Executive summary
This final industrial internship report in broad spectrum includes five chapters in which we have
tried to explain our six months industrial training experience in Dessie Innovation, science and
technology with software engineering department of Wollo University.

The content of all chapters is deeply and broadly discussed. The report is constructed and
developed from the practical basis of the web site work that have been performed and ended
from the early of February to the end of July 2014 E.C.

In the opening chapter, we have tried to give a brief history of the company which include
mission, vision and goal of the company, main products and end users of the company, projects
run through the company have been mentioned. In this chapter, we have put overall
organizational structure of the company.

Chapter two exclusively discusses the overall internship experience that we have gained from the
industrial training program. This Chapter of the report is basic and which we are going to present
mostly. It highlights the overall works we have been executing.

The third chapter has been dedicated for the overall internship benefits that we have grasped
from this program. Points that have been discussed throughout this chapter include practical
skills, entrepreneurship skill improvements.

The fourth chapter clearly describe about the separate project of our engagement on that
company. That is based on the problems faced on the company and solutions we have taken. And
further more on this chapter we have elaborate that the way of analyzing problems and
methodology that we develop to solve the problem.

The last chapter, chapter five, of this report has raised conclusion and recommendation. This
section elaborates the recommendation to the organization and the university, and the conclusion
of the entire internship report.

1. Background and history of the organization


Dessie Mayor Office is under Dessie city Administration and it is located in Dessie around
agergizat behind golden get hotel. It has the following mission and vision:

MISSION

By participant all development stack holds of the town and interpreting their capital to create
sustainable democracy, peace and good governance on one hand and all rounded welfare and
development of the town on their other.

VISION

By 2031 to see Dessie city being a suitable place to live, remaining strong in keeping its culture,
social harmony and natural, assets, emerging as a center of trade, tourism. Health and industry, in
which good governance and peace is ensured.

2.1 How get into the organization


As we are software engineering students, which means we are engaged in the discipline of
engineering, we need practical experience on the real organization and customers of our future
enrolment. This opportunity is included in our curriculum on fourth year first semester as a
course. On the basis of this opportunity the head of industry linkage have given the request paper
to us to request companies and get the acceptance.

We are decided to request Dessie Innovation, science and technology in Dessie city admin and
they were accepting our request but our request was from October to January because of our
country problem it is postponed to February to July.

In this organization there is also other students that were getting internship so the head of the
organization was distributed every group to different offices at that time we were getting a
chance to Dessie city mayor office.

They describe that they want to accomplish their work with technology and digitalized way. That
was our encouragement which leads us forward. First of all, we were communicated with the
manager of ICT department. She tells about how they work and manly they do their work
manually

Of course, we were aware them something about digitalization to them by our proposal and the
blueprint that we prepared before we start developing the website. Since it was very interesting
and have very well look and feel user interface which was, they liked and valued it.

After this communication we were try to find the problems they have been faced and their
solution. Since the organization have many customers those customers have to get information
about the organization and also to reduce time of customers we are decided to do website for this
organization.

2.2 Student involvement section of the organization


We were involved in the ICT department of the organization. Currently the service users may or
may not receive the service due to the absence of the mayor so, by looking this condition we
want to do website for this organization because they don’t have website with customer centric.

To connect easily mayor and customer’s website is useful so by understanding this we want to do
website for this organization and they also accept our idea.

2.3Students work flow in the section


The section we involved were developing software for the organization. So we were asking
information from customers and also we are looking ministry of Dessie city mayor office website
as existing system because Dessie mayor office have no website. So by those methods we are
collecting information and start to do our work.

The task we have accomplished while we were in the internship program described as the

2.4 Students individual activities


Software development is always a team work. And when there is a team work, misunderstanding
is very usual. This is true for us too. However, this practice is really effective to keep the work
environment healthy. Blaming others for their mistakes does not solve the problem. It only

makes the situation and the relationship between coworkers worse, so at this time we individuals
divide the task and take the winner one.

There is no one to take orders like, “do this work”, and “do that work”. Every one of us assigned
to a particular work and we do our work in our way. At time of scrum every one of us shares our
progress to our team in all. All the projects are done in this way.

2.7Challenges that faced students while performing their tasks


We have done the project in a very well and surprisingly it was their favorite system and going to
use it. But the success is not street through, instead we have got a lot of challenges, solving and
addressing those leads us to up.

This project is the largest project of our journey and may be larger than the combination all the
projects we have done till now. We have learned many things while working on it and at the
same time faced many challenges. The main challenge was to understand the concept and
domain of the project. It was also a challenge to learn new technologies and apply them properly.
We would again like to thank our advisor for helping us to overcome these challenges by his
guidance.

The other challenge we have faced was since the project must be done as full as possible, we
were not able to get enough sleep, because of this sometimes we were tired of work and sitting
down much more times.

