2.0 Background  
On occasion of DELTAgroup’s 30th anniversary in March 2021, the company intends to pursue 
the holistic ambition of improving upon general efficiency, employee and customer experience.  
The DELTAgroup currently has a website where prospective employees (candidates) drop in their 
applications, after which they are processed and onboarded to DELTAgroup as either part time 
or permanent employees.  
Based on their skillset, these employees are then assigned to different events when customers 
place an order for a DELTAgroup personnel/fleet.  
All the information mentioned above, i.e offers, orders, payroll relevant data and work hours, as 
well as subsequent invoices are currently stored in DELTAgroup’s EM-Tool (ERP), which is the 
datasource for a number of customers facing touchpoints.  

3.0 Business Objectives 


3.1 Broad Objectives  
In order to pursue the holistic ambition mentioned above, the company aims to improve upon 
existing systems, and develop new integrated systems that will work together to provide 
best-in-class digital end-to-end employee and customer experience along the DELTAgroup value 
chain from lead to cash.  
Ultimately, this will involve the development/revamping of the following modules/functions, as 
part of an umbrella app that encompasses all business functions. These modules/functions are:  
● DELTAGroup HR & DELTA Academy  
● Automatic Personnel Planning (with onsite assessment)  
● CRM System (with Computer Telephony Integration)  
● Customer Portal  
● Employee-facing Payroll Application  
● Billing & Quote Generation  
● Statistics Reporting Tool  
● Employee Application (MA-App)  
● Motivational Tool  
● Logistics and Inventory Management 
The aforementioned modules/features will be addressed over the course of two development 
phases, the first of which will address the priorities stated by DELTA Security. These priorities 
are stated below as specific objectives, and collectively, they make up the scope for phase one.

3.2 Specific Objectives  
This document details upon the scope for phase one of the DELTA 2021 project. ​Specifically, 
the scope for phase one has been stated as a key priority and will involve the development of the 
following:  
● DELTAGroup HR & DELTA Academy Module  
● Automatic Personnel Planning (​ with onsite assessment) 
● New CRM System (​ with Computer Telephony Integration)  

4.0 Target Ambition 2021  


4.1 Key Priorities  
As a part of p​ hase one​ of the complete development timeline, the key priority modules must 
each fulfil their individual requirements. These requirements are elaborated below:

vi. Standard template for shipping shipments

CRM.  

During the pre-study, it was observed that there are some modules that are not currently stated 
as priorities, and yet they show high relevance to the priority modules themselves.  

This scope therefore also combines the requirements of these related modules with the 
requirements of the priority modules​ ​in order to create one complete and holistic 
solution.​ This ensures that the solution delivered at the end of phase one has optimum 
functionality.  

As such, the Automated Personnel Planning Module is directly related to the Statistics Reporting 
Tool, and the DELTAGroup HR & Delta Academy module is related to the Employee Directory. 
The requirements of each of these related modules (as stated by DELTA Security or otherwise, 
based on relevance) are stated below: 
a. Statistics Reporting Tool

as per DELTA Security’s requirements​. These modules are stated below:

5.0 Scope  
Considering the priorities stated earlier, this section elaborates on the modules and their 
underlying features, which are explored from the point of view of the system’s actors. All details 
are for the scope of phase one of the DELTA 2021 project. 

5.1 DELTAGroup HR & DELTA Academy  

5.1.1 Relevant Actors  

The actors relevant to DELTAGroup HR and DELTA Academy module are:

5.1.2 Solution Components (Role Relevant)

As an ​applicant​ interested in submitting my job application to DELTA Security/ServX/BASIC 
Security, I will be able to:  
● Access the job application form after being redirected to it from the job description 
page/document,  
● Fill up the form with all my relevant details,  
● Upload any relevant document, image or video relevant to my application,  
● Submit my application so that it may be reviewed by the relevant authority from DELTA 
and  
● Receive credentials to log in to the application portal if my job application is accepted by 
DELTA.  
Note: M
​ aintaining job vacancies and description on DELTA Security’s website ​is not included​ within the current 
scope.  

