Work Immersion Operational Manual

Background and Rationale


With the proportion and advancement of the Department of Education’s Secondary
schools to High school, and the goal of providing quality educator and producing globally-com-
petitive and job-ready students. It had promulgated it’s SHS work immersion program under the
DepEd Order No. 30, series of 2017.
Under this 3-unit specialized, students will be exposed to actual workplace for 80 hours
will experience real tune hands-on work, and convert this learning to action research at the end
of the work immersion.
In line with the vision-mission of Sulu College of Technology, Inc. in providing holistic
development to a student, this program is vital and kept in fulfilling the needs of its students and
develop them to become productive member of the community and make them potentially capa-
ble for the 21st century.

Course Description
Work Immersion is one of the course requirements for graduation. A Senior High School
student has to undergo Work Immersion in an industry that directly relates to the student’s
postsecondary goal. Through Work Immersion, the students are exposed to and become familiar
with work-related environment related to their field of specialization to enhance their
competence and to do research. Specifically, the students are able to: (i) gain relevant and
practical industrial skills under the guidance of industry experts and workers; (ii) appreciate the
importance and application of the principles and theories taught in school; (iii) enhance their
technical knowledge and skills; (iv) enrich their skills in communications and human relations;
(v) develop good work habits, attitudes, appreciation, and respect for work; and (vi) identify gaps
in the workplace to be able to formulate research problems. These prepare them to meet the
needs and challenges of employment or higher education after graduation.

Definition of Terms

1. Work Immersion Program refers to the course required by DepEd for SHS. Students
spend 80 hours for preparation, hands-on experience, and research to hone practical
skills.

2. Work Immersion Partnership refers to institutions, companies, and organizations with


whom the school has a MOA (Memorandum of Agreement). They shall provide the
appropriate experience to the students during the work immersion program.

3. Strand Coordinators is mainly in charge of the pre-deployment processes per strand.

4. On-Site Supervisor is the one appointed personnel of the company to guide, evaluate,
and assist students during the work immersion.

5. Junior Supervisor is the student who shall act as the team leader.

6. Work Immersion Teachers refer to the teachers who will be monitoring the students
during the work immersion. There shall be maximum of one work immersion teacher per
10 students per institution/company/organization.

7. Work Immersion Venue refers to the location of the institution/company/organization


that the school has partner with for the work immersion program of the senior high
school.

8. Memorandum of Agreement refers to the legal document that contains the agreement of
the school and the partner institution/company/organization signed by both
representatives.

9. Evaluation Tool srefers to the tools used to measure students’ performance in the work
place. This will be used by the On-Site Supervisor, Work Immersion Teacher, and the
Students themselves to evaluate performance.

10. Reflection Journals refers to a writing-to-learn activity that should be accomplished by


the students during the work immersion. All the students’ experiences and realizations
about the work immersion shall be written down here.

11. Observation Notebook is use to write down their observation in the work immersion
based on the given lens: Nature of the business, Description of the products/services,
Target clientele, Organizational structure, Company rules and regulations, Safety,
Production, Maintenance, Quality Control, Quality Assurance, Customer Satisfaction,
Housekeeping, Hygiene and others.

12. Portfolio is the compilation of students’ evidence of learning during the work immersion.
These will be composed of documents, journals, and etc.

13. Junior Supervisor is the student who shall act as the team leader.

Objectives

The work immersion program aims to assist students in their decision-making in terms of
the course they will pursue in college. It also aims to develop in the students the capability to
produce new knowledge through research.

This also aims to assist student in:

1. developing a mindset of partnership with different industries to generate ideas that will
contribute to the development of the industry;
2. acquiring understanding of their future work and career;
3. developing a positive and proactive attitude towards work and in relation to others;
4. Evaluating the learner’s preference in career choice based on the exposure of the work
immersion

I. Procedures and Guidelines


A. Enrollment Requirements

Students who do not have a failing grade during the first semester of his/her last year
in the SHS shall enroll in the subject during the second semester. Those with failing
marks will be under academic probation. Thus, they will be required to take remedial
sessions on the subjects with failure. The following documents shall be submitted:
a. Medical Clearance from an authorized medical doctor;
b. Certificate of Attendance to the following:
i. Parents’ Orientation
ii. Grade 12 Students’ Orientation
iii. Grade 12 Capability Training on Basic Workplace Etiquette (Interpersonal
Skills) and Ethics, and Research
c. The Work Immersion Program Contract (contains the Code of Conduct signed by
student and his/her guardian and the duly notarized Waiver of
Liability/Undertaking Form signed by the same).
d. Resume (Curriculum Vitae)
e. Personal Data (Biodata/Personal Data Sheet in an Index Card)

B. Work Immersion Venue

A student undergoes work immersion in partner institutions/companies/organizations.


