QUESTION NO 1.
Below is an example of a well-written letter. Analyze it with respect to traits of technical
writing and Seven C’s of communication. Identify the traits and explain how are they
present in the letter. For example, if you think its language is concise, give reason for
your answer.

THREATS OF TECHNICAL WRITING:

There are five basic traits of technical writing which are as follows:

1. Clarity.

2. Conciseness.

3. Accessible.

4. Audience recognition.

5. Accuracy.

1. Clarity:
This letter is easily understandable by our audience that what type of letter is written for, so it’s

mean that there is a clarity in this letter. A precise, concrete and familiar vocabulary is used in

this letter which makes it clear. This letter is written in effective sentences and paragraphs so it

has clarity in it for their audience. This letter excludes ambiguity; include active voice and use of

transition words which make it highly clear to their audience.

2. Conciseness:
Conciseness means communicating in the shortest possible way without compromising meaning

which is done in this letter very well. This letter is divided into paragraphs to avoid lengthy

sentences which make it concise. Short sentences are used in this letter that the reader does not

have to remember too much information to understand this letter purpose. This letter avoids

redundant expressions and prepositional phrases which make it more concise for its reader.

3. Accessible:
It means that the written document should have clear format and accessible layout to guide the

audience that they can easily access content which is clearly found in this letter because this

letter has white spaces which means it is written in paragraphs and different. The body of letter is

divided into different paragraphs and points so it has clear format which make it accessible to its

reader.

4. Audience Recognition:
Audience involvement is necessary for achieving the basic purpose of any written document.

For this, the document should be in simple words and also in short sentences that make your

document interesting for audience. In this letter familiar terms are used which make it easy to

understand for audience. Short and precise sentences are used in this letter which is easily

understood by audience without making them bore.

5. Accuracy:
This letter is accurate because it has right, proper and correct content. This letter include proper

formatting, line spacing and good font size and color that’s why this letter is totally accurate.

There is no spelling and grammar mistake in this letter, simple language is used which make it

more accurate for their reader. This letter reflects the concept of subject clearly so we can say

that this letter is accurate in all manners.

TRAITS OF TECHNICAL 7’S:

The 7 C’s of effective communication are as follows:

1. Completeness.

2. Conciseness.

3. Clarity.

5. Correctness.

6. Courtesy.

7. Consideration.

1. Completeness:
This letter is incomplete because it does not contain all facts about COVID19 such as symptoms,

transmission from one person to another person’s and how, when and where dis COVID start

that’s why the given brochure is incomplete.

2. Conciseness:
All information provided in this letter is written in concise form as in short sentences and also in

paragraphs. This letter includes to the point information which make it more concise. No extra

personal information is mentioned in it so the reader has no difficulty to understand the purpose

of this letter.

3. Clear:
This letter has precise information and familiar words which shows its clarity. Short sentences

and effective paragraphs make this letter more clearly to its reader. Clarity of this letter is shown

by the important parts of sentences and paragraphs are emphasis.

4. Concreteness:
Concreteness means something real, particular and solid. This letter is concrete because it

requires specific information instead of general information. All basic information provided in

this letter is specific and important so this letter is concrete due to its solid information.

5. Correctness:
Correctness means to be correct in spellings and grammar and this letter is totally correct

because there is no spellings and grammatical mistakes. Simple language is used in this letter

which make it correct for its reader. Active voice is used in this letter and avoided the use of

phrases which is the reason of the correctness of this letter.

6. Courtesy:
True courtesy involves being aware not only of the perspective of others, but also their feelings.

Positive traits are used in this letter which is because of courtesy. As being sincere and

appreciative make the document courteous. In the given brochure the message is conveyed in a

proper way and honestly without hiding any facts therefore brochure looks courteous.

7. Consideration:
Consideration also implies on this letter as it is emphasized on our approach.
