PRACTICUM GUIDELINES
DESCRIPTION

Apprenticeship programs, in general are implemented to enhance the


preparation of the students for their future work environment and government
institutions. The program works on the premise that well-trained appreciated will
most likely be employable and productive at work. Apprenticeship course,
carefully designed to transfer relevant knowledge, skills and attitudes within a
designed period of time from an expect practitioner in a specific field of study or
profession to a student of Bachelor of Science in Office Administration. It is also
an experience that requires to apply a particular theory or conceptual knowledge
into the real work setting and provide students the opportunity to experience the
workplace and apply what they have learned at college. And for employers,
internships create a pipeline of future employees.

According to the CMO No. 104, Series of 2017, Section 1 of Article 1, the
internship program is meant to provide students with an opportunity to
complement their formal learning with practical knowledge, skills and desirable
attitudes and to gain hands on experience in recognized Host Training
Establishment (HTE).

It is a course designed to provide practical experiences of the students


during the pandemic, and the internship focus, substance, and approach will vary
depending on the particular program or specialization of the students and on their
specific needs, interest, goals, and objectives. Decision on the nature, and online
or other platform activities of the practicum are arrived at from discussion and
agreement made among the school administrators, faculty, advisor, practicum
supervisor, and students.

The on-the-job training program commits to provide every affiliated


institution with:

1. Competent and responsible practitioners of Office Management interns


who endowed with moral and ethical values;
2. Practitioners of Office Management who adhere to the principle of
objectivity and confidentiality in whatever task assigned in and out of the
practicum site;

working relationship with co-practicum interns and employees in the
workplace;
4. Efficiency in the practice of Office Management through the requirements
set for the completion of the course;

7. An exemplary workforce who spreads the love of GOD to the workplace
imbued with strong ethical and moral values.
GOALS

The Office Management Internship program aim to achieve the following


goals:

General Goal

To structure the practicum period as a venue for personal and professional


growth manifested in sound professional and technically skillful application of
knowledge in the chosen profession bounded by the ethical and moral standards
for every practitioner of Office Management.

Specific Goals

1. To employ the appropriate Office Management principles and skills


deemed necessary in a particular management task in a highly
proficient manner.
2. To exhibit sense of responsibility and commitment in any assigned
task.
3. To gain further knowledge and skills related to the chosen field of
profession through actual experiences to prepare the individual for a
rewarding working experience.
4. To establish a harmonious working relationship with superiors,
colleagues and other people whom the individuals come into contact
within the workplace.
5. To evaluate one’s efficiency in the practice of Office Management
through the requirements set for the completion of the course.
6. To continuously improve the on-the-job training program of the
department by gaining inputs from the partner institutions.
DEFINITION OF TERMS

1. Industry - refers to a series of companies that operate in a similar


business sphere and also, the production of an economic goods or services
within an economy. 

2. Internship – refers to a professional learning experience that offers


meaningful, practical work related to a student’s field of study or career
interest. An internship gives a student the opportunity for career
exploration and development, and to learn new skills. It offers the
employer the opportunity to bring new ideas and energy into the

workplace, develop talent and potentially build a pipeline for future full-
time employees. 
3. Reputable Host Training Establishment (HTE) – or Industry Partner refers
to duly authorized and registered entity, institution or establishment in the
Philippines by the Security Exchange Commission (SEC) or the
Department of Trade and Industry (DTI) and with established System of
Training.
4. Internship Manual – refers to a book or booklet of instruction and
guidelines, designed to improve the quality of internship/OJT/practicum of
a particular program duly issued by the HEI.
5. Memorandum of Agreement (MOA) – refers to an agreement executed
between the Higher Educational Institution and partners HTEs specifying
the detailed role and responsibilities of all concerned parties, safety of
student interns, training plan, learning objectives and methods of
evaluation.
6. Practicum Coordinator – refers to an authorized/designated person who is
responsible for all aspects of the students internship programs including
program implementation, monitoring, evaluation and coordination with
HTE.

