PROCEDURE FOR CONTROL OF RECORD

1.0 Purpose
1.1 To control the records identified within quality and food safety management
System.

2.0 Scope
2.1 Covers all the records generated under the food safety & quality management
system.

3.0 Responsibility
3.1 The responsibility of maintaining the records shall remain with concerned section
heads.

4.0 Procedure
4.1 Entry in records is done with pens whose ink does not smear. They are written
clearly to retain legibility.
4.2 When mistakes occur in records, each mistake is crossed out, not erased, made
illegible or deleted, and the correct value entered alongside. All such alterations to
records are signed or initialed by the person making the correction.
4.3 All records are numbered for easy identification and retrieval. The methodology
used is given below:
4.3.1 Numbering of Records - Abbreviation of organization and department
followed by serial number in numeral uniquely identifying the record e.g.
AKW/QC/01
a. AKW – Al Kawther Water Treatment W.L.L
b. QC – Quality Control Department

4.4 General records belongs to food safety manual and procedures are identified with;
a. Company code (AKW)
b. Integrated Management System (IMS)
c. Form (F)
d. Serial Number
4.4 A list of records including record number, name of the record, location and
responsibility, retention period and method of disposition is available.

4.3 The records are stored in cupboards to protect them from damage and
deterioration. The cupboards are cleaned regularly to prevent insect attacks.

4.4 To prevent unauthorized accessing of records, they are kept under lock and key.
