Task 1: Knowledge Questions

Describe two (2) Australian and international standards that relate to corporate
Question 1
sustainability?

The two major standards which relates to corporate sustainability in Australia and internationally are as
follows:
1) ISO - 14001
A globally recognized standard, ISO-14001, is used for executing, operating and establishing an
environmental management system. This standard serves as a framework which meeting high customer
expectation, regulatory and legal requirements, regarding corporate responsibility.
The international Standard Organization created ISO-14001 in 1992. The purpose of its creation was to
eliminate problems emerging due to global environment. It covers following aspects:
 Environmental Auditing & Environmental Management Systems
 Product Standards Environmental Aspects
 Life Cycle Assessment
 Environmental Labelling & Performance Evaluation
This standard requires existence of environmental policy in the organization, which must be supported by
all the steak holders including, public, staff and senior management.

2) ISO - 26000

This standard guides companies and businesses in how to work for the society's welfare which means it
requires organizations to be ethical and transparent so that they can add to society's health.

ISO26000 is not a certified standard like others; rather it’s a guideline for organizations on how to be
socially responsible. It identifies and communicates the most effective best practices regarding social
responsibilities globally which can be useful for all sorts of organizations.
Describe one (1) environmental and sustainability legislation, regulations and
Question 2
codes of practice that is applicable to your organisation.

The environmental & sustainability legislation are as follows:

 Australian Environmental Protection Act 1997
 Australian Environment Protection Regulation 2005

Environmental and sustainability regulation:

Environment is the basis of our survival on earth and protecting it, is our social obligation. Our
organization doesn’t take this responsibility lightly and ensure all possible measures to protect the
environment. We ensure that our operations follow strong practices and principles to protect environment
for future generations.

The directors at our organization have created an environmental sustainability committee which is headed
by the director of IAJ. The purpose of this committee is to continuously evaluate all the processes, to
identify and eradicate any activity that is hazardous to environment and to maintain our sustainability
goals on meaningful and continuous basis. Each department I.e. logistics, procurement, or sales, is
responsible for ensuring their processes follows committee directives to maintain environmental
sustainability.

Codes of Practice:

IAJ’s higher management is really committed to maintain environmental sustainability. Based on effective
communication, continuous assessment and executive commitment, they have created a sustainable
management philosophy to create a safer environment for future generation. All the staff members are
required to ensure that process and procedures in their departments are sustainable. The organization
continuously keeps improving its activities and business to make it more and more sustainable.
Identify internal and external sources of information that can be used to plan and
Question 3
develop a sustainability policy for the organisation.

To develop a sustainability policy for organization various internal and external sources of information
can be used. The internal sources of information include information from the employees who is directly
impacted from the policy such as the labour workers, operators and lower staff. They can help us identify
policy impact. Moreover, we can gather information current systems and procedures that are being
followed in the organization. It would help us to identify the loopholes in the current systems and
opportunity to improve them. Additionally, the human resource managers and trainers provide the
information regarding which policies needs revision or may be help us to identify the need for new policy.

On the other hand, the external information sources includes information from the local or state regulators
which helps you to understand the new state laws for creation of new policy or make revision to existing
policies. Additional sources could be environmental sustainability websites, case studies and consultants
which provides knowledge and information regarding creating a sustainable policy.
Question 4 What are policy development processes and practices?

Policy development involves following stages:

1. Need Identification

The first step in policy development requires the identification of need for which policy is most likely to
be created. It can be created in response to a need which is mostly legal or state requirements. For
instance, policy regarding minimum wage must be developed in order to address minimum wage law of
the country. Similarly, a policy is also developed a need is anticipated. For instance, extended working
policy must be created if the company has recently increased its usual working hours in order to meet
increased demand. In order to identify the need for policy, it is vital for organization to evaluate its
process, practices and external environment

2. Identify the responsible stakeholder

Once the need has been identified it is then essential to find the relevant individual, staff member, or
working group for which the policy is being developed. Identify the expertise that is required to create the
policy and create a lead member for assign this task.
3. Gather useful Data.

The lead member then starts working by gathering the useful data which is required to draft the policy. He
must identify if there is any legal requirement associated in the specific domain. He should also research
similar issue that has aroused in other organizations and look for other policy documents dealing with
similar policy area. He should look for generally accepted best practices and procedures required to create
the policy.

4. Policy Draft

The successful data collection process lead to drafting process the policy for the organization. This is a
key stage in policy development process. While drafting a policy, choosing the right words and length of
policy is of great essence. While it address the exact issue, it must also be easy to communicate to relevant
stakeholders so that it can be implemented properly.

5. Consult with appropriate stakeholders

The key to develop an accurate policy is to involve the stakeholders who will be directly affected from it.
The organization must involve the managerial staffs who are going to ensure implementation of the policy.
Moreover, they should also involve the employees who will be following the policy and the beneficiaries
of the policy; these stakeholders will help them identify the major implications of the policy, while their
feedback, will help you improve the policy draft.

6. Policy Approval

The draft is then submitted for final approval of the senior management. Before final approval, the senior
management should take in account whether this policy meets the need that was identified in the first step.
Moreover, they should also take into consideration if the policy will be easily implemented and followed
by the relevant stakeholder because at the end, they are responsible for all policies and process in the
organization.

7. Required resources & procedures

It is then essential to identify if any new resources or procedure is required to implement the policy. The
guidance to create processes and procedure to implement the new policy must be provided and the
stakeholders responsible for creating these procedures must also be identified.

8. Implement

After creation of processes and procedure, the implementation stage of policy begins. This stage requires
the policy to be clearly communicated to the relevant stakeholders. For internal policies the mostly
organizations use notice boards, brochures, and internal memorandums to communicate the policy. It also
includes the details regarding training, if any, required for the implementation of policy. However, for
external policies the organization mostly uses press releases and their website to implement and
communicate the policy.

9. Monitor & revise

The process doesn’t conclude with implementation rather, continuous monitory is done to ensure the
proper implementation of policy. It helps you to identify the benefits of the policy that is implemented, in
addition to that, it also helps you to identify if any revisions are required or not.
Question 5 Identify typical barriers to implementing policies and procedures in an
organisation and explain what strategies you would use to address them.

There are various barriers to implementing the policies and procedure in an organization. The most
common barrier is resistance to change i.e. the stakeholder involved in implementation and following the
policy always resist to new policies and procedures. At times the necessary training required to implement
the policy is not provided properly. The organization may lack the resources that are required to provide
the training or may be the trainer is unable to educate the stakeholders who required following or
implementing the policy. Communicating the policy properly during implementation is another challenge
faced by many organizations. The memorandum or the brochure may include complex language which
may be not understandable to the employee. Senior management plays a vital role in policy
implementation. However, many organizations face challenges in policy implementation because they lack
support from senior management.

We can overcome the barriers to policy implementation by using various strategies. First of all key
problem needs to be defined i.e. the type of barrier being faced needs to be identified. If the stakeholders
resist the change then we should educated them on the benefits that new policy would provide. We should
make the implementation process smooth and slow so that it gets easier for them to adapt to new policy.
Essential trainings must be provided to the stakeholders who are responsible for implementation of policy
so that they guide the employees on how to follow the new policy requirements. Evaluate the performance
of employees, set targets and goals and give benefits on achieving these goals.