There are a number of participants who play an important role in carrying out the
student apprenticeship training. Some of the key participants include:

Representatives from the higher educational institution will be providing


information of the whole student apprenticeship training, responsible for
monitoring and registering interns, maintaining interns’ records, schedule training
and issuing endorsement.

In addition, the following are the detailed obligation and responsibilities of


the parties of KCAST as part of Article VII of CMO No. 140, series of 2017:
 Obligation/Responsibilities

A. Planning/Engaging/Orientation

1. Assume full responsibility over the students during their internship in the
Philippines;
2. Formulate local school internship policies and guidelines on selection,
placement, monitoring and assessment of student interns;
3. Select the HTEs and ensure acceptability of internship manual and
internship venue in order to protect student intern interest;
4. Develop in collaboration with the duly selected HTE an internship manual
for the student intern specifying goals and objectives;
5. Ensure that the student intern will acquire actual and relevant
competencies in each learning area, assignment, and schedule of
activities;
6. Execute the duly notarized Memorandum of Agreement (MOA) with HTE;
7. Assign a practicum Coordinator for the students internship programs; and
8. Conduct pre-internship orientation/training to student interns, as a
prerequisite t their deployment to internship venue, on work environment
issues, but not limited to proper work ethics and laws against sexual
harassment.

B. Monitoring and Evaluation


1. Safeguard student intern undergoing internship from harassment
exploitation, deplorable training conditions and such other conditions that
contravene or defeat the purpose of internship;
2. Take appropriate action on any complaint against the student intern in
accordance with the KCAST’s policies;
3. Conduct initial and regular visit/inspection of their HTE to ensure safety of
student interns;
4. Monitor and evaluate performance of the student intern jointly with HTE;
5. Monitor the student intern and attend to his/her needs and concerns by
coordinating with HTE, CHED and other concerned government authorities
necessary;
6. Conduct monitoring and evaluation of the HTE to gauge the overall
performance of the HTE and provide feedback mechanism;
7. Conduct post training review and evaluation of the program and the
performance as well as with the partner HTE;
8. Evaluate and asses related prior training experience and provide credits
for internship, when applicable; and
9. Issue a final grade to the student intern upon completion of requirements
within the prescribed period in accordance with the KCAST’s regulations on
grading system and performance assessment of the HTE.

C. Reporting
a. Submit to CHED through the CHED Regional Office (CHEDRO XII)
the following documents;
- Annual report per school year on the implementation of Student
Internship Program on the number of student interns per
program their issues and concerns and actions to be taken to
address the issues among others to be signed by school head or
authorized representation.
- Copy of duly notarizing MOA; and
- List of partner HTEs and student interns dully certified by
authorized school official to have completed internship.

Program

2. BSOA Program Head – shall be responsible for the overall supervision


of the
Internship program.

3. BSOA Practicum Instructor – shall plan, assemble and execute all


necessary
activities for the Internship Program, shall make
assessment
and recommendations regarding the performance of the
interns

A. Requirement
1. Must have official designation by the Program Head on the
basis of KCAST's qualification requirement.

B. Obligations/Responsibilities
1. Provide pre-internship orientation prior to deployment to
internship venues including among others work ethics and
anti-sexual harassment laws as pre-requirement;
2. Coordinate with the Program Head for the purpose of the
internship orientation;
3. Inspect internship venues and sites;
4. Monitor and assess student interns periodically;
5. Coach or mentor student interns;
6. Consult and assist student interns in resolving
problems/issues encountered; and
7. Validate the result of the internship of students per batch, at
the end of the internship period.
Host Training Establishment
A Host Training Establishment is responsible as host of the Internship
Program. It shall undertake to provide practical training to the interns and at the
same time has the responsibility to monitor and evaluate the performance, and
submit consolidated evaluation reports of the Practicum Interns. The HTE

representative agrees to this by signing the Memorandum of Agreement (MOA)


with the representatives from KCAST. This agreement ensures the intern will
obtain the required skills, hours, training and guidelines in carry out the student
internship training.

