared

and done.

On April 12, the letter of invitation for the speaker was sent to the BU-IIEE,

and the BU-IIEE was the one who sent the letter to the speaker via email.
On April 14, as the PIO, Frencee Shine Batalla has sent the letters of

request to deliver the opening and closing remarks to Engr. Rogie Mar Bolon (a

faculty member of the Electrical Engineering Department) and Engr. Gil Mediavillo

(Subject Professor). Both of them have accepted the request. The necessary

letters were prepared by Winifredo Alcantara.

Below is the screen shots of the letter sent to the speaker and to the faculty

concerned.
One day before the webinar, April 15, the video teaser that was prepared

by Russel Buban was sent to the facebook page of the BU-IIEE to be posted on

their timeline. Below is the screen shot of the posted video teaser in the BU-IIEE

page.

On the same day, Yzobel Siapno, who was assigned in the facebook live

streaming has asked an access to the BU-IIEE facebook page since the live

streaming must be done on their page.

The group members have also performed a dry-run in preparation for the

webinar the next day. Moreover, an email containing the confirmation of the

registration, the zoom virtual background, the program, and the zoom link for the

webinar was sent to those students who have filled out the registration form; it was
also sent to the speaker, and the faculty members who have confirmed to deliver

the opening and closing remarks. Presented below is the screenshot of the email

sent to the participants, faculty, and speaker.

The group leader has also asked a copy of the presentation of the speaker

as a preparation for any technical issues that might happen on the end of the

speaker. The speaker agreed and noted that he will send it the next day.

III. During the Webinar


An hour before the webinar, all members of the group were all inside the

zoom meeting. The main host of the zoom meeting, Jeremy Vibal has allowed all

the members to have an access to the control in the meeting by making them co-

hosts so that once a technical issue occurs, any of the group members can take

over the control. Minutes before the scheduled time, there was already an influx of

participants joining the meeting. The group leader has contacted the speaker

through messenger to ensure that he is ready for the webinar. Once the speaker

confirmed and entered the meeting, a 10-minute video countdown was flashed on

the screen to indicate that the program will start in 10 minutes. At 6:10 pm, the

emcee, Frencee Shine Batalla has initiated the program. Below is the screen shot

of the video countdown being flashed on the screen.


A. Opening Prayer, Philippine National Anthem, and IIEE Hymn

The first part of the program was the opening prayer, the Philippine National

Anthem, and the IIEE Hymn. The prayer was led by Noemi Abanil, it was followed

by the Philippine National Anthem and the IIEE Hymn. The presentations were

flashed and shared on the screen by the assigned assistant host, Christine Joy

Nuarin.
B. Opening Remarks

After the BU-IIEE Hymn, the emcee has continued to the next part of the

program—opening remarks. The opening remarks was delivered by Engr.

Rogie Mar Bolon.


C. Introduction to Speaker

After Engr. Mediavillo has delivered his warm welcoming words, the emcee

has given the floor to Christine Joy Nuarin who was tasked to introduce the

speaker. The speaker has provided a copy of his brief introduction and it was

read by Christine Joy Nuarin during the webinar. Below is the copy of the

introduction that was provided by the speaker.

D. Discussion of the Power Systems Protection and Control

Engr. Ryan Magalang started his talk with some disclaimer noting that his

presentation is not meant to advertise or endorse specific product

brands/manufacturers, that credits goes towards the manufacturers/brands whose

images and names mentioned in this presentation as a sample, that the

presenter’s use of a particular vendor is solely based on personal preference and

work experience and is not to be construed as an endorsement or a legal or expert


representation on behalf of the vendor, and that the use of brand names and

manufacturer information available in the web is solely an aid to deliver a particular

point during discussion, based on the presenter’s experience of using such

products in his personal experience.

Generally, the speaker’s discussion has revolved on the following topics.


Below are some screenshots of the webinar while Engr, Magalang was

discussing about the power systems protection and control.


E. Question and Answer Portion

The question-and-answer portion took place after the discussion of the

speaker. The participants were given few minutes to construct their questions.

One the time given expired, there was a rush of questions from the participants.

The speaker answered the questions clearly and briefly.

F. Awarding of Certificate and Token to the Speaker

Once the questions and concerns of the students were all addressed, the

certificate of appreciation was then awarded by Jeremy Vibal. It was shortly

followed by the awarding of token. The token was awarded by the group leader,

Frencee Shine Batalla.The necessary files were presented by the assistant

host, Chrstine Joy Nuarin. Below is the screen capture of the certificate and

token being awarded to the speaker.


G. Attendance Capturing

Before the group jumped into the last part of the program, a few seconds

were spent to capture the attendance. The participants were requested to open

their camera. The emcee was the one who took over the attendance capturing.
Below are the proof of attendance of the participants that was captured

during the webinar.


H. Closing Remarks

The closing remarks was delivered by Engr. Gil Medivillo. Engr. Mediavillo

expressed his appreciation to the speaker and to the participants. He has also

commended the group who facilitated the webinar. Below is screens shot of

After the closing remarks, the emcee provided some reminders about the

evaluation form and eventually let the participants go.

IV. Post Webinar

After the webinar, the evaluation form link was sent via email to the

participants who have completed the registration form. Joselle Bucat who was

tasked to record the webinar has also uploaded the recorded file in the drive that

was provided by the group assigned as the overall committee.

On April 18, 2022, the activity that was assigned by the speaker was sent

to the Seminar/Colloquia group chat. The preparations of the participants were

compiled in one drive and was sent to Engr. Magalang for checking.

On April 27, 2022, the certificate of participation was sent to the email of the

participants who have completed the evaluation form. The release of the certificate

was done late because the group have waited for Engr. Amelia Gonzales, the

DEAN of the College of Engineering to sign the certificates since there were no

classes during the midterm interlude (April 11-16).

On the same day, the certificate of appreciation and token was also sent to

the email of the speaker.


At this juncture, the “Power Systems Protection and Control” Webinar

has officially come to an end.