b, Application manager  

Actors involved: ​DELTA Admin, Recruiters/HR Team Member 


As the ​DELTA Admin ​with access to the umbrella application, I will be able to:  
● View all job specific applications ,  
● View all documents attached to the applications,  
● Assign HR team members to individual job applications and their applicant,

● Initiate the verification process for selected applicants,  
● Move applicants to the “hired” list, so that their profiles may be created and updated in 
the employee directory, and 
● Add a new applicant from within the application portal.

able to: 
● View all relevant job applications that have been assigned to me, 
● View all documents attached to the applications,  
● Select candidates to be assessed formally,

c. Application management status monitor

As a user with ​Admin​ access credentials, to the umbrella application, I will be able to view the 
overall status of applications (general, any related KPIs, forecasting etc) in the status monitor in 
this module.

able to view the status of applications (general, any related KPIs, forecasting etc) that are 
assigned to me only.  
As an ​Applicant​ with login credentials to the application portal, I can view only the status of my 
application (the stage of the assessment that it is in).  

d. Employee Directory  

Actors involved: ​DELTA Admin, Recruiters/HR Team Member, Applicant 


As a user with ​Admin​ access credentials to the umbrella application, I will be able to:  
● View all employees enlisted in the directory, 
● Manage old and new employee profiles,  
● Add or delete profiles, or mark profiles as “active” or “inactive”, and   
● View all documents attached to employee profiles.   
As a R
​ ecruiter/HR Team​ member with login credentials to the umbrella application, I will be 
able to:   
● View all employees enlisted in the directory, and   
● View all documents attached to employee profiles. 
As an ​Applicant​ with login credentials to the application portal, I will be able to view only my 
profile only if I have been hired as an employee of DELTA Security/ServX/BASIC Security.

External participants of courses offered by DELTA Academy.

● View training progress of the people who have applied to undertake the onsite courses 
and/or training events,  
● Create​ online course materials​ that people can complete a​ s part of elearning​,  
● View names and details of people who have applied to undertake online courses,  
● View training progress of the people who have applied to undertake the online courses, 
and  
● Issue certificates when people have completed a course (online or onsite) in a 
satisfactory manner,

​ ELTA Security/ServX/BASIC Security Employee​ with login credentials to the umbrella 
application, I will be able to:  
● View the courses that are being offered by DELTA Academy, as listed on their website 
(online or onsite),  
● Register for these courses (online or onsite),  
● Get an in-app calendar notification and a calendar slot filled for every event that I have 
signed up for,   
● Gain access to any and all e-learning or similar course materials that are being offered by 
the DELTA Academy,  
● View my progress on each of these courses, 
● Receive a certificate upon successful completion of the course and  
● View the certificate from my profile.  
As an ​External participant of courses offered by DELTA Academy, ​I will be able to:  
● View the courses that are being offered by DELTA Academy, as listed on their website 
(online or onsite),  
● Create a free account that will allow me to access a profile,  
● Register for courses (online or onsite),   
● Make payments for desired courses ​only if I have opened a free account and 
registered ​for said course,  
● View my profile where I will gain access to all course materials (online or onsite) if they 
are being provided by the Academy Leader, and

● View my progress on each of these courses.  

f. General Solution Components (DELTAGroup HR & DELTA Academy)  