A. Requirements
1. Has been duly authorized HTE by the appropriate government
entity/les, i.e. Local Government Unit (LGU), Securities and
Exchange Commission (SEC), and Department of Trade and
Industry (DTI);
2. Capable of providing the appropriate internship program, and has
the capacity to co-develop, along with KCAST, and follow an
internship manual to be undergone by the student intern in KCAST;
3. Has capacity to mentor, provide and facilitate the provision of
technical training to student intern;
4. Has the capacity to monitor and submit weekly reports to the
5. Practicum Coordinator; and to-
6. Follow the evaluation system of student performance provided by
KCAST.

B. Obligations/Responsibilities
1. Designs and implements the internship manual in partnership with
KCAST;
2. Encourages student interns to develop their personality and
professionalism, and to the extent possible, protect them from
physical or moral danger;
3. Assigns a focal person responsible for the implementation of all
phases of the internship;
4. Orients the student intern on the standard rules and regulations of
their establishment before signing of contract;
5. Enters into an internship contract/agreement with the student
intern and the HEI in particular, the Kapalong College of
Agriculture, Sciences and Technology;
6. Facilitates the processing of the documents of the student intern in
coordination with KCAST;
7. Provides practical training or work experience in accordance with
agreed internship manual and schedule of activities;
8. Provides supervised applied learning experience for student interns
in accordance with agreed internship manual and schedule of
activities;
9. Notifies and provides at least 30 working days written notice to
KCAST of a student intern's breach of contract or misconduct in the
internship premises prior to HTE's decision to suspend or terminate
the contract; and
10. Issues certificates of completion for the student interns not later
than two weeks after the completion of internship.

Interns

An intern is an individual who will be undergoing the training with the industry
partner and carry out diligently the tasks assigned to them. Interns shall not
make any compromises which vitiates the good image of the school and the
industry where they are performing their duties. They are expected to have sound

a professional development in their chosen field of specialization after the


deployment.

A. Requirements
A student intern must:
1. Be officially enrolled in Kapalong College of Agriculture, Sciences and
Technology;
2. Be enrolled in an internship subject;
3. Be at least eighteen (18) years of age from the start of the internship
period;
4. Pass pre-internship requirements as specified in the internship manual;
and
5. Have a notarized written consent from his or her parents.

B. Obligations/Responsibilities
1. Enter into an internship contract and/or agreement with the participating
HTE;
2. Sign all the required documents necessary for his or her participation in
the internship program;
3. Comply with the provisions of the contract and/or agreement including the
rules and regulations of KCAST, HTE and CHED at all times;
4. Undergo the required orientation/internship program conducted by KCAST
and HTE;
5. Report for internship in the HTE based on the work schedule indicated in
the internship contract and/or agreement;
6. Perform tasks and activities indicated in the internship manual;
7. Maintain confidentiality, when and where appropriate, during and after the
internship period of all the data, business or trade secrets where such
information is not within the public domain and is indicated or understood
to be confidential;
8. Adhere to the existing rules and regulations of the HTE including the
proper use of tools, instruments, machines and equipment;
9. Submit a journal of internship as required by KCAST on the approved
internship manual, his or her experiences describing the internship
activities, any problem/s encountered and his or her reflections on the
internship experience to the Practicum Coordinator;
10. Complete the agreed duration of his or her internship; in case the student
intern will be unable to finish his or her internship within the designated
period, he or she shall inform the Practicum Coordinator in writing of his or
her intent and reasons to prematurely end his internship, at least three (3)
working days before his or her last day of internship. Failure to complete
the internship program without valid cause disqualifies the student intern
from retaking the program with the concerned HTE; and
11. Report to the Practicum Coordinator for an exit assessment after the
completion of the internship period.

