1. Click on the collection (and catalog record file) you plan to pull reports for. 2. Click on “File” a. “Import/Export” i. “Import/Export Selected FIelds” 1. “Import/Export Selected FIelds” 3. “Do you want to import or export data?” a. Click the “Export Records” button and “Next” 4. “Select a Template” a. Click the “Create a new template” button and “Next” 5. “Create a New Template” a. Name the Template and Describe It (Use something specific) b. In the “Field mapping” table, go ahead and “Insert” several rows ahead of time. i. Rows insert ABOVE, and it is easier to have too many empty fields you have to delete later, rather than worry about pushing rows out of order. c. Start at the top-most “Rediscovery Field” row and click the drop-down arrow to choose which fields you want to include in your report. i. Do this for all “Rediscovery Field” rows you need. d. Once complete, hit “Save Template” at the bottom. If you intend to use the template now, make sure the “Use this template” box is checked at the bottom. e. Click “Next” 6. “Export Records Output” a. Continue with the “How to Pull Reports from ICMS to Excel” guide for this collection. i. For other collections, you will have to transfer the template from the collection you made it in to a disk then back into other collections. See below.
Downloading and Uploading Templates to Use Across All Collections
1. Make sure you are in the collection catalog record where you originally made the template. 2. Click on “File” a. “Import/Export” i. “Import/Export Selected FIelds” 1. “Transfer Template(s) to Disk” 3. Select the template you want to use here on out. a. Click “Start Transfer” 4. Place the template in W Drive: NISI: NISI 1: Collection Catalogs: ICMS Catalog Records: INFORMATION: Export Templates. a. Name It something that matched the name in ICMS, with your initials and date included. b. The file type should be “Cultural Resources Import Export Templates” 5. You have to upload the template back into ICMS for each collection in order to export the reports for each one. a. Click on “File” i. “Import/Export” 1. “Import/Export Selected FIelds” a. “Transfer Template(s) from Disk” b. Click “Browse” c. Choose the template from where you placed it in the “ICMS Catalog Records” file d. Click “Open” e. Click “Next” f. Choose “Update the Import/Export Template” button and “Next” g. Click “Finish” 6. Go through the process of exporting the reports using “How to Pull Reports from ICMS to Excel”