Reservations for assignment in an institution/company must be approved by the Strand
Coordinators, School Principal, and School Director.No more than ten students will be
assigned per institution/company/organization at a time.

C. Pre-deployment

A. The strand coordinators shall look for partner institutions where students can do their
work immersion. This will be followed by an orientation and MOA signing with
partner industry and establishments.
B. The work immersion teacher visits the deployment venue (institution, company, or
organization) to formally submit the names of the students who are assigned there and
their work schedules.
C. The strand coordinators conduct the following before the students’ deployment:
a. Conversation with partner institution
b. Parents’ Orientation
c. Grade 12 Students’ Orientation on Policies and Guidelines, Accomplishing
Documents (e.g. barangay clearance, police clearance, mayor’s clearance, and
etc.)
d. Grade 12 Students Capability Training on Basic Etiquette (Interpersonal Skills),
Work Ethics Behavior and safety, Research skills (gathering, interviewing,
organizing and interpreting data) and etc.

D. Deployment
a. The student is personally introduced by the strand coordinators to the company
supervisor on first day of the deployment. Students should bring their identification
card (Immersion ID) and information sheet.
b. Students will be taken to the work immersion venue only on the first day. They would
have to go on their own on the succeeding days.
c. Students shall accomplish an individual Daily Time Record (DTR) signed by the on-
site supervisor and work immersion teacher.
d. A daily reflection log should also be written by the students.
e. The students should also record observations based on the given lens.

E. Post-deployment

A. The work immersion teacher facilitates the post-deployment of students.


B. She/he obtains the Certificate of Completion from the on-site supervisor.
C. The work immersion participants shall be given certificate of completion only after the
presentation of a research paper.
D. The Strand Coordinator and the Work Immersion Teacher shall gather the following
evaluation forms:
i. Work Immersion Evaluation Forms (on-site supervisor’s evaluation of student’s
performance)
ii. Student’s Self-Assessment
iii. Teacher’s Assessment of Student’s Performance
E. The work immersion teacher conducts a feedback session and processing of the
experience to be held in the School two days after the return of the students and facilitates
the packaging of the portfolio and the conduct of the culminating activity.

II. Functions and Responsibilities of the Strand Coordinators

The Strand Coordinators have the following functions:

A. Look for institutions, companies, and/or organizations that can be possible partners
for the work immersion.

B. Facilitate the signing of MOA between school and the different partner
institutions, companies, and/or organizations.

C. Conduct orientation sessions for parents and students to explain the policies and
guidelines of the work immersion.

D. Conduct sessions on basic etiquette and work ethics, and research skills for
students.

E. Assist students in the preparation of their information sheet to be submitted to the


on-site supervisors.

III. Functions and Responsibilities of the Work Immersion Teachers

A. Accompany the students to the different institutions/companies/organizations and


submit the Work Immersion Evaluation Forms and other requirements to the
supervisor of the company.

B. Monitor the progress of the students for the duration of the work immersion by
communicating with the on-site supervisor and taking action on situations that
require attention.
C. Visit the work immersion venue at least twice to monitor students’ condition and
performance.

D. Facilitate the redeployment of students, if necessary.

E. Facilitate the post deployment of students.

F. Collect the appropriate evaluation forms after deployment.

G. Conduct debriefing sessions for students upon their completion of the work
immersion.

H. Conducts processing session twice a week about students’ reflections and


observations during the work immersion.

I. Compute and submit the grades of students to the Strand Coordinator, to be


approved by the principal and to the Registrar’s Office.

J. Give feedback and evaluation report the strand coordinators.

IV. Responsibilities of the Partner Institution

A. The partner institution provides actual immersion work experience to the student.

B. The partner institution/company/office assigns the student to any department that


will expose the students to actual work that is in line with the student’s career
choice.

C. Take all actions necessary to ensure safety of students within the areas of
operation at all times.

D. Appoint an employee from the department/ section to be the On-Site Supervisor.

E. Conduct evaluations based on the agreed upon standards of performance.

F. Issue a Certificate of Completion to the student upon completion of the Work


Immersion Program.

V. Duties and Responsibilities of the On-Site Supervisor

A. Conducts orientation to students about the rules and regulation of the work place.

B. Monitor students’ performance and conduct.

C. Evaluate the student’s performance using the provided evaluation forms and
submit such evaluation to the work immersion teacher.

