Learning Objectives

Construct an inquiry letter correctly.


Present ideas using appropriate language registers, tone, facial
expressions, and gestures when being interviewed.
Compose an effective and well written email.
INQUIRY LETTER

An inquiry letter is written when a person needs more information


about a certain thing. Inquiry letters are often sent when a person has
specific questions that are not addressed by the general information
available provided by brochures, websites, advertisements, classified
ads, etc..

Types of Inquiry Letter
FULL OR PURE BLOCK FORMAT - every component of the letter
(heading, address, salutation, body, salutation, signature,
identification, enclosures) is aligned to the left.
SEMI- BLOCK FORMAT - address, date (the date can actually go on
either the left or the right side), the closing, signature, and printed
name are all indented to the right half of the page.
MODIFIED BLOCK FORMAT - the heading, complimentary close,
the signature, and identification are aligned to the right. Address,
salutation, the body, and enclosures are aligned to the left. First
sentences of paragraphs are indented.
EMAIL

Or electronic mail is the exchange of computer-stored


messages from one user to one or more recipients via the
internet.
Email can be distributed to lists of people as well as to
individuals.
For more effective e-mail communications
remember the following:
1. Be courteous.
2. Keep messages as concise and clear as possible.
3. Proofread and spell check before sending.
4. Provide a short but descriptive subject line.
5. Know all the other parts.

TO - recipient of the mail.

SUBJECT - the purpose or the topic


of your mail.

EMAIL OPENING

ATTACHMENT - files, images, and documents that are


attached to the mail or message.
CARBON COPY (CC) - includes the email addresses of the people who
need to receive the email but aren't expected to reply.

BLIND CARBON COPY (BCC) - if a sender doesn't want their


recipient to find out who else received the email, they could use the
BCC field to enter those addresses.

SALUTATION - greeting

INTERVIEW

Is a special type of purposive conversation and requires real


time conversation for both interviewee and interviewer.

The interview enables the employer to determine if an


applicant's skills, experience, and personality meet the job's
requirements.
Before interview:
Remember that if you are seeking for information from people (e.g
interview for research) you are asking them a favor, thus making
appointments with your interviewee at their most convenient time.

Reread the job description and think how you can communicate
why you would be a good fit for the position.

Prepare the key points you want to communicate during the


interview.

Practice your interviewing skills.

Prepare list of questions.


During the interview:
Be punctual.
Wear appropriate attire.
Observe good manner.
Speak clearly and be attentive.
If you have a follow-up questions, ask politely. Ask the interviewee to
validate your notes.
Allow the interviewee sufficient time to answer.
Rephrase questions to clarify vague points.
Acknowledge the answers of the interviewee to assure him/her of your
attention.
Graciously thank the interviewee for his/her time.

OPENING includes the initial contact of the interviewer in the


interviewee.

BODY includes several questions to achieve your specific objectives.

CONCUSION includes expressing gratitude and hope of meeting the


interviewee again in the future.