Apart from the role relevant solution components mentioned above, this module also includes;  
Automatic Application Sorting  
In order to ensure that only relevant applications are received at the DELTAGroup HR & DELTA 
Academy module, the system will automatically filter out applications that do not fit the criteria 
stated in the job description. This includes:  
● Automatic rejection of irrelevant CVs based on pre-set criteria and/or keywords,  
● Automatic archiving/deletion of rejected applications after a pre-set amount of time so 
that they do not appear in the module,  
● Blacklisting certain profiles so that their applications are always rejected (for example: 
applicants who are under 21), and  
● Rejecting applications that have already been rejected before.  
Automatic Update of Employee Directory  
Once prospective applicants have been assessed by DELTAGroup HR, his/her application status 
will be changed from “verification ongoing” to “hired”. Once this happens, the system will allow 
members of the HR team to add this newly hired employee into the Employee Directory by 
creating a new employee profile.  
Automated Emails to the Applicant  
Whenever the applicant is moved from one assessment stage to the next, the system will 
automatically send an email to the applicant informing him/her of this change. Additionally, the 
applicant will also be able to view this his/her assessment progress by logging into the 
application portal using that credentials that were previously emailed to him/her.  
Migration of Existing Applications or Personnel Details  
The scope of this phase also includes the migration of all existing employee details, or 
applications (CVs, documents or images). These applications and profile details will be migrated 
from DELTA Security’s HIS and Visual Address onto the new application’s database.  

5.2 Automatic Personnel Planning

As the relevant ​DELTA Authority​, with login credentials to the umbrella application, I will be able

● Receive the order request from the customer (outside the application portal)  
● Create a profile for a customer (if the customer is new)  
● Access existing customer profiles from within the application portal  
● Upload, into the umbrella application, any document (image or video) that has been sent 
by a customer  
● FIll in the project details as specified by the customer,  
● Mark events as critical (requiring immediate attention)  
● Assign the event to a planner.  
As a p
​ lanner​ with login credentials to the umbrella application, I will be able to: 
● View the list of order requests that have been assigned to me 
● View event name and locations 
● View event date and type 
● View the customer’s contact information 
● View the requested dates of the order 
● View urgent orders  
● View event related special notes by the customer  
● Download map and view critical zones in the venue, and  
● Convert event into a project.  

b. Project Management  

Actors involved:​ DELTA Authority, Planner, DELTA Security/ServX/BASIC Security employees, 


Onsite team leader, Inspector or Controller.  
As the relevant ​DELTA Authority​, with login credentials to the umbrella application, I will be able 
to: 
● View the project list for all customers 
● View the status of projects 
● View project details, and  
● View the name and details of the planner who is responsible for the project.  
As a p
​ lanner​ with login credentials to the umbrella application, I will be able to: 
● View all events assigned to me 
● Create a project for a customer 
● Convert orders into projects 
● Edit customer given event details if necessary

● View a list of available security personnel with their availability information (this will be 
automatically suggested based on the requirements of the customer),  
● Assign multiple security personnel to an event 
● Add, edit or delete specific dates for security personnel to be on duty 
● View a timeline of security personnel in a calendar representing their duty time and 
dates 
● View marked critical zones of the venue 
● Assign particular security personnel to different critical zones 
● View details (name, notes) and assigned security personnel in each critical zone 
● View list of created projects as well as projects conducted in the past 
● View status of each project, and  
● Edit or remove projects.  
As ​DELTA Security/ServX/BASIC Security​ employees with login credentials to the umbrella 
application, I will be able to: 
● Receive notifications every time I am assigned to a project, and  
● View the details of projects that have been assigned to me.  
After the project has been completed successfully, ​should it be required, I​ will also be able to 
download an Event Report in order to escalate any event or mishap that occurred during the 
project runtime. I can also add images to the report should it be required.  
As an ​Onsite Team Leader​ I will be given e
​ levated access ​to the project that has been assigned 
to me. I will therefore be able to view all the features as per normal procedures, such as:  
● Notifications every time I am assigned to a project, and  
● Details of projects that have been assigned to me.  
Should it be required, ​I will also be able to access and input data in an Event Report in order to 
escalate any event or mishap that occurred during the project runtime. I can also add images to 
the report should it be required.   
Additionally, because of the elevated access, while onsite, I will also be able to login to the 
application via mobile devices in order to:  
● Access the following forms:  
○ Action Report (to provide feedback on the project after it has been completed)  
○ Manpower Report (to keep all other factors, such as starting time, ending time, 
whether or not the right uniforms have been worn, etc)   
○ Operating Report (to leave any remarks about the general progress of the event)  
○ Warehouse Sheet (to keep a check of all the materials that my team has taken 
from DELTA’s inventory), and  
○ Quality Report (for individual assessment of team members)  
● Fill up the aforementioned forms and share them, from within the portal, with relevant 
higher authorities.  
Furthermore, I can choose to temporarily provide access to some of my team-members to 
finalize the job e.g. enter the final leaving time, do the material check if the said team-members 
need to stay longer than the stipulated time of the job.

