1.1 Instructor Renewal
How to renew your instructor active status
Go to your "PROFILE" page and click on "ANNUAL RENEWAL".

After the payment, you can see "Paid" on your renewal page.
Click on "here" to upload your First Aid & CPR certification and Liability insurance.
Upload your documents and click on "SAVE CERTIFICATES". Make sure you upload
valid documents.

We don't have Instructor number in the AIDA system. Alternatively we have certifi-
cation number. Just in case you need to know your instructor number, you can use
this number.

1.4 MI or IT Promotion
Once you get all the requirements for your instructor promotion (PLEASE Check the
requirements on the AIDA Instructor Standards before you ask. Everything is in the
Standards!), you must fill out the AIDA MI or IT Application Form and transfer an ap-
plication fee (50 euros) to " bank@aidainternational.org ". Be aware that the applica-
tion fee and the instructor renewal fee are different.

Choose "EUR", write down 50.00, add a note e.g "MI Application Fee" or "IT Applica-
tion Fee", and click on "Continue".

Once the transaction process is finished, take a screen shot of your PayPal receipt
with your name and Transaction ID on it.

If you are still INACTIVE after you've already paid the renewal fee and uploaded your
First Aid & CPR certification, please check first if you've already clicked on "REQUEST
DOCUMENTS VERIFICATION" button. If you haven't clicked on it, the EOS admins
wouldn't get any notification. So they can't verify your documents.

Fill out the form, scroll down and click on "CREATE COURSE".

After a course creation, you will see the page below. You should click on "STUDENTS"
to add students to the course.
Add the email(s) of your student(s) into the text box and click on "ADD STUDENTS".

Your student(s) should receive an email. If they don't receive the email, please ask
them to check the Spam mailbox. Please see the next page for the next steps.

If your student(s) is/are new to AIDA EOS or AIDA, they must click the link with "https://
eos.aidainternation.org/Register" in their emails. Please look at the red box below.
The link will bring the student(s) to the AIDA registration page. They must fill out the
form. If they don't know what is "AIDA ORGANIZATION" or they are not members of
any AIDA ORGANIZATION, they don't need to choose anything. Leave it as "-". After
fill out the form, click on "REGISTER" (see the next page).

After the registration, the student(s) need to log in to EOS 2.0 using the email and
password that they used for registration.
After the login, they MUST click on "NO" and "OK" below.
In order to finish the registration, they must tick off the box and click on "CONTINUE".

Please check 2.3 to see how your student(s) should accept the course you've created.

If the student(s) already has/have an account on the old EOS and never transferred
their data (education history and certifications) to EOS 2.0 yet, then they need to
transfer their data to EOS 2.0 first. The student(s) must click the link with "https://eos.
aidainternation.org/Register" in their emails. Please look at the red box below.
The link will bring the student(s) to the AIDA registration page. They must fill out the
form, but they can use either a different email or the same email with their old EOS
account. If they don't know what is "AIDA ORGANIZATION" or they are not members
of any AIDA ORGANIZATION, they DON'T need to choose anything. Leave it as "-".
After fill out the form, click on "REGISTER" (see the next page).

After the registration, the student(s) need to log in to EOS 2.0 using the email and
password that they used for registration.
After the login, the student(s) MUST click on "YES" and "OK" to transfer their data
from the old EOS.

To transfer the old data from the old EOS to EOS 2.0, the student(s) MUST remember
their accounts on the old EOS. They don't need to remember the password. Write
down the old EOS account and click on "CONFIRM MY EMAIL".
If the old account is correct, you will get the message "A confirmation email has been
sent to youremail@address.com".
The student(s) must check the email and click the verification link in the email. https://
eos.aidainternational.org/verify_transfer.

If they click the link, they will be prompted to the EOS login page. The student(s) need
to log in to EOS 2.0 using the email and password that they used for registration.
In order to finish the registration, they must tick off the box and click on "CONTINUE".

Student(s) who has/have already created an account on EOS 2.0 or transferred the
data from the old EOS should click the link with "https://eos.aidainternational.org/
student_view_course". See below.
The link will prompt your studnet(s) to the EOS login page and then to the course
which you (instructor) created for the students.

If the student(s) do/does not accept the course on EOS, you (instructor) can't certify
the student(s). Remind the student(s) to accept the course.
Instructor should tell the student(s) the name of AIDA course on the EOS. If the stu-
dent was registered on the old EOS, there could be multiple courses in the list. So
tell the student the name of the course you've created for the student. In this case
"TEST5". The student should click on "TEST5".

The student(s) would see a message in a blue box. Student(s) must click on "I ACCEPT
COURSE INVITATION" to be cetified when the student(s) finish(es) the courese.
Click the email link --> Login --> Accepth the course

Tick off the requirement boxes and click on "SAVE CHANGES". If you don't tick off
"Open Water Requirements" box, an AIDA Pool certification will be issued.