The third challenge is that some customers are not interested to give information.

We were able to address the above challenges by: -

i. Since the goal of internship was getting practical work and adaptation of real-world
environment, we encourage our self by assuming we were at profession. Learning and
applying new technology as per required.
ii. The university gives money for us, this were used for addressing our challenge of
budget.

iii. Technics and special supports were given by our advisor


iv. Accepting suggestion and comments from our advisor and team mates each other.

Generally, we have been overcome our challenges and able to done the full deployed software
system for Dessie city mayor Office. Since we use time properly, we have covered all tasks in a
time before we expected. On the other hand, we have learned that timing is one and most matter
in software development and engineering discipline, what our big success is our timing in
addition to full project development.

CHAPTER THREE

Benefits of internship
3.1. Benefits in terms of practical skill
During Our internship program was helpful to specialize our practical skill. We were benefited in
empowering our practical skill. This is because we have not any other activities that may take
our time. So, we further adapt new technologies. Among those, the following are listed.

 We learned about bootstrap framework


 We individuals were able to configure database relation and mapping
 The internship also helps us to realize model view controller software
architecture

 It also helps to understand the theoretical portion of software tools course,


like to understand VCS (version control system) enterprise architecture
and GitHub tools.

3.3. Benefits of internship in terms of interpersonal communication skill

Completing an internship also makes a student a more attractive candidate for colleges and
scholarships. Having “real world” work experience shows a college or scholarship panel that a
student has a clear set of goals that they are actively working towards. Demonstrating
commitment and follow through demonstrates a high level of maturity, responsibility, and
willingness to do what it takes to be successful.

An internship can help a student decide if a particular career is a good match for their
personality, lifestyle, passions and goals. This way a student can avoid spending time and money
on training for a career that does not really suit their abilities or needs.

By successfully completing an internship, a student can obtain a positive recommendation that


can be used for future employers, college admission and scholarship applications. This indirectly
means it helps the students to have good communication to anyone.

3.4. Benefits in terms of work ethics


Although technical learning is important, professional learning is the sole purpose of an
internship. In addition of practical skills, we have got the following work ethics.

No bullying and blaming: Software development is always a team work. And when there is a
team work, misunderstanding is very usual. This is true for us too. However, we have never seen
team leaders and project managers to bully people working under their supervision. This practice
is really effective to keep the work environment healthy. Blaming others for their mistakes does
not solve the problem. It only makes the situation and the relationship between coworkers worse.

Appreciate success, do not discourage for failure: In our organization appreciation for success
is a real trend. The team we have been assigned to has taught each other the value of

appreciation. Here, the members appreciate each other on our successful contribution to the
organization and also on our success in some other fields.

Attitude: our team mates are very much friendly. As an intern we attract ourselves very much
and we always try to follow the winner idea to be a successful Software Engineer as well as a
successful woman.

Quality of work: we follow a great standard of pure software engineering and our product
quality is very high. Time to time code is reviewed so that better quality software is developed.
we tried to maintain the standard of work from our side.

Negotiation: negotiation is an important part of software development. we have had practical


experience of negotiation. We, the developers here, negotiate with ourselves quite often here if
there were difference in ideas. we also had such an experience and could create a win-win
situation.

Planning: Before starting a task, we had always planned that how should we approach towards
it. Though those plans only performed as per necessary, at least we can say that we were
habituated with planning.

Organizing: One of the best ways of learning how to organize is to start organizing oneself of
his/her own and after spending almost six months at internship work, we should say that we were
a much more organized person only by practicing that principle. And now being organized
ourselves, we can say that we are ready to organize others.

Attendance and Punctuality: punctuality is another important issue in professional life. we


have to go office at 2:00 o’clock and continue at codding up to 6:00 o’clock. And at noon from
8:00 o’clock to 10:00 o’clock. This practice helped us to increase our level of punctuality and we
were present in approximately 80% workdays of internship months.

CHAPTER FOUR

Students Internship project work


4.1 problem of hosting company
Currently the existing system that the organizations have only direct get the mayor without any
appointment as we mentioned in above it is database and also different indicator points are
identified as follows as problems of the company:
 Customers cannot get information about the organization easily
 Customers cannot get timely news and new vacancy related
 There is also language barrier

4.2. Solution for the problem discussed which addressed by students


The problems we have listed above are problems in our host company. All problems can’t
address in our project, but we have solved the following problems: -

i. Customers cannot get information about the organization easily.This problem addressed

completely. By using our website system anyone around the world could able to know
about Dessie mayor Office.
ii. Customers cannot get timely news and notification like a new vacancy. This problem also
addressed by using our website system every customers can get timely information about
Dessie mayor Office.
iii. Language barriers- We try to solve this problem by translating the language in to one
hundred. This helps the company to easily communicate with out the language barrier.
Amharic is also included because almost all customers are Ethiopians’ and Amharic is our
national language.
Generally, we have tried to address problems related with lack of information about the
organization to the customers. Since we are software engineering students, we were address
problems related with technology. That is the main problem for the company also. So, we
thought that we completely address the problem of our host company.

