Vendor Evaluation - Instructions

About the RFP/RFQ process


This template is intended to provide a framework for evaluating responses to an RFP/RFQ from different vendors.
The more specific you can be, the more detailed the responses from the vendors. In the RFP/RFQ narrative, give the vendor di

As part of the RFP preparation process, you should define evaluation criteria and weights for those criteria, such as experience
For example:
Company qualifications and experience: 10%
References and prior experience completing similar projects: 10%
Methodology, approach, understanding of the work to be performed: 40%
Price: 40%

Broad categories should be broken down to your team with the evaluation.
For example:
Company qualifications and experience:
Number of years in business
Experience of the individuals identified for the project (look at vendor staff profiles or resumes)
Listing and description of similar projects done in the past

Customizing and filling in the template


To use the evaluation sheet, you will need to update three variables:
1. Set up the major evaluation sections and criteria within the section
2. Apply the weightings for each section
3. Verify/update the rating scale.
Make any adjustments necessary to make the spreadsheet calculate the overall rating correctly.

1) Customize each section to fit your RFP evaluation criteria. Each row is an aspect of the evaluation criteria.
2) Assign weights to each section. The sum of the weightings must equal 100%.
3) Adjust the rating scale with more levels and different numbers as needed.
4) Adjust the Excel spreadsheet calculations. Use this example as a guide.