Available Cert Level is set to "AIDA3 Pool" now and another box is appeared in front
of student's name.
If you want to change the "Available Cert Level" to AIDA3, you should tick off the emp-
ty box and click on "SAVE CHANGES".

If you want to set it to AIDA3 Pool, then clear the Open Water box.
Make sure if the Cert Level is correct. Once you click on "CERTIFY SELECTED", you can't
change the Cert Level anymore. Tick off the box in front of the name of student and
click on "CERTIFY SELECTED".

You would see "Pending Payment", then click on "PAYMENTS" on the left side.
Tick off the box on the right side and click on "PAY WITH PAYPAL". In this case, the
certification fee is only €10 because it's a pool certification.

Choose a picture and click on "Open". You MUST upload an image of ratio 5:5 (4:5 on
the website is wrong) with your face in the center to have a proper picture in your
certification.

Scroll down and click on "SAVE CHANGES". When you click on "SAVE CHANGES", the
system will upload the chosen file to the server.
Once the file upload is done, then you would see the picture on your profile.
To see you certification, click on "MY CERTIFICATES" on the left side and click on the
"ribbon" icon on the right side.

Now you can see your picture on the certification. Download or save your certicica-
tion into your computer or mobile devices.

You MUST upload a picture of ratio 5:5. Please read the instruction in 2.6. You MUST
crop your picture into 5:5 ratio before you upload it.

If you can't tick off the "Open Water Requirements" box of a student, you must check
if you've already certified your student as an AIDA2/3 Pool Freediver in the same
course.
The above case is that you've already certified your student as an AIDA3 Pool Freed-
iver in the course. So if you want to certify your student as an AIDA3 Freediver, you
MUST create a NEW AIDA3 course for the student.

If the student was already certified as AIDA2/3 Pool Freediver, the certification fee for
AIDA2/3 is only €10. AIDA2/3 Pool is also €10. So the instructor ends up paying €20
in total. AIDA2/3 Pool in the past (€10) + AIDA2/3 now (€10) = Total €20

There is another case you can't tick off "Open Water Req". If you've already clicked
on "Certify Selected", then the status will be converted to "Pending Payment". In this
status, you can't change anything. Please see 2.8.1 to check how to solve this issue.

You accidentally tick off "Open Water Req" and click on "Certify Selected", and you
realize that you need to certify your student as AIDA2/3 Pool, but you can't remove
the check mark on "Open Water Req" anymore.
In this case, the best way to solve the problem is to contact the EOS admin and ask
to cancel the pending payment.
You can abandon the course, create new course on EOS, and certify your student,
but it can create some complicated situations in the future when you or another in-
structor try to certify the student as (Full) AIDA2/3 because of the pending payment
status. So it's better to contact the EOS admin from the beginning and cancel the
pending payment.

If there is an asterisk ( * ) in front of a student's name, it also means the student didn't
accept the course invitation yet.

If the student has an account in the old EOS, he/she must remember the account
correctly. Please see 2.2.2 for more details. If the student is new to AIDA system, he/
she must go back to the previous page. Please click on "<Back".

Once the student is back to the page below, he/she must click on "NO". After that the
student must agree with GDPR. See 2.2.1 for more details.
Here is an example. A student, KEN, gave his instructor an email address. The instruc-
tor added him to an AIDA2 course in EOS with the email address (bexxxx@xmail.com).
After that, the student said he signed up to EOS, but his name didn't appear on the
instructor side.

EOS admin figured out that Ken signed up with his another email (kenxxxxx@xxx-
mail.com). So the instructor had to remove him from the course and add him to the
course with the registered email on EOS by Ken instead.
So please check if the two email addresses are the same. Tell your student to use the
same email address for the sign up and the course registration.

Be aware that if one or more of the students is/are in "Pending Payment" or "certified"
status in the course which you want to delete, you can't delete the course anymore.
You can only delete the course when your student(s) is/are all in "Added" status.
In the course which you want to delete, you remove all the check marks and click on
"SAVE CHANGES". If you have more than one student in the course, then you must
remove the check marks from all of them.

Click on "STUDENTS".
Click on "REMOVE" to remove the student from the course. If you have more than
one student, you must remove all of them one by one. After that, scroll up to the top
and click on "<Back to Course".

If you can't find anything related to your issue in this document, please send us an
email. Please write your name and EOS ID (email address) in the email in the same
way as they are written on EOS, and an explanation of the issue. If the issue is relat-
ed to your student, please additionally write the name and EOS ID (email address) of
your student in the same way as they are written on EOS in the email.