4.3. Objective of the project


4.3.1. General objective
The general objective of this project is to design and implement responsive full contents of
Website for Dessie city mayor office.
4.3.1. Specific Objective
In order to attain the general objective, the following list of specific objectives are set:
 Implement and deployed the integrated solution
 Test the performance and reliability of web application.
 The Website make the organization contestant through the country.
 Gather relevant information about the existing system
 The website is the primary sources of presenting Dessie mayor office to the customers
who are interested in seeking information.
 Design the graphical user interface of the website
 Select the appropriate programming language
 Design the system using object-oriented approach models for understanding the system
and to make the implementation easy.

available for the public audience.

4.4. Methodology of the project


The success of a project work largely depends upon the methodology selected to conduct the
whole process. we have used basically observation and document analysis method and some
concerned tools in this internship. The following methods were adopted for completing the
present project:

i. Direct Participation: Direct participation in any work is very important to know and
learn about the actual work process. we had observed the systems and services of the
organization and worked with the officers simultaneously. Direct participation also helps
us for making „activities and experience of the organization ‟ in digital section.
ii. Personal Contact: we have gathered information by having personal contact with the
customer by visiting different sections. This active method helps us to connect with the
company personnel very closely and reveal how to work efficiently.
iii. Personal Interview: Personal interview constructed to collected information from the
concerned personnel through face-to-face interaction to clarify our concept about the
major library operations.
iv. Observation: we have applied observation method because this method is very important
to gather reliable data correctly. Through this method we obtain the required data by
directly observing Dessie mayor office.
v. Literature Review: Existing literatures on the topic were many and they are boring so,
we have read on resources like internet, that is good news for us to determine whether we
were going right or not.
vi. Sampling: we had a files, documents, educational websites, computerized screens and
previous internship report etc.
vii. Questionnaire: Basically, unstructured questionnaire used in this internship.
viii. To get the basic information about the existing system, the team will interview different
responsible body of Dessie mayor office for example by asking ict department server

given to them, and the problems associated with that environment.
ix. By reading written document about Dessie mayor office we get full information about the
organization

4.5. Literature compilation


We have compiled the following literature for this internship project. This literature was written
according to how we have been seeing the problem, how we try to address those problems,
requirements for solving this problem and to build the system, feasibility study of the project and
requirement analysis.

4.5.1. Overview of the Proposed System


The new system that we have proposed to automate Website, is to minimize and to discard or
remove as much as possible the problem that faced in existing system.

Our system is easy and simple to use and it saves wastage of time, resource and human resource.

To overcome the problems that exists in the current mechanism of improving delivering quality
of information, the proposed system will add here the following function.
 Create interactive, dynamic, scalable and responsive full contents Website with a
professional welcoming design by which it can able to reach to the internal and external
community
 Design interactive website that is portable and accessible within any device which
means usable within mobile, pc, desktop and etc.

4.5.3. Feasibility Analysis
Feasibility study is an important phase in the software development process of this project. Our
project which is web based feasible because it can fulfill the requirement of good software which
are economical, technical, political, and operational feasible.

4.5.3.1. Operational Feasibility


This system brings better achievement for the operations performed by the enterprise and for
the customer by the providing efficient automation and storage of work actor information, easy
updating, deletion and modification etc. This increases the efficiency of work in Dessie Mayor
Office.

4.5.3.2. Technical Feasibility
 Our project is technically feasible. Because everyone can access if the site is released to
online and have known the universal resource locator of the site (URL). It is also
compatible with modern technology. The system integrable with computers, smart Phone
and others.
 The proposed system expected to be maintained and repaired easily, because the system
was developed by familiar programming language (environment).
 The project team members have learned programming languages that required for the
successful completion of the project such as JavaScript, CSS, HTML, PHP and MYSQL.
We also apply the procedural programming language concept methodology that we
followed to develop this project. Team members have the required skill to develop the
system.
4.5.3.3. Economic Feasibility

Since this project is going to web-based application, save time and make comfortable
environment for the user.

4.5.3.4. Schedule Feasibility


The schedule for this project will be feasible due to wealthy information exchange between the
developing team, Advisor and the organization. And also, the time set to develop the system is
enough to complete at the predefined date and time. The project team members expected the
project to be completed on time without any delay.

