Task-1

SAP is a new arena of study and tackling with the SAP system took a little time, but once I got

a hang of it, I was able to understand what was expected of me. While, in the beginning, it did

take a couple of extra tries, I was well able to get a good grasp of the system.

Task 1 required to create an organization having 5 departments, with each of the 5 departments

having subunits as well. I initially researched the various departments and positions within my

company, as well as their interactions with each other and the main department. I also explored

the job positions within each department and its subdivisions to ensure smooth operations in

the future. The organization I created was ROYAL KRYSTALS LTD.

Task-2

Task 2 required jobs and positions for all the 15 subunits in five departments. For each of the

jobs, I created a position as well. I added the positions to each of the sub-units as per the

information gathered. Simultaneously, I was developing an understanding of the functioning

of the application and the importance of human resource managers in collecting and organizing

data in a structured manner.

The Jobs and Positions were created in accordance with the organization creation to

accommodate what best went the requirements of the same. While the SAP system was easy to

work around, for the firsts, the technicalities and complexities were something one needed to

understand with focus and concentration keeping in mind all the details [start dates, learning

code etc.]
Task-3

Task 3 included some bit of technicality which was easy once I got a grasp of it. It involved

having to create position descriptions for one position in each department. I created 5 positions

to the already existing ones of what we created with accordance to Practice Workbook-1.

Therefore, the added jobs and positions are as listed below;

§ In the Manufacturing Department, I created a job of a Manufacturing Technician with

the position being Quality Associate and a brief description of the duties.

§ In the Finance Department, I created a job of a Treasury with the position being that of

a Due Diligence Manager.

§ In the Human Resource Department, I created the job of Health & Safety with the

position being that of a Health & Safety Head and the works expected from such a

position.

§ For Marketing & Sales, I created the job of Online Advertising, with the position

opening of a Social Media Co-ordinator.

§ Lastly, for Public Relations, I created Internal Relations with the position opening of a

Business Development Manager.

STEPS TO COMPLETE THIS ACTIVITY:

§ At first, I attempted to logon to the SAP system using my SAP Learner ID and changed

password. It was a successful first attempt.

§ I used the, MENU PATH: Human Resources → Organizational Management → Expert

Mode → Simple Maintenance → Create. Using this mechanism, I created ROYAL

KRYSTALS LTD.

§ I made sure to abbreviate the same and all further processes using my learner code and

made sure that the date for each of the steps was started at 01/01/2023.

§ Once I created the Organization, I started created departments using the create button

on the Application tool. A pop-up box reflected wherein I put the abbreviations and the

departments I wanted for my Organization/company.


§ I remembered to SAVE all my work because the SAP system automatically logs

you out after a long break or could break into errors.

§ After which I created sub-units. I did this by highlighting the main department and then

clicking create which allowed me to create a sub-unit. I did this for all main departments

which were 5 in totality with 15 sub-units in all [3 to each department].

§ When I viewed all my created work, I was able to see a part structure by expanding the

departments. It looked like a floor wise building plan.

§ Next, I did was create Jobs and Positions to the sub-units. For e.g. For Manufacturing,

I created Manufacturing Technician as the Job and Quality Associate as the Position. I

repeated this for all such sub-units. I first created the job, by clicking on the create Jobs

button, which had a table below to create the position as well. I put in all details as

required making sure my SAP Learner ID and date was as required for each creation.

§ Subsequently, this activity further required us to create job descriptions to the positions

we created. I did this by highlighting the position, Menu- GoTo- Object description. I

changed the sub-type to Responsibility from drop-down box and typed in the duties

required for each position.

§ I clicked SAVE for each description I wrote. By the end, I had descriptions for 5 of the

positions I created.

§ While doing the process, I also marked this menu path as a Favourite Item from the

SAP Easy Access Page. This way, I could directly open the organizational structure of

the company I created.

§ The last steps were easy, but also a test to the what the end product shaped out to be. I

followed the steps to see the tabular form of my structure and the Graphical structure.

As because, I am a MAC Book user, I was not able to see the Graphic structure of my
organization. I resorted to borrowing my friend’s Windows laptop to get a Graphic

screenshot of my company.

Task-4

Through the Information System function we were required to get a Tabular Format of what

our company/organization looked or shaped out to be. It was exciting to see the entire structure

and the creation of the same through the SAP system.


Task-5

Task-5 was basically to retrieve an organizational chart [structure graphic] of the

created organization. For this step, I borrowed my friend’s laptop to accomplish the

desired results. I was able to see the graphic version of my created organization.
