after receiving fabric from suppliers

01 MEETING WITH BUYERS

MANUFACTURER Manufacturer will BUYER Buyer will send

send range of range of collection
collection to buyer to manufacturer

BUYER MANUFACTURER

• The designer of a manufacturing house will create the look book based on current
trend and market analysis - They will send the look book (Swatches) to all the buyers
• If they like it, they will con rm the order
• On other hand, if the buyer already had xed design of a style - they will send sthe look
book to the manufacturer
• If its only few changes - related to t, fabric or trims they discuss those things with the
merchandiser of the manufacturing unit

02 DEVELOPMENT OF INTIAL SAMPLE

BUYER

• The buyer needs to specify all the details - Manufacturer

• The rst sample that is developed from the design sketch
or the design concept is known as Proto sample
1 2 3 SPEC SHEET
• The proto samples are normally made of matching fabric
quality (weight and fabric types).
• The buyer evaluates the capacity and quality of the
garment for optimal price and quality of factory
• This sample needs to be submitted by merchandiser within
3–5 days.
• The  merchandiser  needs to submit at least 3–6 samples
based on the buyer requirement.
PROTO-SAMPLE
• If corrections received, they need to resubmit the proto
sample.

03 COSTING AND NEGOTIATION

• A Merchandiser head or a team of merchandisers

does the costing for a garment order and sends that
quotation to the buyer.
• If the buyer has objections they negotiate with the
quotation. They move forward with the quotation
price which is acceptable for both the manufacturer
and buyer.

04 PRE - PRODUCTION SAMPLE PLANNING

• Sample Planning is the crucial path of the process.

• Merchandiser and buyer discuss when to ship samples. Based on
the shipping dates agreed by both merchandiser and buyer,
sample planning will be done.
• If delay occurred in shipping samples, bulk production will be
delayed which might be problematic to buyer.

05 DEVELOPING - FIT SAMPLE

• The Fit sample is developed according to the

spec sheet measurement and design sketch. The
Manufacturer - sampling department purpose of developing a Fit sample is to check the
garment t on the dress form or on the human
model.
• The measurement speci cations are veri ed using
the FIT sample and measurements are corrected as
per t requirement.
• The Fit sample is developed after the Proto sample
and prior to the Size set sample.
Pattern making • The Fit sample is made for the middle size.
Approximately 2-3 samples are developed for the
t sample.

Sending t If there is Correction Re-Sending t

sample to buyer - will updated to sample to buyer
manufacturer

06 DEVELOPING - SIZE SET SAMPLE

• The objective of the size set sample is to check the

garment t of multiple sizes.
Manufacturer - sampling department • The size set samples are normally made for jump sizes,
like S, L, XXL.
• The number of samples required for the size set
depends on the buyer's requirement.
• Pattern grading is checked in the size set sample.
• Corrections on the pattern grading are done until they
get the correct t.
• After the size set approval, the supplier can develop the
PP sample.
Pattern grading
• Size set samples are made using actual fabric or a
similar quality fabric.

Sending size set If there is Correction Re-Sending size

sample to buyer - will updated to set sample to
manufacturer buyer

Making - size set sample (S,M,L,XL,XXL)

07 BULK FABRIC SOURCING AND INSPECTION

• The Tech Pack's Bill of Materials is used for sourcing of fabric, in which each
of the components is listed along with every detail, including price, quantity,
and type.

• For inspection, industries use 4 point system (The 4 point system assigns 1,2,3,4
penalty points according to the size and significance of the defects).
Trims and
accessories
• If the average shipment points exceed the acceptable points or if inspection
Fabric supplier
supplier shows a high fault rate, an additional 15% must be inspected. if the fabric fails
again, the delivery must be 100% inspected or rejected.

08 FABRIC AND TRIM INSPECTION REPORT

• Inspection report will show whether the entire lot is acceptable

or not depending on the quality of the sample is inspected.

• A trim card is used to show approved trims by attaching all

garment trims and accessories on the trim card.
Buyer need to mention - what type
of inspection testing method need
• All trim inspection, control and test record must be kept for
to follow
minimum 6 months.

Importance of Fabric and Trim Inspection

speci c method card and Fabric Inspection Report at the time
of garment checking and shipment inspection.

• Fabric and Trim approval from buyers.

09 PRE-PRODUCTION MEETING

“A Pre-Production meeting is basically a meeting before starting bulk

production, to set every parameter and core decision of production.”

Working Procedure of PP Meeting

• Planning of bulk production
• Layout formation
• Reviewing Proto/Fit/Size set sample.
• Discussing process parameters of every section
• Reviewing checklist of PP meeting
• Giving special instruction for bulk production
• Finding out construction and structural defects
• Confirmation of necessary items already present in-house for finished garments.

• The pilot run also known as a trial production run.

• A pilot run is done after approval of the PP sample and before bulk cutting.
• The pilot run for a style (order) is conducted if the buyer asks for it.
• The purpose of pilot run is to check production techniques and quality requirement.
• The quality of the pilot run pieces may be checked by Buyer QC.