C. Status

1. The student intern shall be considered as an intern and not as an


employee of the HTE for the duration of the internship; and
2. In case of working student, he or she shall be allowed to earn credits for
internship upon evaluation and assessment of his or her particular
assignment/task during internship period by KCAST.

Parent/Guardian

A. Obligations/Responsibilities

1. Issues and signs the written consent; and


2. Co-signs the internship contract and/or agreement to manifest approval or
consent to the internship of their child.

PRACTICUM POLICIES

Admission

1. An incoming practicumer should finish all academic/non-academic


requirements prerequisite to the practicum program and is officially
enrolled in the Office Administration Program.
2. Irregular students are subject for evaluation by the practicum
coordinator/department head/administrator.

Practicum Assignments

1. Practicum assignments will be determined by the practicum


coordinator.
2. Students will be assigned in any of the following business organization:
a. Manufacturing Firm
b. Trading Firm
c. Service Firm
3. Students are likewise encouraged to take part in the selection and
searching for possible practicum site. However, it should be noted that
the final decision for the assignments of their practicum site will be
determined by the practicum coordinator.

Uniform

1. Practicum Intern should wear the prescribed uniform during duty


hours. Those who are not in their prescribed uniform are considered
absent.
2. Proper wearing of uniform should be adhered to at all times, except,
when their site supervisor required them to do otherwise.
a. Female
a.1 Prescribe practicum uniform.

a.2 Wearing of mini-skirts, fitting pants, and sandals are


discouraged.

b. Male
b.1 Prescribed Practicum uniform.

b.2 Black leather shoes with plain socks are required.

b.3 Only white, unprinted undershirt should be worn under


the top uniform that will not show of the neckline and
sleeves.

b.4 Wearing of rubber shoes, sandals, and slippers (if not


required by the site) is not allowed.

3. During non-uniform days (wash days) practicum interns must be


dressed in business attire unless not required by their respective sites.
Practicum Interns are required to dress decently (plunging necklines,
spaghetti straps, see through dresses/blouses, sleeveless/shirts are
not allowed).

Personal Grooming

1. Practicum Intern should come to their respective practicum sites well


groomed.
2. Fingernails must be clean.
3. Well-groomed hair is a must.
4. Practicum Interns are encouraged to be modest in wearing make-up
and jewelry.
Attendance

1. Practicum Interns are required to complete the specified number of


hours of duty equal to three hundred (300) working hours.
2. Practicum Interns are required to keep a Daily Time Record [DTR] and
submit a photocopy to the practicum moderator on a weekly basis.
Tampering of the DTR entries is subject to disciplinary action or at
worst expulsion from the program.
3. Excused Absences – an absence is considered as excused if such is
incurred as a result of any of the following events:
a. Illness
b. Death of immediate member of the family
c. School representation – a student who is officially selected to
represent the department or college in any school related
activity
d. Others [victims of calamity, etc.]
4. Unexcused Absences – all other absences not covered by the provision
mentioned in the previous section are considered as unexcused
absences.
5. If a Practicum Intern is able to present any proof that may support
his/her absence, only then will the Practicum Intern be excused.
Practicum Interns who are absent from their duties will be held
responsible for the task left behind or for any other requirements given
by the practicum instructor. Practicum Interns are likewise encouraged
to inform about their absence from duty.
6. If Practicum Intern accumulates more than three [3] unexcused
absences from the duty he/she will be subject to disciplinary action.
a. Half Day Absence - One [1] day Extension
b. One Day Absence - Two [2] day Extension
c. Two Days Absence - Three [3] day Extension

d. Three [3] Days Absence - Six [6] day Extension

- There will be no extensions for excused absences.


