C. Lesson Proper

Today we will focus our discussion on creating letter using Mail Merge.

What is Mail Merge?

- A Mail Merge is a useful word processing feature that allows you to easily create multiple letters, labels,
envelopes, nametags, or catalogue documents to group of people as stored in a list of a database or
spreadsheet.

Note: Mail Merge is supported only in the PC version of Microsoft Word or Publisher. It is not supported by
the MS word for android version.

Two Components of Mail Merge

1. Main document – it is generally the document that contains the main body of the message you want to
convey or sent.

2. Data source – it is also called data file which contains the information to be merged into a document
such as the list of names and addresses to be used in a mail merge. This must be connected to the data
source before it can use the information in it.

In Mail Merge you need to create the main document, create a data source and merge data with the
document.

How to start Mail Merge in step-by-step wizard

1. Open an existing Word Document or create new one


2. On the Mailings Tab, click Start Mail Merge Command
3. On the drop-down list select Step-by-Step Mail Merge Wizard and a Mail Merge task pane will appear at
the right side of the document.

6 main steps in the step-by-step wizard:

1. Select Document Type


2. Select Starting Document
3. Select Recipients
4. Write your letter
5. Preview
6. Complete Merge

1. Select Document type: What type of Document are you working on?
Letter – send letters to a group of people.
E-mail Messages – send email messages to a group of people.
Envelopes – print addressed envelopes for a group mailing.
Labels - print address labels for a group mailing.
Directory – create a single document containing a catalog or printed list of addresses.
2. Select starting documents: What document will you use?
Use the current document
Start from template
Start from existing document
3. Select Recipient: Data source
Use an existing list
Select from outlook contact
Type a new list
4. Write your letter: Write document content and add placeholders
5. Preview: Preview your letter
6. Complete merge: complete merge by selecting
merge to printer – if you wish to print
edit individual letters – if you wish to merge the letter in a new document, in here you can
personalize your letter.

this folder.

3. Before doing anything, set the Font style to Arial size 12. Margins should be at 1-inch all sides.
4. Create the data file or the recipients from the table below. Save the data file in the folder you created
in step 1 with the file name UP Freshmen.
