SUMMARY

An animal patient care management system assists veterinary

clinics and hospitals in managing patient information,

appointments, and treatment plans, resulting in more efficient and

effective patient care. The Animal Patient Care Management System

(APCMS) was proposed by the researchers to facilitate and simplify

interactions between staff and customers. It centralizes a database

containing pet records, allowing the veterinarian to access the

database and view the pet's details in order to diagnose their

medical condition and write the necessary treatment. It is an

effective system for lowering healthcare costs and providing time.

INTRODUCTION

An animal patient care management system is a software

application that helps veterinary clinics and hospitals manage patient

information, appointments, and treatment plans.

This system can serve to optimize workflow and improve

communication among staff members and towards patients, resulting

in more efficient and effective patient care. This type of system, which

includes features such as electronic medical records, appointment

scheduling, and test results tracking, can assist guarantee that animal

patients receive the best possible treatment. Furthermore, the ability

to conveniently access patient information from any device helps

improve communication with pet owners by keeping them up to date

on their pet's treatment and development.

BACKGROUND OF THE STUDY

Prior to the beginning of this research, the researchers are also

animal lovers and care a lot for animals. The veterinary clinic where

their animals are being treated still uses a manual, antiquated way of

documentation. The staff is still using an outdated method of keeping

records that requires additional room, time, paper, and redundancy to

retrieve or save patient information. A computerized system to track

and maintain the client and pet’s data is one of the hospital's most

important needs. Because of this information, the researchers

proposed the Animal Patient Care Management System (APCMS) for

easier and hassle-free transactions between the staff and the

customers.

There are two sections where users and administrators can log in

independently. The administrator is in charge of adding, removing,

and changing patient and user information. In contrast to the

administrator, the user is merely in charge of maintaining or recording

the patient's information. The system displays a master list of all the

patient's information and can print a copy. It also offers details on the

hired employees. This is a win-win situation for both sides because the

client doesn't need to worry when they lost or misplaced their pet’s

papers because it’s saved already in the system, on the other side, the

employees can track and organize their data inside the system.

According to Elham Mohammad Thabit A. Alsaadi from University

of Kerbala this kind of system will be helpful to the specialists in the

field of Veterinary Health Care. It centralizes a database which

contains the pet records. The system will enable the Vet to access the

database and show the pet details to diagnose their medical condition

and write the required treatment. PHCS is considered an efficient

system to reduce healthcare costs and provide the time. It offers

veterinarians an exciting way to make the service of pets owners better.

STATEMENT OF THE PROBLEM

The main objective of this study is to determine various

improvements and developments needed in a pet clinic to generate

management system and provide an accurate and secure record

management for both doctors and patients. Also, to successfully

address the issues it encounters. Specifically, this study aims to

solve the following problems:

• Experiencing severe staff shortage. Staff shortages and

existing employees overworked; you may need to lower the

number of appointments. However, this strategy may

influence the clinic’s earnings.

• Too much time spent on mundane tasks. The

administrative staff spends far too much time answering

phones to accept appointments, obtain new client

information, send reminders, and confirm appointments

instead of having much time taking care of the customers.

• Customers cannot schedule appointments in their

free time. Customers must visit the location to book an

appointment, check about the available schedule, and confirm

if it is open.

• Experiencing no-shows. Pet owners are having difficulty

finding urgent appointments for their pets. As a result, they

have several bookings and fail to cancel the ones they do not

attend.

• Don’t know what the feedback is. Customers may not be

sure if the service of the clinic is good. Also, the staff may not

know the things they need to improve.

• Too much paper. The staff may have difficulty locating

needed papers and may spend time doing so.

PURPOSE OF THE PROJECT

The primary purpose of an animal patient care management

system is to help the veterinarian clinic which includes the

veterinarian and the staff in providing efficient care for their

patients.

BENEFITS OF THE PROJECT

An Animal Patient Care Management System (APCMS) has a

lot of benefits:

A system enables quick information exchange among staff

members, enhancing care coordination and lowering the chances

of misunderstanding. Electronic records make patient information

more accessible, lowering the chance of mistakes and making it

simpler to follow treatments and outcomes by having the records

easily accessible. A system can assist veterinary practitioners to

make more informed judgments and deliver better care by giving a

full view of the patient's history and treatment plan. Lastly,

Automated processes in a system, such as appointment scheduling

and prescription renewals, can save time and reduce

administrative burdens.

SCOPE AND LIMITATIONS

The Animal Patient Care Management System is a dependable

system to support pet owners and veterinarians are required with

the growing technologies and in the fields of telecommunications,

which are widely employed in the healthcare industry. The main

focus of this project is to lessen the difficulty of the admins,

veterinarians, and pet owners/pets regarding the record of their

pets.

The Animal Patient Care Management System has the

following features: Electronic medical records, appointment

scheduling, test results tracking, schedules of grooming and check-

up, and lastly available doctors. Pet owners are required to sign-up

with a required age of above 18 in this application whether it is a

walk-in or reservation.

The proposed project is only limited to admin\staff,

veterinarians, and pet owners/pets. The system is being studied

solely to develop pet management for veterinary clinics and improve

their daily operations.

VETERINARY CLINICS- These individuals represent our external

stakeholders or groups that are not part of our company. The project

itself benefits our intended partner companies: Pendragon

Veterinary Clinic, Doc Jay's Veterinary Clinic, Vets in Practice, and

other clinics are reportedly among those being targeted.

PROJECT MANAGERS - These are the individuals actively

involved in the conception and development of the project or whose

interests may be favorably or unfavorably impacted by project

implementation.

INVESTORS - People who want to make a profit on their

investment and are motivated by a company's success. Zesty Paws,

NaturVet, Ceva Animal Health LLC, and others are examples of

potential investors.