D. Regularly meet with the work immersion teacher to discuss his/her evaluation,
observations and other issues that may arise for the duration of the work
immersion program.

VI. The Work Immersion Daily Schedule

The activities during the work immersion will depend on the agreement of the school
and the partner institution, company, or organization. All activities should be in line with
the objectives of the program.

VII. Daily Report(Observation Notes) and Daily Journal

In addition to completing a daily reflection log and observation notes, the students
should also submit a progress report to his/her supervisor and work immersion teacher.
The report can include the tasks that the student completed within the week, skills that
were used and new knowledge/skills/insights acquired, and difficulties encountered.

A. The work immersion portfolio is a softbound copy that contains:

B. Submission of the work immersion portfolio is a requirement of the course.

IX. Evaluation Forms

A. Evaluation Form 1 is used by the Supervisor to assess the overall performance of


the student during his/her work immersion in terms of job knowledge, quality and
quantity of work, integrity, and initiative and willingness to accept responsibility.
Evaluation Form 2 is used by the Work Immersion Teacher to evaluate student’s
performance in terms of attendance, work relationships, and personal grooming.Form 1
has 5 items and form 2 has 3 items that are scored on the scale of 1 to 5 (5 = excellent; 4
= very good; 3 = good; 2 = Unsatisfactory; 1= poor).

B. Evaluation Form 3 is used by the students to evaluate his/her work and inter-
personal attitude. It is also scored on the scale of 1 to 5.

X. Work Immersion Grade of the Students


The grade of the student will be based on the approved grading system for the
subject which is according to DepEd Order no. 30 series 2015 and the Sulu College of
Technology, Inc. School Student’s Manual. Student’s research work will also be included
in the grading.

XI. EFFECTIVITY

This agreement shall hold for the duration of the 2017 – 2018 Academic School
Year and is renewable every year. The COMPANY and the SCHOOL shall submit their
intention for renewal of this agreement through formal notice within (30) days before the
expiration of this Agreement.

The COMPANY and the SCHOOL reserve their respective rights to terminate
their participation in the agreement through formal written notice within (30) days before
the effectivity of the termination. Both parties shall turnover all deliverables agreed
thereto in the Work Immersion Program. Termination shall be subject to the mutual
agreement between the parties.

XII. LIABILITY

The school, its administrator and teachers exercising authority and supervision
over the Senior High School Student undergoing immersion in the premises of the partner
may be held accountable for the student’s acts.

Each party shall answer for losses and damages arising from any accident, act, or
omission directly attributes to its fault or negligence, which may cause death or bodily in-
jury to any persons, or loss or damage to property, by or on account of the performance
of the respective obligations by the parties pursuant to this Agreement. Such responsibil-
ity shall continue to remain that of the responsible party’s even after the termination of
this agreement, if such losses and damages were incurred during the effectivity of this
agreement.

Sulu College of Technology, Inc. shall not be liable for opportunity losses of the
Company during the duration and after the termination of this agreement.

XIII. REVISIONS

This Work Immersion Operational Manual may be revised if the need arises. This
should be with the approval of the Strand Coordinator, Department Coordinator, School
Principal, and Administrator.

As a participant in the Work Immersion Program, I hereby agree to the following statements:
 
1. The Work Immersion Program has the authority to establish rules and guidelines
necessary for the operation of its programs. I understand that the Partner
Institution/Company/Office may have additional policies, rules and guidelines to which I
will be subjected. I agree that I will abide by all policies and regulations established by
the partner institution/company/office. I further understand that I am representing not
only myself but SCT School and agree to abide all School policies for the duration of the
Work Immersion Program.
2. I understand that if I am dismissed from the program prior to its formal completion, no
refund of any kind will be given. I will not be eligible for any academic credits I would
have earned and will have to repeat the subject.
3. I understand that I have to display proper etiquette and professionalism while on the
property. This includes but not limited to showing up on time for exposure, meetings,
work events, etc., using appropriate language while at the work immersion, dressing
appropriately, treating co-participants and employees in the partner institution with
respect, adhering to the company policies and guidelines and adhering to St. Joseph
School policies and guidelines.
4. I understand that the Senior High School Department of SCT School will hold me
accountable for any violation of contracts or policies I sign with the partner institution
attested by my parents/guardians and work immersion teacher.
5. I agree to demonstrate honesty, respect, and regard for the person and property of others.
6. I agree to maintain confidentiality regarding information accessed on my research
respondent. I would take responsible of any sanctions provided due to a possible
