Thanks for agreeing to help me with the following tasks. Here is some
information about each one that you might find useful.

Social media post


Please complete the social media post promoting the Flag Day. You can
find the information you need in your meeting notes, the magazine article I
sent you earlier and our meeting minutes. The contact person for this event
is Pat. You will find her contact details in our directory.

Email
Next, please write an email to the Flag Day volunteers, providing them
with details of the event. Talk about our meet-up arrangements for the day.
Then, remind them about what they should wear and bring that day and the
manners they should show when selling flags. Mention what volunteers
should do at the end of the event. Remember to finish the email by
thanking them for signing up as a volunteer for the event. You can begin
the task by checking your meeting notes and our meeting minutes. Dylan
and Sue may send you some updates.

Helping children in need

Founded in 1999, the Hong Kong
Children’s Charity aims to help and
protect children in Hong Kong. Its
work includes providing free
tutorial classes and organizing
extra-curricular activities for young
students.

Throughout its years of service, thousands of children have enjoyed better futures
because of the work of the Hong Kong Children’s Charity. The charity has
organized many charity sales, funfairs, flag-selling days, etc. to raise money for
children.

If you want to make a positive change to children’s lives, please make an online
donation to the charity and support their work.

Meeting minutes

General staff meeting

Date and Time: 28 July, 3.30 pm


Venue: Meeting Room
In attendance: Lauren Chan, Dylan Wong, Andy Kong, Sue Hui

Arrangements for the Flag Day


Dylan confirmed that once all volunteers arrive at the meet-up location on the
day, we will give each of them a donation bag and some flags. We will then
have a short briefing session after which volunteers are welcome to ask us
questions about the event.

Lauren said volunteers should be reminded to wear comfortable clothes and


shoes for the day. Andy will include this reminder in his email to all volunteers.

Signing up for the Flag Day


Sue suggested two ways for people to sign up as volunteers for the Flag Day.
People interested in volunteering should either mail us their application form or
fill in the online form on our website, www.hkcc.org.hk. Everyone agreed with
her suggestions.

Andy further suggested that we send all applicants a confirmation email after
the application deadline. Everyone agreed.

Next meeting on 5 August. Venue to be announced.