4.5.4 Requirement specification


4.5.4.1. Functional Requirements
A Functional Requirement is a requirement that satisfied the users to perform some kind of
function.
The proposed system is designed to do the following functionalities:-

 The system should allow customers to get full information about the mayor.
 The system should allow admin to login.
 The system should validate the data entry.
 The system should validate and authenticate the users’ email and password.

Output Related Requirements

 The system allows admin to announce a new vacancy.


 The system gives detail description about the customers appointment.
 The system allows customers to give comment.

Storage Related Requirements

 The system will store all the detail information of customers in the apache server.

4.5.4.2. Non-Functional Requirement


Non-functional requirement describes invisible aspects of the system that are not directly related
to the system. Unlike functional requirement the non-functional requirement deals with
additional quality of the system such as:

 User Interface: The system has its own functionality that needs interaction with users.
The system provides different categories of users of different level. Thus, to address the
above requirement the interface shall be user friendly.
 Hardware Considerations: The system should run on a pc with a dedicated server to
contain the database and other server components.
 Efficiency: The system is efficient based on the concept of resource consumption. E.g. it
only needs a computer that has a browser to access the system.
 Security issues: This system should have a mechanism to restrict some resources to
unauthorized users. The system requires the user to provide his identifications before
allowing accessing a secure resource.
 Performance: The performance of the system should be reliable and the response time of
the system should be short.

 Service: The service that the website provides is easily understandable by customers who
know how to use the internet. And customers can be located anywhere having internet
access.
 Availability: The system is available 24 hour to everyone.

4.5.4.3. Systems Requirement


Hardware Development Tools
These requirements list out the minimum requirements of the system.
 Intel(R) core (5) 2 Duo CPU, 2.75GHZ, 4 GB of installed RAM and 80 GB + Hard Disk.
These are in both client and server computer.
 It needs printer to shared printer or a brand new one, if available.
 It needs network infrastructure (like CAT 5/6 UTP cable, switches) and wireless Wi-Fi.
Software Development Tools

The software requirements for installation of the proposed system are:

 Operating system: window 10 operating systems.


 Browser: for client computer Mozilla Firefox version 20 or higher, Chrome any, Opera
version 9 or higher, internet explorer higher version.
 Microsoft Office 2007: we use this software in documenting the project as well as in
presentation the project group uses Microsoft office.
 Edraw UML diagram & Enterprise Architecture: are an open source software modeling
tool that supports UML model diagram.

This is somehow little literature about our project. The full documentation is available
separately, but to make reported that how we start, processed and finished the project. This
literature is very short, simple and directional about the system developed.

CHAPTER FIVE

Conclusion and recommendation


5.1. Conclusion
In conclusion we students were benefited a lot in the field attachment in a way that the student
managed to apply the theoretical knowledge from the university into practice through the many
activities/tasks/assignments the intern was instructed to do.
The intern improved the skills like interpersonal, listening, presentation skills, acting freely
around people, typing skills, accounting, recording, presentation, typing, conflict resolution,
organizational skills to mention but a few.
We learnt many lessons which included; how to create quality software system, how the working
environment runs, etc. We got different ideas from the different customers at the Organization
and also through interacting with other interns from Dessie innovation, science and technology
and this contributed a lot on the knowledge and experience.

Finally, internship was fun and therefore the student would encourage the Amnesty Commission
to continue giving students this opportunity to do their academic requirement of internship from
their organization.

5.2. Recommendation
5.2.1 To the organization
The head of the ICT department is present in our presentation, that will tell whether we done the
project perfectly or not? This may decide us to re develop and expand our vision for more
accurate work.
More opportunities to students to do intern in their organization; The intern would also
recommend the Organization to continue giving internship placements to as many students as
they can because some miss this experience which is also important requirement of the
University due to the fact that they failed to get placements.

5.2.2 To the university

Serious supervision to the workers and students, the organization should increase and ensure
more supervision over the employees in order to work effectively and also eliminate workers
who relax, work lazily and perform actively after seeing their supervisors.

Constant supervision of students, the intern recommends the university to carry out constant
supervision and monitoring of students during the internship training so as to encourage them
to perform the duties fully and also accurately. This will also put a close link between the
academic supervisors and the field supervisors so as to foster appropriate assessment of what
the interns are doing in the field. This is normally to share our benefit from constant
supervision; since we were supervised by our advisor Mr. Shambel dessale we got a lot of
advantages.

Secure Internship placements for students. The University should help students to secure
internship positions according to their respective programs undertaken at the University
through giving students recommendations in order to ease their training periods and also avoid
the ache gotten by students in search of internship placements should continue with internship
program, this is because it helps to prepare the students for their careers in future and also
enable the students to practice the theoretical knowledge obtained during class be exercised

practically. It also helps to develop students understanding of work ethics, employment


demands, responsibilities and opportunities.