As an ​Inspector or​ ​Controller w
​ ith no ties to the project (neutral individual) I can choose to do 
quality inspections on certain projects. I will therefore be able to view all the features as per 
normal procedures, such as:  
● Notifications every time I am assigned to a specific project or pick a specific project to 
inspect 
● All relevant details (images, documents, etc) of the aforementioned project, and 
● All details of projects that have been assigned to me for quality inspection.   
Should it be required, ​I will also be able to access and enter data in the Event Report in order to 
escalate any event or mishap that occurred during the project runtime. I can also add images to 
the report should it be required. 
Additionally, while onsite, I will also be able to login to the application via mobile devices in order 
to:  
● Access the following forms:  
○ Quality Report (for individual assessment of team members), and  
○ Control Report (to provide feedback on the overall nature of project execution).  
● Fill up the aforementioned forms and share them, from within the portal, with relevant 
higher authorities.  
For both the onsite team leader and the quality inspector, the elevated access will be revoked after a 
pre-specified time following the completion of the project. While onsite and during the runtime of the 
project, both these roles will be able to access all the aforementioned forms from my mobile device by 
logging into the portal through the mobile browser. 

c. Calendar Integration (Events)  

Actors involved:​ DELTA Authority, Planner, DELTA Security/ServX/BASIC Security employees, 


Onsite team leader, Onsite quality inspector.  
As ​DELTA Authority​ with login credentials to the umbrella application, I will be able to: 
● View a calendar showing the following events:  
○ Previously covered events

● View a rough calculation of the costs that have been incurred when a project is created,

● Forecasting open positions based on historical data and data from the Employee

5.3 New CRM System  

5.3.1 Relevant Actors  

The only actor relevant to this module is any authorized i​ nternal member of DELTAGroup or 
DELTA Security.  

5.3.2 Solution Components  

a. Criteria Based Employee Administration  

As an ​internal member of DELTAGroup or DELTA Security, ​I will be able to:  


● Create different criteria of employee profiles and  
● Manage employee profiles of different criteria and job roles for administrative purposes.  

b. Logbook/History of Changes in Profiles 

As an​ internal member of DELTAGroup or DELTA Security, I​ will be able to:  


● Create employee and customer profiles in the CRM 
● View change logs and activity timelines for both:  
● DELTA Security and DELTAGroup employees and  
● Customers.  

c. Marketing Campaigns  

As an ​internal member of DELTAGroup or DELTA Security, I​ will be able to:  


● View, filter and sort through the list of customers and employees, 
● Add a new customer or employee, 
● View the list of contact persons for the customers,  
● Add new contact person, edit their profiles and view their activity timelines,  
● View the list of campaigns and their underlying details,  
● Create a new campaign,  
● Address different customer/employee segments based on gender, age, company, job 
title, location etc.  
● Export all settings and segmentation information to MailChimp, so that the campaign 
may be designed and sent out from MailChimp, and  
● View myself and other members with roles similar to mine under the “users” tab on the 
side navigation panel. 

d. Training Tracking, Training & Education History  

As an​ internal member of DELTAGroup or DELTA Security,​ I will be able to:  


● Track the training progress of DELTA employees and external members who have 
registered for courses offered by DELTA Academy,

email templates for the following uses:  
● Informing candidates of their application assessment progress, and  
● Informing customers of their order management progress (i.e order received, order 
under process, order dispatched, customer feedback collection forms).  

f. CTI (Computer Telephony Integration)  

As an​ internal member of DELTAGroup or DELTA Security​, I will be able to:  


● Make calls to customer contact people or prospective job applicants via the calling 
feature embedded in the CRM, and  
● Maintain a record of all these calls in the CRM.