However, the student has to make-up for the number of
hours that he/she missed during his/her absence.
- An extension of one day is equivalent to the number of
hours agreed upon by the site supervisor and the
practicum coordinator.
7. Practicum Interns must finish the required number of hours within the
semester including all the extensions and sanctions given. Should the
intern be unable to complete the required number of hours within the
semester, he/she should make the necessary arrangement with the
practicum instructor and comply with the specified time frame to
complete it. The Practicum Intern’s grade will not be released until
he/she completes the remaining hours. If a practicum intern fails to
comply within the given time frame, he/she will automatically be given
FAILURE MARK.
Tardiness

1. Tardiness will not be tolerated. Practicum Interns are considered late if


they fail to report as specified by the site supervisor and the practicum
instructor. In case a student incurred five [5] consecutive tardiness,
his/her parents or guardians shall be invited for a conference with the
Practicum Instructor.
a. 1st Offense - Half Day Extension
b. 2nd Offense - One Day Extension
c. 3rd Offense - Two Days Extension

Note: Scheduling of extension is done after the required number of


hours for the on-the-job training is completed. Completion of the
extension duties should be done within the semester or within the
time frame specified by the practicum coordinator.

Practicum Intern Conduct

1. Practicum Interns are expected to observe proper decorum and act


professionally during their duty hours and seminars. They are also
expected to act in accordance with their professional ethics as
practitioners of Office Management.
2. Practicum Interns should respect authority and show courtesy in their
dealings with their practicum instructor, school personnel, site
supervisor, site staff as well as co-practicum interns.
3. Practicum Interns should refrain from using words that are vulgar,
indecent and blasphemous in nature. Unnecessary notes (or note
passing) should be avoided during duty hours.
4. Practicum Interns are expected to handle all equipment and materials
in their practicum sites with utmost and reasonable care. In the case of
confidential reports/schedules and statements, they must be held with

strict confidentiality and at all time to protects its validity and


reliability.
5. Practicum Interns will be asked to pay for damages they will cause on
properties.
6. Smoking is strictly prohibited during duty hours, likewise, practicum
interns who are under the influence of drugs or alcohol during duty
hours and seminars will be subjected to disciplinary action at worst be
expelled from the program.
7. Gambling is also prohibited during duty hours as well as bringing or
possession of gambling paraphernalia.
8. Using a mobile phone, such as making or entertaining a call or text
messaging is strictly prohibited. Mobile phones must be turned off
during duty hours.
9. The Practicum Intern is not allowed to invite/entertain personal visitors
in the practicum site.

Requirement and Grading System


1. Practicum Interns are required to submit a compilation of all the
papers submitted to the instructor. All compilation should be
hardbound.

2. When a Practicum Intern completes his/her number of required duty
hours, he/she is required to submit a certificate of accomplishment and
the same shall be included in the compilation of practicum papers.
3. Practicum Interns are to be evaluated by their site supervisors at the
end of their duty hours and this will comprise 50% of their practicum
grade. It will be the responsibility of the Practicum Intern to request
for these evaluations from their instructor.
4. A distinction is given to students who will excel in the practicum. The
practicum efficiency award is given to students who have displayed
commendable conduct and rendered exemplary service to their
institution and have gained a grade of not less than 92% in the on-the-
job training program. All practicum interns are eligible for the award.
5. Deadlines are final. Practicum Interns who fail to submit the
requirements on the deadline are subject to penalty. A deduction of
five points will be imposed for each day of delay of submission.
Requirements submitted one week after the deadline will no longer be
accepted.

Other Matters
1. The school, the department and the practicum instructors cannot be
held responsible for the behavior and activities of the Practicum Intern
outside the campus or their practicum sites. However, any complaints
outside this jurisdiction, especially those affecting the name of KCAST

HISTORY

 Davao del Norte Hospital (Kapalong Zone) was established on June


18, 1975.
 On January 1, 1981 was elevated into a level II hospital with a 25 bed
capacity.
 On April 3, 1993 was devolved LGU of Davao Province under the

My observation that I learned a lot of things for being a good intern but
our supervisor never treat me that I am an intern student he treat me like a
true employee to him and also all the staffs and the employee and nurses in
